A conversation with you, jean fran lots of conversations professor emeritus at rochester institute of technology dr fram is author of policy versus paper clips introducing non-profits to a corporate model of board governance to cut out the minutia from agendas so your board can focus where it should on policy and planning roughly thirty two minutes into the hour on tony’s, take two ah that’s, a little bit of a toughie because i’m recording this about three weeks in advance, and i don’t know what’s going to be on my block, but i’ll share some gratitude on tony’s. Take two my pleasure now to welcome eugene fran he is professor emeritus at rochester institute of technology he’s, a consultant, board chair and volunteer director for non-profits he has authored a co or co authored more than hundred twenty five journal articles on marketing and non-profit and corporate governance, he wrote the book policy versus paper clips, which you can find on amazon to introduce a governance model that we’re going to talk about on twitter he’s at eugene fram four a m just like the oil filter eugene fran, welcome, welcome good morning to you. Good morning to you, it’s it’s morning in california on the day that we’re recording very early morning. So thank you for joining me this early from the left coast. It’s. My pleasure, jean. Are you are you part of the fram filter family, buddy? Chance. Unfortunately, i am not. You’re not those things still around. I don’t own a car. I haven’t had a car for years. We are fram oil filters still around. Do you know why? I think they’re still on the web. I seen them. Okay, you have but that’s, not you. I’m sorry. And that’s not me. That’s. Alright. I’m not part of the great martignetti liquor family in boston and new england either. So okay. The both of us are suffering from famous names and chronic under representation in the in those wealthy families. Yes, we’ve been born with huge handicaps. I’m still trying to overcome mind. I hope you have overcome your one hundred twenty five articles. Yeah, somewhat. But you know, my ambition is to go to a thousand. Okay, well, now that you’re in retirement, you have more time for that. But yes. That’s true. Professor emeritus jean what? What’s what’s happening with boards? Why? Why do you feel they are missing the mark? Well, boards from a governance point of view non-profit boards from the government’s point of view, frequently have retained the old nineteenth or twentieth century model off of governance, where the board has a multitude of committees and tries to eventually micromanage the uh uh, the staff in the process, nothing gets done or the organization, although it has potential as stunted growth. Ah, if it in that way, because volunteers like myself and again as i talk, i’m not talking as a non ah non-profit ceo or e d i’m talking as a volunteer director, we can’t be there day today, and we can’t, uh, manage the minutia that is no, are they not necessarily monisha or the work that really needs to be done and we can’t really manage truly professional staff, we can help. We can advise we can help. We have an obligation to set policy, but uh, but we’re simply, uh, part timers or some person has described that we’re birds of flight through the through the organization because we’re they’re traditionally three to six years, and the staff stays and works and works under different boards. Your concern is that despite the well meaning board on dh and individual members having great potential and the best interests of the organization heart you feel they’re actually through these old models stunting the organization? Absolutely. And i think it could be proven when you look at any number of organizations which has suffered this way. Do you want to give an example or to, uh well, i’ve consulted with a number of them on, but i don’t want yeah, i’ll talk t o generalities specific organizations where the the the board actually got ah, where the volunteers on the board actually got involved to the level that they were, uh, they were managing departments. Eso if the decision had to be made, the department had first went to the volunteer uh uh, advisor or whatever they call him at the time and then went to the d with the advisers either decision or concern or whatever the department had won it. So the organization didn’t grow until they finally change. They finally changed the model full time employees reporting to a parttime volunteer argast person. Exactly. Oh, my all right. Let’s, let’s. Start with the beginning of the process and we will get to the corporate model that you lay out in your book way. We’ll get to that let’s. Take a couple of discreet sort of time line points and along a board members life cycle with the organization and i’d like to start with recruitment. Makes sense, i think. Xero what can we what can we improve around our board? Recruitment? Well, the chief executive officer where, whether they be a nadie or a president ceo, as i suggest, needs to have more contact with the board with the individual board members. I think they they have tto have more contact between meetings that has to be in often and formal. Ah, and they have tio they need to get to know each other. And i suggest, uh, that they actually made quarterly to informally discuss the concerns and the challenges. Ah, that the chief executive officer is facing. I, uh there are various techniques for doing this. I recently read in the harvard business review. Uh, a recommendation. Uh, that the, uh uh uh, we’re one, uh uh, for-profit ceo actually sends a email out to the board every sunday morning. Uh, just laying out very briefly, uh, in this case, his concerns about what’s going. On in the organization and what new ideas? He has a c as he indicated in the article, he says, i don’t worry about grammar right now, gina, i’m trying to focus on recruitment, so maybe maybe in in in this board meeting is often as you’re suggesting they’re identifying gaps in the board, and maybe they can try to fill those gaps with new board members that’s, right? Ok, and but as they’re going through that recruiting process to identifying skills that they need that the board is lacking, how should they be talking to potential board members? Well, they should talk to board members that what they do is to value their contributions of time, the most important thing, and they make ah, meaningful use off the board members time they don’t ask the boardmember the potential boardmember to do frivolous things, uh, such as stuff envelopes or our or get involved with watching slide shows or commenting on slide shows as one. Now that i’ve heard of s so that they focus on, they focus on the policy in the strategic issues of the organization. Okay, we’re going to take a break now, jean and when we return. We’ll keep talking about the little about the life cycle of the boardmember. And then we’ll get into the corporate model that you lay out in policy versus paper clips. So jean question about in the recruitment process, the expectations around time and fund-raising for potential board members were still now just talking about the potential member what should, what should a non-profit be revealing about time and fund-raising well, they first ought to be very clear about the time commitment expected, and they ought to delve into a deep discussion with the boardmember on this because i’ve just consulted with a organization that has recruited cem very fine people who are working on people who are building their careers, and they lay out the they discuss the the time commitment for the organisation, but in the final analysis, after being on the board for three to six months of the people have, uh, huge work commitments, and they say, j i just can’t i made the time commitments. Oh, and so they had to restructure the board in a way that allows the chairman much more responsibility, i think, than a board chair should have. And what about the fund-raising expectations? Well, not all board members will enjoy fund-raising i think it’s necessary to find those who might enjoy it or have experience with it to make some commitment to it on dh. Do you want to see that as a dollar amount or more flexible based on the individual based on what the individual strengths are, if they have contacts? That’s one thing, uh, if if they have aa dollars to give or you are in the are able teo network with people of substantial wealth, that is another thing. Okay, but there ought to be. Do you agree with this one hundred percent participation personal at some level for for all board members? Yes. That’s necessary? Because foundations, when you go for grants often look at that as a board commitment, showing board commitment that they have made the financial commitment to the organization. Should these expectations be in writing for the potential boardmember? I think so. But i think it depends upon the culture of the board and they understandings that air developed at the beginning. If you, uh, if they, uh, if the board gets a lot of questions after after being on the board for a while about those commitments, maybe it’s necessary to put it in into writing, but not necessarily a legally binding contract. Oh, no, no, no, no. Okay, but just something that here’s what we’re expecting and please, you know, indicate that you’ve reviewed it. So we’re all have well have consistent expectations, right? We’re all on the same page, okay? Eso then moving. Teo orientation. If you recruited the right people, what should board orientation look like? Well, orientation, uh, should take place. I would say over i again size and complexity of the board about a six month period, andi, in the sense that there might be a half day or a couple our orientation about the organization and its mission is a mission, vision and values. Oh, and any other details that they they have to be concerned with. But then other issues ought to be ah brought up for the new board members as they as they progress through their first six months during this period, the, uh, the board chair and the ceo i need to be readily available to answer questions from from the new board members s o that they become fully apprised of the issues as they go along a two day board, uh, section in which a lot of information is thrown at the person, uh, simply doesn’t stick its a matter of repetition, understanding and going through the process themselves. And as you know, we all learned best when the when the problems are immediately in front of us. Ah, for example, uh, with board liabilities, a lot of boards will bring in a lawyer and and lay out the potential liabilities for a boardmember in their particular situation. Uh, they hear a lot about the laws, but they if you’re not a lawyer, they frequently forget it. Uh, so when an issue comes up ah, that the that there might be a a personal liability in in the situation, it’s up to the ceo and the board chair to remind the new people and refresh the older people that this particular situation might be affected by this particular legal precedent. Would you put new board members on a committee right away? Or would you keep them at large? I would keep, um, at large unless they have a strong desire to go on a committee. And of course, a sze yu know. I suggest that there are really only three committees needed. Yeah, on this is a way of getting into the corporate model. What are those three committees? Well, first that’s. Very simple. You have a planning and resource committee. Ah, that looks forward. It looks towards the strategic plan. It looks towards the resources that i have both, uh, human resource is and financial resource is it looks forward to the planning that is, that is necessary. It also has a special responsibility that the other committees don’t have and that is to, uh, teo ah, monitor and mentor ad hoc committees. Any man as, uh, special issues come up of a strategic or policy nature ad hoc committee need to be formed for that particular issue clearly, because because we don’t, we only have three standing committee, so we’re going to get it right. We’re gonna need ad hoc committee, particularly everything ascot committed to take care of the issues. They come up, come up esso and then that’s is that their their their responsibility. On the other side of the picture is the assessment committee and the assessment committee simply assesses how we have done. Okay on that includes the oddity function and the er in states such as california, where you need a separate audit committee. A subcommittee of that assessment committee performs the audit function, meets with the auditors. This all seeds up to the to the executive committee. The third committee, which has the traditional executive committee duties of of ah, of acting for the board and emergency situations and taking a final review off the various reports that air coming through before they come to the board. So it’ll give you, say, have a board of twenty one people with seven on each. Ah, you will find that, uh uh, by the time it gets to the board, uh, through the process is the large part or nearly all the board are familiar with the issues they may disagree with with some of the proposals and have other ideas at the board meeting. But everybody is full of pretty much everybody is wholly informed. You say twenty one board members as an example. So this is cannes. This corporate model worked for organizations that have just maybe half a dozen boardmember xero their way. We could divide. That in four or however we want to arrange that, depending upon the needs of the corporations of the non-profit, uh, this is a flexible model, okay? And people have used it in different ways. Ah, and, uh, for example, i once met a person, a new organization that didn’t have any standing committees. All committees of the board were ad hoc committees reporting to the entire board. They were happy with it. I would have been happy with it, but evidently it worked. It worked for them. All right. So there’s flexibility is this more what we see in corporations and you have to you have to help me out because i don’t. I’m not familiar with the corporate model. Is. Is this more typical of the way corporate boards operate? Very few standing committees, maybe not exactly the same, but very few standing committees. Lots of ad hoc committee’s. Well, this is being ah proposed by the bye. Some major consultants now, as you as you noted in the book, however, i hate to say, but i’ve been at this for more decades, uh, than i care to admit. And in turn, uh, there are a cz faras. I know, based on the sales of the first two books there, which was the first to additions, which were their sales of over ten thousand copies, i would estimate the thousands of boards have adopted it on dh. However, it is still controversial among some boards and its best used with boards who have, uh, a about a million dollar budgets and roughly let’s, say about, uh, no over ten to twelve, fourteen full time employees. Uh, when it comes to the nation type of non-profit board uh, the i think the traditional model of bored involvement in operations is necessary because, uh, they’re simply not the man power to get it done. The basic problem in the process in the change is that boards begin with board involvement in operations and when they grow, they still sick with the old model stunting the growth of the organization, frustrating the chief executive office operations officer and on dh missing huge opportunities that they could have right in their growth. Gene, i’m not clear on, but i’m not clear on something. Is your recommendation for smaller organizations teo to stick with a more traditional, smaller younger organizations? I guess yes. More traditional sport model. If you have an organization with a budget, for instance, i know one that i’ve been very close to, uh, it has only has a budget and does great work. Charitable work have two hundred fifty thousand dollars a year in that case, uh uh, i would stick with the traditional oer organization, however, uh, in the book. Hey, hey. Still need tohave on audit committee of some sort. And the book describes what there’s a nest starita have that, you know, once or twice a year a cz the accounting issues and financial issues come up. And of course, the corporate model is important to have in mind as the organization grows exactly that’s the transition that they were going in. I’m just saying that’s, the transition that your urine compensation and allows you, teo, to grow two very large uh uh to a very large organization, if you want to go in that direction and it’s sort of mandated once you get a larger number of poise and, uh and, uh and larger finances to handle, if you’re in the area of over a million, if you’re in the area of one point five two, three, four, five, six million so full. I had one client a couple years ago that still had the old model on dh. They had a budget of six million dollars and, uh, the chief executive officer said to may look, i could be running away with this board, you know, they’re just not had supporting me in the way they should be supporting me there, worrying about the details of the operational details that they hear about now. That’s the policy versus paper clips. Yeah. And just there worrying about hypothetically the paper clips just to remind listeners that gene fram is professor emeritus at rochester institute of technology and the author of that book policy versus paper clips. Jean what? What can we expect? Aside from maximizing our growth potential? Sounds like more efficient operations. Um what? What else? Khun kayman organization expect if they adopt this corporate model of board governance. All right, well, uh, one is the the board members feel that they’re doing meaningful things. They think they see that there proposing projects. They’re monitoring their development. Uh, they’re getting to know the staff. Eso if the succession issue comes up, they know who. Uh, who? Ah, who the, uh, prime candidates might be, and they become really maur involved with the organization, as i indicated in policy versus paper clips. Ah, the ideal organization is a partnership between the board, the management group and the staff. They are all working together, there’s communications there, ideally and on. And they’re all focusing on the objective of meeting the needs and the grow, often the growing needs of the clients. Okay, we just have about a minute and a half or so before the break. What about employees who are accustomed to going to board members with with problems that assume that’s gotta stop? Yes, that has to stop that’s what they refer to it is the end run in the non profit organization. So the end runs have to stop, and they and everybody has to understand that it has to stop hyre so that people are not. People are not reporting to board members, they’re reporting to they’re they’re they’re supervisor or maybe it’s the ceo and president. But yes, but we can’t be going to board members for everyday problems. No, we can’t pay, uh, salary levels, uh, problems with promotions and so forth and so on. That’s particularly difficult and smaller community and smaller communities, e-giving where many of the employees might know, the, uh, the board members personally, you know, so that becomes important. So there is a transition period, uh, which can take anywhere from two to three, maybe even four years while this adjustment takes place. Okay, jean jean, we have to take a break. I am grateful for your support and that’s tony’s take two for friday, the twenty sixth of april seventeenth show of the year gene let’s. Keep talking. Okay, what about you? Mentioned just briefly. Let’s. Talk a little about assessing the work of the of the ceo. Who does? Does that fall under in this corporate model? Well, that’s the, uh, that’s the assessment committee makes sense. Ideally, the assessment committee looks at, uh, two aspects of the of the ceos work and the organizations outcomes. You don’t look for processes. You look for outcomes and these khun b those, uh, those data, which are what we might call ha ha ah, hard data and that’s the data that you have with accounting records, records of membership, what a number of clients, things of that nature that you can easily major. And then there, there qualitative ah, measures that you can measure has should make sure which most or many organizations don’t major, for instance, impact on the community or or excuse me image. Ah, in the community, things of that nature more qualitative. And in that area, i suggest that you do what we call, uh uh, use in perfect metrics. In fact, i have an article out on it. And i’m sure if any of you ah, if you take a look at my website. You will. You will see it there or if you even put it on in under my name, you will find it is available on on the web on. And that is a process that i suggest with the co author, that if you use in perfect metrics over time that you khun dr process dr provoc progress and develop exchange it develop change. Excuse me, jean’s blogged itt’s a little little lengthy. So i’m going to suggest that the easiest way to find gina’s teo, do a google search on eugene fram. Yes, thank you very much. I have now have ah ah. In fact, i have an anniversary right now. I’ve just put out my hundred fifty fiftieth blawg a titled what non-profits ceos think of their boards? Other recent ones air program reductions are mandated. What can a non-profit d’oh okay, another one just for example, is management knows all what does a what’s a non-profit director to dio okay, people find you. Really? I think easiest through google search now, this years have put my name into google and there there’s a lot. A lot of links there for you this use ofhim. Perfect data. Gene, won’t you say a little more about that? Doesn’t doesn’t sound like something we’d want to rely on. Well, if your process is good and you sample reasonably well, you get data. That is not exact, but you get a feel for it. Uh, for, for example, uh, i once, uh, have was on the board of a of a charitable non-profit that was targeted, uh, to counsel. Ah. P ah, various people in the community was heavily supported by the united way. And we weren’t getting many. Ah, ah, uh uh. We weren’t getting many respondents from the inner city, so i suggest it as the boardmember uh, that i, uh, talk with some of the people in the community. What, that time no one was the settlement houses and ah, and see in the inner city, uh, which were community centers, which is a better word for them. And see what they perceived is the problem. Esso i went to them and i found out what i what they thought were the problems. And now you’re only talking to three people, but they knew the communities there and the, uh, the first thing. That happened was the aids of the community centers called, uh ah, my, uh my president and ceo and said, guess what in one of your board members coming down to talk to me? So i, uh and he said, yeah, i know. And we had agreed to this prior to that. And so i listen to these people. I came back, i gave him feedback hey made changes to try to, uh, garner a greater proportion of the clientele from the inner city. And then after a year, uh, went back and talked to the people and i said, as are many changes and they said yes, there’s been modest changes, but there’s still more that needs to be done. I fed this back to the present ceo, he made changes. And then at the end of the second year, there were there were substantial changes, and the board got out of the business of evaluation at that point. All right, so buy some buy some key interviews of the right people, right? Yeah, we don’t have statistical significance and exactly, but on everything that surrounds proper, peer reviewed research. But who can afford to do all that all the time exactly. And and the article contains practical examples. Were both myself and my co author, jerry tally, a sociologist who both of us have been in ah, an end quote in the business a long time have have used the model and have found it very, very helpful. And over time, if you repeat this, asai did and and the example i gave you it was only a about a two year run until the things started to turn around and then the ceo was evaluated on on ongoing from there you mentioned earlier something i wantto spend a little more time with the proper title. Your recommendation for title. For the the chief of the of the organization, you feel pretty strongly that executive director is not sufficient. No, uh, executive director can mean various things because it’s, used in a in a in a wide variety of ways on executive director can be a volunteer who manages the budget of a small church uh uh with a let’s say, a two hundred thousand dollars budget. An executive director khun b, for instance, one i’ve encountered recently. Ah, was the it was the head of a ten. Million dollars ah, charitable organization with over one hundred employees. And i don’t think, uh, the title executive director in the twenty first century, even in the last part of the twentieth century, gives, uh, the chief executive officer of a non-profit the position and stature that that, uh, that he or she needs toe work effectively. So what do you prefer to see? I prefer once you get into the, uh uh, make the make the transition. I prefer president and ceo because people understand their what that means, it’s clear that that person has responsibility for operations except those decisions that have to be made by the board. And that title may have significance for board members also that they recognize the responsibilities of of the president and ceo exactly on dh to add to that. And in many cases, the non-profit president ceo has more management responsibility than a number of the members of the board. For instance, if you’re a professor, you loft and, uh, i don’t have any management responsibilities. Um, never had it. Okay, you worked as an individual contributor. Same thing about a physician. Uh, who is, uh, who has a single practice. The same thing with a, uh a lawyer who is, uh, who has a a single practice or even it’s a part of a major law firm. They just haven’t had the responsibility of the that the president and see the chief executive has of of the nonprofit organization implementing this. A corporate model seems to me there’s a lot of trust between boardmember sze, between the board and the president ceo, between the staff of the organization and the president ceo between the staff and the board. It sounds like there’s a lot of trust required. Yes. You have to have trust it’s it’s. Really? I if you’re and you picked it up exactly. It is a trust model it’s a model in which you have to trust the ceo. Uh, you have to trust the staff that they are professionals. But on the other hand, it also calls for rigorous evaluation. It’s not the traditional evaluation of the border, the staff where they send out a questionnaire at the end of the year and and ask people to return it. You don’t get full returns and the questionnaire is poorly formatted. It takes investigation and robust evaluation and what are we going to do with trustees who are reluctant to give up the managing the paperclips responsibilities? How do we manage those people with difficulty? Yeah. Go hope you got something better than that. Otherwise, i’m taking you off now. I’m going to cut your mic down. If that’s the best you can do. No, uh, some people you have to give them what they might consider meaningful activities such as chairing the annual dinner on things of that nature who are not working, who are not interested in the policy. For instance, if you have a major donor who, uh, just is not interested in policy and strategy and wants to do that over time. What you hope will happen with the ah corporate model with my model is that, uh, the, uh, board will turn over to people who have these dynamic interests and understand that they have to do a robust evaluation, not a cursory one, and that the majority of the board will be those types of people. We have about another five minutes or so and want to continue with with jean for the that time and talk about some of the advice that you have around week board practices. There’s there’s. Something on your blogged. There are a few posts on your block about overcoming week board practices. One of those is one of those bad practices is overlooking absences. What do you suggest there, what’s the problem. And what do we do? Well, you have boardmember sze uh, who? Uh uh, fill a board members, uh, board position and they’re consistently absent. And this is a very touchy situation. They may be very fine. People have great skills, but they simply don’t have the time to attend board meetings, which obviously critical to the organization. Uh, i think the best thing you can do is to try to talk to these people, try to retain them on the board or understand, uh, what they’re missing by not attending the board meetings in some instances. Ah, it’s it, khun b a a termination discussion. For instance, i just recently encountered one and which, uh, the board chair had this discussion with the person and she said, i’m just sorry i like the organization. Ah, and and i’m i’m tied to the mission, vision and values, but i’m doing international travel and my best, the best i can do is to open up the position and resign in other cases if you can find the root cause of it and do something about it for them that’s that that could be ah, that could be another alternative, but it’s very situational on dh. Very individual to see what you can do. Teo, handle the situation you had suggested earlier. There may be a different role for the person. Maybe it’s not. Our board will be something else i can do to support the organization. Yeah, in this one, they’re, uh instance, that i just mentioned. I i had talked to this individual and i said to her, well, look, uh, it’s obvious that you can’t do anything immediately, but your role made in your job may change again. Uh, have you asked about taking a leave of absence from the board on da ah, future time. A year, year and a half. Two years, maybe. Things during that change around and so she’s still connected to the board in some way. I may even get minutes of the board and so forth. So on as a way of retaining that person’s interest in the organization because she was there. She’s, a very fine person. Thoughtful, analytical, does critical thinking and had very broad experiences. In-kind of the dream, the dream boardmember. So you try to make these accommodations. What about insufficient due diligence on the board first? How do we how are we going to recognise that? Well, i think that’s again the, uh the, uh the board chairs responsibility along with the chief executive officer. When things are not discussed in an adequate detail, that they bring the issues up that they pride to do some of the due diligence for the people. Because again, the boardmember zehr not being compensated by large they are. They have other jobs jobs that are their main main concern. And so you may need to help them along on the dew dealings. Due diligence side jean has other identified board weaknesses and and how to overcome them on his on his blogged jean what is it that you love about working on boards? Well i, uh i like the people on dh i’ve served on a number of human services are, you know, charity type boards as well as, you know, trade associations and so forth, but on the boards that especially those that are charitable in nature, you see in these organizations, people who figured early stand ten feet tall, they do much more than they are compensated for, they do it willingly, and they really have the client’s interest that mind, a tte heart, and and then in their mind, you know, i’ve seen ah, social workers in on and homes on group homes, uh, take take some of their clients to their own homes on weekends, or even take them on vacations far beyond what is required of the people in order to ah, help them overcome the handicaps that they have. You know, those are just examples, and when you see people like that really dedicated it and you can contribute in your way, you know, i can’t do those sort of things, but i can contribute to they’re doing it, we have to leave it there. He’s expert in the science of philanthropy and his new project the science of philanthropy initiative spy is funded by the john templeton foundation. It’s, a research and outrage venture and we’re going to talk about his research and spies, outreach to charities and how you can participate. Professor john list. Welcome to the show. Thanks, tony. Thanks for having me. It’s. A pleasure to have you from chicago. You getting snow out there? The way we’re getting inundated died here in new york. Not too much, but it is pretty icy here. So it is. It is difficult driving conditions here, tony. Okay, well, i’m glad you’re safe in your little office. I was, you know, i like to picture academics. You know, my major was economics that i was an economics major at carnegie mellon university. That’s why you’re so smart now, that’s. Because i was rejected by the university of chicago. I hope you were not share in nineteen. I would have been applying in nineteen. Eighty. I hope you were not chair in nineteen. Eighty. I was not. I was actually in eighth grade in nineteen. Eighty rock. Okay, well, you’re a little younger than me, but you don’t look it from your photo now, okay? Let’s, talk about spy. This work is very interesting. Like i said in the in the lead in no longer must charities rely on conventional wisdom? Let’s, start with your methodology around campaigns. What are you doing? I think that right? I think when i first i became interested in this area, tony what i what i found was that you had a bunch of really good people, a bunch of really good hearted people who were basing their decisions. Mohr on anecdotes and gut feelings. Right, then the actual scientific method. So when i say scientific method, what i mean by that is basic a basic experiment. So in that basic experiment, it’s always important to have a control group. Because then when you have ah, treatment groups such as some people might get a one to one match. You want to always compare that to a group of people who did not receive a match? Okay, that’s what? I call a program that’s the control group. Watch out. I have george in jail on tony martignetti non-profit radio. You you scared it closely. But you then you defined control. You could define control group. So you’re clear, but watch out. Okay, all right, so so we have. This is this is the scientific method. We have a control group in a test group or treatment group. And how have you been applying this to campaigns beyond matching? Sure, sure. So when i first started, i was presented with a problem at the university of central florida. So at the university of central florida, the deen challenged me to start a center to do research in environmental policy and what the dean said it is. John, you are responsible for raising money to start the research center. So of course, the first question becomes different in need of resource is for a capital project. What are the first steps i should take? And the fundraisers will tell you you should secure a fraction of the money privately before going public. So, as an economist, i asked a simple question. Well, what is the optimal fraction? What i essentially found? Wass ah, bunch of anecdotes about what that fraction should be. For example, the fund-raising school recommended that forty to fifty percent of the goal should be pledged before the public campaign begins. Other hand books recommended figures between twenty and fifty percent. Right around the same time the university of wisconsin was building there. Cole center, which houses the basketball team in the hockey team. And what they had done in the quiet period is they’re gone out. And gathered twenty seven of their seventy two million dollar goal. So as you can see that the evidence is sort of scattered all over the place. And i simply asked, how do we know which fraction is correct? And very few people had actual scientific evidence to back up their claims that a certain fraction was actually the correct fraction to gather in private before going public. Okay, so he looks just exactly is i didn’t set up a direct mail solicitation, and i split ten thousand households into different buckets or different groups. In one group i advertised, we’re looking for money for our center for environmental policy analysis here at the university of central florida, and we already have ten percent of what we need. We already have that from an anonymous donor. If you know, another group of hall souls received a different kind of letter. It was identical in all respects, except it said that we already have thirty three percent of the of the goal. And another group received a letter that said, we have already saved sixty seven percent of the goal and then the fourth group, which is our control group received the letter. But there was no mention that we have received up front money. Okay? And so this was to our knowledge to your knowledge, is was the first scientific method rigorous test at least that you could find of different match is having an impact on thie outcome of giving? And what did you find that’s? Exactly, right. So what we found is that over that range from ten to sixty seven percent that the more you advertising seed money, the more gifts that you will receive. So in this particular study, what we’ve found was that most people gave and those who were going to give actually gave mohr so the more seed money you have, you wouldn’t do it more people to give and those people who would have given anyways they actually give mme or when you have ah hyre level of seed money. Okay, interesting. And so you did this work. University of central florida. You were then stolen away, recruited away to the university of chicago for more sophisticated work. E well, i don’t know about that, but, you know, there were a few stops in between. I ended up going to the university of arizona, and then from there, i went to the university of maryland and well, i was at the university of maryland. I spent a year working in the white house at the council of economic advisers, and then after that, i came here to chicago to get smarter. Okay, well, you work your way north from from two very south locations. Work your way to the northeast and then the frigid chicago area. Now that you’re at the university, your work has expanded and you’re doing work now with some pretty large charities. Want you describe that that’s, right? That’s. Right, tony, um, you know, after you established that upfront money is important, you can ask yourself, well, should we be using that money is simply an announcement like i did at the university of central florida? Or should we be using it as an announcement and is a match? So, for example, you could say an anonymous daughter just gave us one million. Dollars now we will use those funds is a match. So, for example, for every dollar that you give, we will match with a dollar of this donors. So we ended up taking that idea, which, of course, is a common idea in fund-raising to a simple, direct mail experiment with the sierra club of canada and what we were interested in there it was simply testing the idea of announcing money, which i did at the university of central florida campaign versus announcing money and using it as a one to one match. And what we found there again, we’re we’re sending out tens of thousands of letters two households essentially using the normal ask that the sierra club uses. But here some households receive a letter that has, for example, no mention of this upfront money and that’s, a control group. Other households received the match other households received. We have some money. But there is no match campaign. And what we found there is that again. Seed money works quite well. What i mean by seed money is that if you have up front money that’s very effective in generating people to give but the interesting thing there is that the one to one match worked about as well. Is the seed money treatment in both of them worked much better than the control group. Okay. Okay. Now, the one to one match. This is with the sierra club of canada. The one to one match, you said worked a little bit better than the leadership gift announcement. Actually, they were the leadership gift announcement. Worked slightly better, but they were okay, but they were statistically the same. If you look at them throughout statistical tests, they were about the same. Okay. Okay. And that was a one to one match. Now, what do we know about the what have you learned about the differences between different levels of match? One, two. One, two, one. One, two, two, etcetera. Exactly. You know, tony that’s a great question. Because that’s that’s clearly the next step in the research agenda. And when you look a man, i should have been a profess xero economics. I did well to carnegie mellon. I have no shot having gone there so way. Always have a spot here for you at the university. Thank you, thie that you know, you’re not the dean. Just need department chair. Well, no, i’m just a lowly department there. Department chair, while i’ll use you for my letter of recommendation. All right? Absolutely. Okay. What do we know about how these different levels of matching compare? Yeah. That’s a good question, because you know, the anecdotal evidence out in the field is that obviously a three to one match should work. A lot better than a one to one match in a three to one match, of course is, for every dollar that you give, the charity will match with three dollars and the one the one every dollar you give the charity will match with a dollar. But of course, when we went out to the literature, we could not find any scientific evidence that indeed a three. The one match was better than a one to one mad again. Just a lot of conventional wisdom. And this is the tradition. Absolutely. Okay, absolutely. Which, of course, drives an economics professor. Not what we don’t have any data or scientific evidence to back up that finding. All right. Here’s. Where we? Yeah, here’s. Where we part company c i should probably just settle for an honorary. Ph d from the university because it hasn’t driven me as nuts as it has you, but i’m glad it has go ahead. Absolutely so this time we teamed with the national liberal non-profit in the us, which does political and socially oriented work, and i have to be careful because i cannot mention the non-profit due to a non disclosure agreement that we made with them. But essentially the background is that every month they send about fifty thousand letters, too. They’re regular donors, and they asked them for money and essentially what we did is, again we put the households into different buckets or different groups. In one bucket, you had households that received a one to one match offer. In another group, households received a two to one match offer, and in a third group, households received a three to one match offer. And then, of course, we compare that to a fourth group, which is the control group, right? No match, no match at all, which they received, you know, a typical letter that says we’re looking for money to help the cause, so to speak. Okay, so what we found here is that if you just look at the data amongst those households that received a match offer versus those households that did not receive any match offer. You raise about nineteen percent more money in those matching treatments compared to the control group. Excellent. And the interesting part is that effect occurs entirely on what an economist calls the extensive margin. And what i mean by that is that nineteen percent occurs entirely because the response rate went up about twenty two percent. So more people decided to give. When there was a match available, they still gave the same amount per person. But more people give when there’s a match available. So so the effect is not because people are giving mohr, but because more people are giving exactly. And this. And then the level of giving doesn’t change among among all the people who give versus the control group that’s, right? So if you were going to give anyway, on average, you give the same amount. But you just get twenty two percent more people to give some money rather than give nothing. And is that impacted at all by the level of the match? Exactly. So the other finding that we that just jumps out at you in the data. Is that the three to one, the two to one and the one to one match groups perform identically. Are you sure about that, e? I mean, nasa has made mathematical errors, and they forgot to convert you forgot to convert fahrenheit into celsius or something like that. Are you sure about this? I mean, it happened, you know, if you hadn’t. If you haven’t double check your math, i’ll understand. But i’ll tell you what. I have double and triple checked my math, and i’ve also gone to other charities, and i’ve done the same kind of experiment with amnesty international with liar, a beat, a children’s hospital. And what we find over and over again is that having match dollars, really? That really matters a lot. But the size of the match does not matter. Ah, that’s. Very interesting. Very interesting. And contrary to all that conventional wisdom that we were talking about. Okay, so the one to one match pulls well, has has the same effect as the three to one match. Okay, if you’re sure okay, what about the one, two two or one two, three. Where? A dollar gets fifty cents or something like that or those types of matches exactly that’s very good questions. So we have now extended that original experiment all the way down on the other side, so we’ve looked at one to two and we have looked at one, two, three and again one, two, three and one, two, two are the same as one to one. So at least over the range that we’ve experimented with one toe, one all the way down to one, two, three and all the way up to three, two, one we find the same result that people give the same amount of money. Now, i think we need to take care here, because if we would go all the way, say, for example, to one to one hundred, if you give one hundred dollars, we will match with one dollars, i’m pretty sure that would not work very well, although that’s a gut feeling, so i i i i don’t want to break my own rules, right? Because that’s, just my intuition that suggests if you go that far, you can actually hurt your capital campaign, but i don’t have any empirical evidence for that okay, john list is the homer jay livingston, professor of economics and chair of the department at the university of chicago, and we’re talking mostly about his work through the science of philanthropy initiative at the university spy, which you’ll find at s p i hub dot or ge, and we’re going to talk about working with it’s by very shortly. All right, john. So now we don’t know one, two one, two a one hundred match that would i guess you would expect that to be different than a one to one match, but we don’t have any evidence of that, right? That’s correct. Okay. Do you plan to test a match that that that’s that largest to see if there where where the boundary is that the one to one effect breaks down? You know, i would love to. And just exactly as you mentioned. Always looking for partners to try ideas such as that one. And i think that’s exactly. The next step that the research will take is is where does the match the effectiveness of the match actually break down? I think it’s a great research question and one in which i do wish. To explore. Okay. Okay. Interesting. Now you have some evidence of how this works on ah, dahna ah, warm list versus a cold list. Why don’t you describe those and what? That what those outcomes are exactly. Exactly. So when we think about warm list, what? The way that we differentiate people in data sets is a warm list is a person who has given to our cause within the last three years. So if you’ve given ten dollars or ten million dollars within the last three years, we label you is a warm list person. Ah, cold list person is a person who has not given to our cause in the last three years. So that just gives you some definitions of the way that we think about cold lest versus warm list. Now you’re exactly right to pinpoint that feature in our data. What we find is that the cold less people are more influenced by the match, then the warm list people it’s. Not that the wordless people are not influenced by the match because indeed, warm, less people are influenced by the match. They’re just not as influenced as much. Is the coldness, people? Okay, okay. And they’re influenced in what way the proportion of giving is greater, right? Because we’re talking about more people giving not people giving mohr money exactly it’s exactly proportion all about the number ofthe coldness people who give above and beyond the number of coldness people who give in the control group. Okay, okay. Interesting. All right, let’s, move to. Well, let’s, let’s spend a little time talking about the partnership. We have more to talk about your research in terms of leadership gifts. We’ve just been talking about matching gifts, but you’re you’re actively looking for charity partners to work with, right? Absolutely. So, you know, we’ve just we’ve just begun. We’ve just started spy hub dot org’s is you mentioned earlier, and even though my own research, i’ve been doing work in philanthropy now, since nineteen ninety eight, we have just received a very generous grant from the john templeton foundation that allows us more opportunities and more time toe work with those charities out there who are interested in partnering with us. Remember, you’re gonna have to put up with our craziness because we’re academics. We have crazy ideas. Yeah, you should see your listeners if you go to my block. You’ll see you’ll see john’s, head shot and there’s all kinds of mathematical equations behind him on a blot on a blackboard. There’s, not even a whiteboard. I was surprised i would have thought for sure university chicago would be using whiteboard technology, but not in your classroom anyway. Unless it’s an old photo it’s it’s chalk on a blackboard and you have the and use lambda in your and some of your equations that would know lambda always scared me as i was as i was doing economics, studying econometrics and regression analysis. I don’t know why just lambda lambda just seems intimidating to me lambda i don’t know a couple of lamb does behind so yeah, i looked at your picture way linda brings up everybody still old school here. I’m sitting in my office right now and i actually have a blackboard in my office which has lambda written on it. You do see that’s? Why i’m getting a bad vibe going toe. Our bottom line is this we don’t charge for what we do, but what we expect is that we can use the data that is generated from the cause you know, from the telephone or the direct mailer or the or the banquet that we could actually use those data when we write academic papers or we do radio interviews or television interviews. And what have you that that’s, really, the only cost is that you allow us to work with the data and pushed the knowledge frontier in this particular sector, because that’s, really what we’re in it for, we’re not in it to make money ourselves way really want the sector to undergo a scientific revolution, because we believe so strongly in this sector. Okay, on dh, this can be done anonymously, right? The charity name doesn’t have to be in your research. Okay, absolutely. Professor list way told charities how they can get involved with you. Let’s, move to your research on leadership gif ts what was that about? So? So what the leadership gives essentially are about is that if you receive upfront money, there are many different ways to use that up front money. You can simply announce it is we did at the university of central florida. You can use it as a matching gift. Is we just talked about, or you can use it, for example, for small gifts. You know, small daughter gets teo to give to people who actually give to your cause. Or you can actually use it for lottery prizes. If you wanted teo to link people’s contributions to a possibility, tto win a large prize. Those are other ways in which you could use upfront money as well. Okay. Interesting. Yeah, go. Ahead what we’ve been finding is that if you actually link the donation to ah probability of winning a prize that you khun considerably increased giving rates, in fact, is much is one hundred percent, and most of that result is actually on again the extensive margin more people are giving when they have a chance to win a prize. Okay, um, and how does how does this type of e-giving compare with the one to one match? You know, this type of giving is in the range of a one to one match. So if your ah, if you’re thinking about going out and using up front money, what we’ve been finding is that a one to one match works about as well is ah, lottery where you where you give away a large prize, say a thousand dollars to one of the donors it works about equally as well as a one to one match. Okay. Okay. Um, these are too different types of inducements. This is interesting. Is that the, uh one to one match is conditional on the person giving and the the other is not it’s it’s. Definitely. What? Why that? What is that difference? Mean, exactly. So what we’ve been finding you pinpointed a very important fact in our data is that on the one case one to one match, those dollars essentially are conditional in the sense that you have to give one hundred dollars to have the anonymous donor gives one hundred dollars. We’re a leadership gift is essentially the the lead daughter giving money that’s unconditional. So what we’ve been finding is that that unconditional gift tends to be slightly stronger, a slightly stronger signal to donors. Then the match gift is, and we think that’s because the signaling value off that gift and what i mean by signaling value is this anonymous donor probably knows mohr information about the charitable cause than i do. So if i see her giving a large amount of money for the cause, that sends a signal to me that charitable dr is a good one. It’s a good signal of charitable quality, that’s what our data points to time in and time again, that the leadership, a gift is a very important signal of the quality of the charitable dr. Okay, okay. Let’s, i want to talk a little about what you’re what you’re doing next. You have some interesting research that you’re working on your next project, the one one and done right? Yeah, right, please. Yeah, that’s good that you bring that up because this is a project that right now has a lot of my attention, and this is a project that we’ve worked in partnership with smile train so smile train is a wonderful organization that takes care of cleft palates of of the youth overseas, so they send doctors overseas to take care of this very dreaded birth defect. And with them, we’ve developed a program which we call once and done and essentially it’s a direct mail solicitation. But within that direct mail solicitation, it says, give now and we will never bother you again if you check this box. John, we have just a minute left. Give, tell us briefly what? What? The impact of that is sure what we’ve been finding we’ve sent to about eight hundred thousand people in what we’ve been fighting is that if you use once and done, you can raise about three times more money, then you can with the control group onley thirty four percent of the people will actually check the box. And when you look into the future, you don’t actually lose donors. You raised just as much money in the future. Is you raised from the control group in the once and done group. So, in essence, you raised about three times more money in the initial mailer, and it does not compromise future fundez from those people. Okay, we have to sort of leave it there. I think you should call it one and done, though not once. And done. You’re missing the good alliteration opportunity wanted done. No one gift. And you’re done. Remember how many economists not an english professor? Would you go for the goal for the liberation? I don’t have more punch one and done. I think you should rename it one and done. Welcome. Thank you. Nice to be here. It’s a pleasure to have things very much. Your session topic yesterday was don’t leave money on the table. Ten proven practices for success with magic gift let’s start with a very basic why shoot a charity spent time with matching gives his reforms there’s compliance is going to be back and forth with companies. Why is this worth it? I’m currently about a little over a billion dollars a year is given by corporations to matching gets about one point four billion dollars it’s about twenty thousand companies in america that will match their gifts, about half of the fortune five hundred have matching gifts, they’ll match donations, and a number of them will also match volunteer hours. So, for example, if you volunteer at a non-profit you work for microsoft, they’ll actually pay you fourteen dollars for every hour that you don’t pay the non-profit fourteen dollars for every hour they volunteer and some companies if you give them a thousand dollar donation or one hundred dollar donation, they’ll match it. Oneto one, two to one, three to one. So it’s in a sense, it’s kind of newfound money caused fund-raising isn’t all that high. There are some compliance issues and paper forms and such but that’s getting easier. So in general there’s there’s a big opportunity and i’ve done a lot of research that has shown that most companies are not doing nearly enough in this area and they could be substantially increasing their revenue several percent if they pursue some of these practices. How recent is the bee in person volunteer time it’s been a mean it’s been in place for a while now. It’s a relatively new thing but it’s it’s been in place for a while. Okay, so it’s worth the small administrative time that’s right in the past. The way the process worked was the employee was encouraged to go to the hr department. More recently go to the internet at their company. Get a form. Fill out the form. Send it into the non-profit. Non-profit indicates that they indeed got the donation. They send it on to the company. The company over time has been outsourcing this to other companies to do the paperwork. So it’s actually been someone burned some authority, but the internet and a lot of links now have made this easier. So most employees now just encouraged to go to a a site. They could indicate that they made this donation and the paperwork is all done. So, for example, there’s, a company in new jersey that j k group that works with many of the fortune five hundred companies, and they have a website called easy match and you use easy match the processing for the nonprofit for the employees, for the corporations made much easier. Okay, e-giving listen, is the name of that company one more time? The company actually is kind of in the background, but their website is called easy match zizi match daikon. No, i’m sorry. E a s y m a c h dot com. Okay, hyre so what was what was the first piece of advice that you shared on building this magic gift? So one of the pieces of advice which actually wasn’t the first, but i’ll start with it is the benchmark with against your peers. So in different organizations, latto have different resources, there are organizations that have probably like yours that that i realize a greater percentage of matching gift dollars, and so when you’re actually looking at the opportunity. So for example, if your university, there were many universities, now that a matching five, six, seven percent of the total revenue with matching gifts. So if you’re doing one percent in your university, you’d say, well, how are they getting five percent to finally get one percent? If you are a public broadcasting station, good public broadcasting stations, air getting three or four percent, most public broadcasting stations are getting well under one percent so they can look at their numbers and they say, well, why am i not getting three or four percent? So it’s a good way by benchmark king first to quantify the game that you might realize really, it does vary considerably. Sounds like across different charitable vision. Well, it doesn’t, and in fact, the public broadcasting stations could probably achieve five, six, seven percent that they would need to actually start doing some of the things that comes more easily to a university, like knowing where their people work so university can collect that more easily. Where’s, the public broadcasting station might have more trouble finding out that you work for ibm, but but still the real issue is that if you know how well some of your better peers are performing, you can actually estimate what how much money is at stake for you. And then the actual practices are relatively easy. I joked in my presentation that there’s a surgeon, a tool go on, they wrote a great book called checklist manifesto, and he pointed out in the book that if doctors washed their hands, they would get ten thousand fewer patients a year would die of infections, and book doctors don’t always wash their hands. In fact, the substantial number don’t well, then matching gifts. The analogy is that if you want substantially more matching gift dollars, all you have to do is remember who matched last year and remind them when they give this year to match again. So it’s, not rocket science. But if you do it, you actually would boost your matching gets there’s a few practices like that that are relatively straight forward, okay. Okay, here’s, the rest of the chuck longfield interview my share, another short, simple fun i could find simple and fun that’s, right? So another one is is that a lot of people now moving, too websites to make donations it’s relatively easy to but on your website another line which says that if you work for a matching gift company, please match and you can actually hyper link it to the list of matching cos the twenty thousand companies so somebody, if they do work, they can click, they can look up apple computer, they click on apple computer indicate that they work for apple and the process can begin. And in fact, with somebody like apple, the next thing you’ll be directed to do is click on easy match and the process basically would be finished. Type in your employee i d number indicate that you made the gift and be off. Is that a list of twenty thousand proprietary? You have to be working. With a company to be ableto hyperlink super vis, yes, it’s actually it’s a very low cost and smith it’s made available by two companies, blackbaud is one kapin is and now the gp is another, and it costs about a thousand dollars to license the soft with the list of companies and an awful lot of companies already licensed. It put it on their website, but yes, a small and midsize non-profit that’s not doing that should do it because it’s relatively easy, and then the donor is self serving, servicing themselves, they’re indicating it moving on got another like he’s fun. Well, another one is, is that if you’re a regional non-profit so say europe non-profit in the houston market, houston, texas market and exxon mobil is a big employer in your market, or if you’re a bank of america and urine that their market, you can actually get their blank form. And if you know some of your employees work for exxon mobil, when you thank them, you can actually just send them the form or send them an email hyper linked directly to the exxon mobil website so they could go on, make a donation and it’s relatively easy to determine that some of these people work for exxon because they might already have volunteered their email address and their email address might be chuck it exxon dot com really pretty simple research making it so much easier for the donor hyre that’s correct. And in fact, if you look at the university’s universities that are getting this five, six, seven percent more money aren’t doing anything more than these basics, plus making sure they find out where you work. Okay, what our strategy for finding out where you work, we mention public radio probably doesn’t know that how can i help the small net size shop get that information? So probably the best way is, is that if you’re doing phone of john’s or any type of telemarketing speaking with your donors, so for example, in public broadcasting, they have pledge drives when the person calls it in pledges, you simply ask one more question, where do you work on whether your company matches and you’re off and running? If you do telemarketing you, khun called sometimes organizations calling thank their donors and you think you could ask him if they work for matching company? You can buy this data from song third party vendors. That source isn’t so great yet that that there isn’t really an easy way to give them a list of your donors and for a third party to actually tell you where they worked. But those companies are trying to get better at that. Linked in, obviously, is a celestine, so sometimes you can simply go online, and what a small and mid sized non-profit could be encouraged to do is just go online and look up your major donors. You’re bigger donorsearch sabat e-giving five hundred thousand dollars. Type them into lincoln, see if you can find out where they work it it’s, a matching company pursuit for a matching gift. So i made you die aggressive, too easy and fun. Are there other strategies? Wanna share that geever topic you’re talking about? No, you know, actually, i think the ironic thing about many of these things is that they’re actually relatively straightforward, you know, one of the things that is more complex and could actually make it easier, but easy matches is kind of doing away with it is some organizations can actually take the form, fill it out, fly you send it to you and all you have to do it, sign it and send it back in. And if you’re a national non-profit that’s hard because there’s so many matching gift forms, but it turns out in most cities in america, major cities, three of four, five companies represent eighty percent of the matching gifts in that area. So in many cases, you don’t have to work that hard for it. One other thing you could do, which is probably true of a small kruckel organization. That’s, right? That’s, right, it’s just, you know, most of the money is coming from the big employers in town. Now, one of the other things you could do which is kind of a clever thing, is that say, you know, you have a lot of people who work for a company and it doesn’t match gifts, but you may have twenty or thirty employees that worked for that company. What some people have found success in is actually just making a list of those thirty people are and going and visiting the company in their corporate relations and talking to them about what would you make a donation to us either because you’ll match your employees gifts or you’ll just make a donation, advertise it and you’ll know thirty of your employees is gonna be thrilled because they support the organization as well. And so it’s another way to engage companies and promoted and again universities have gotten very good at that practice is well and end up pursuing people. You have just about two more minutes. Okay, what else? I’m just gonna throw it out. What else would like to share around? Pretty simple teo to build scale? Yeah, that’s e-giving dahna well, the one thing thiss isn’t the technique, but just to show the opportunity when i said that there’s one point four billion dollars donated that’s about ten percent of corporate philanthropy, so corporations make many other donations to non-profits, but about ten percent of it is matching gift contributions. One point four billion that is less than, and in most cases fairly well, less than one percent off. When i said that there’s a five to seven percent opportunity and so there’s tremendous room toe actually raise total corporate philanthropy, matching of france will be by a billion. Two billion dollars. I had a question this morning about what that actually leads corporations to cut back on their match and give program, if all of a sudden what people were doing it. And i’ve talked to people both work in the company’s as well as other knowledgeable people. And they joked that it’s still such a small toe, a percentage of total corporate philanthropy that we could easily double it, and the corporations really wouldn’t block at it. So why definitely encourage non-profits to go after this money, and i think it will be there. Let’s, take that rationalization off the table. You’ll end up cutting us back if we do more often. Hm. Marketing is tactical activity that you engage in on top of your brand messaging so that’s, very dense technical activity, your brand messaging, what does? What does it mean in your heart? So for example, marketing activity will get you a toe by particular toyota s o you’ll see an ad, you’ll say, wow, that’s a great price. I’m going to go buy that toyota, and but that needs to be built on a brand and it’s the brand that allows you to ally yourself within that that product and believe in it so that you will subsequently say, never buy another car other than a toyota for the rest of your life. So the marketing is tactical in the branding is strategic ah, the marketing ask youto to engage in a particular activity make this donation volunteermatch volunteers have to be all about money that’s right here beyond our board and that supported by your mission, your your brand or the the the notion in people’s mind of of why you exist and why you matter so ah there so marketing is essential as the communication tool too. Get out a request for specific activity and you want to do this all in your own voice, right? This is why marketing you matters that’s, right? You want to do it such that you are creating a sense of alignments with your with your organizational with your organizational brand, you want them to do what you want them to do. But then, at the end of the day, you also want them to believe it and believe in you and believe that they have done something good. And before they can believe in you, they have to know about you and there’s, where the right communications eso marketing is communications there’s an interesting statistic that just came out from nancy shorts, men’s blood getting attention, which says that eighty four percent of non-profits characterized their own messages as difficult to remember. Oh, my eighty four percent of non-profit difficult to remember difficulty. Remember how this is a communications, but they know it well, yeah, then and there’s nowhere this issue they know. So what we gonna do to cut through this so first? One thing that’s important is teo not be afraid of marketing when people think of marketing the i don’t get a little bit of cold feet like this is something that’s going to be costly it’s going to be in order for it to be effective it’s going to have to be big, and for some people it’s just a pejorative term. And for some people it’s a sort of term it’s ugly thing, it’s a it’s, a it’s, a it’s, a right it’s a for-profit or ah it’s a commercial activity that non-profit shouldn’t be engaged in, but actually because it is about communication if you i have an organization whose mission is good. Whose doing something good in the world, it’s almost a crime not to communicate that if you don’t communicate that thousands of people who are actually in alignment with what you do, who care deeply about what you do don’t know about it, right, you don’t want to hide and right, so marketing is your is a means two to get that out in your own voice, to those who are already predisposed to want what you do to to want to support what you do ah, so it’s not it’s, not about back-up a chain, you know, trying to create a marketing message like a ginsu knife, kind of like push, of course, it’s really about just explaining in ways i think old thirty second infomercials at four in the morning or too expensive. Anyway, it can’t be engaging in that. So put those aside no it’s about communicating the true value of of your offerings so that people can understand it with with, with clarity and and and an understanding of what there they need need or want to hear. So it’s this overlap this intersection between what you are and what you do and what they’re ready to listen to and to find that place and we’ll talk about we can talk about that a little more in in a minute, but don’t take over the show, we’ll get we’ll we’ll follow my agenda. Okay, okay, but we’ll get to that point. But you have some very good ideas. First about howto identify who these people are, who might be predisposed, and we have just about a minute before the break, and then we have lots of time after the break, so we just sort of tease the the your idea around finding the right people for your message. You, i have lots of information already, probably about your constituency, who gives you money? Who comes to your events, who visits your institution? Ah, that data. I cannot just sit idly at the, you know, in the corner somewhere. One of the things that an organization can do that can be tremendously effective in this is something that anyone can do, and it doesn’t require any money at all, and that is to take all that data and build it up into what we call personas teo to make of that information, eh dahna a really person, something un imaginary person that you can talk to that will that you can use toe bounce off your marketing ideas in your location idea. So let’s, look a little more into these these personas that maybe could be a donor or could be a potential boardmember or maybe some other kind of volunteer. Or how do we identify these people? You want to think about who engages with your organization and essentially list them out first by type? You know we have donorsearch thes general characteristics age, you know, sixty five who’s retired who’s, you know, has time now too volunteer at the organization and so forth. So you you’ll know these people are but what you need to do is too create hey ah, an amalgam of a couple different people, but then make that into a persona that is very specific. So it has a name birthday on address. Particular children, particular pet peeves. Interests dahna such that you can actually write a journal entry and there in their head a ziff you were them. And of course, you could have multiple personas for each category. You wanna have a view percent might be a teenager. That’s, right? I also be your retiree that’s, right? You want to create a number of them? I think the maximum number is about nine, but you want to have these very specific persons and you can, you know, grab a picture off the internet, give them a face, make them as real as possible, and you can actually bring them to meeting. What else do we know about them? What? Where they shop exactly where they shop? What? That, what websites they visit? You know what they do in their free time, what their secret fears are, what would be the what would be the worst thing that could possibly imagine happening to them in their entire life? Life you so that you create something that’s sort of a sort of psychologically formed imaginary person, and you give it a name and a face, and you use that to look at what you’re doing. Look at oh, we’re going to send this appeal letter out. Well, what would george think of that? And you be george, read the letter and say, well, this is this part of the letter is silly, i don’t i don’t care about that. So it gives you this consumer. Ah, perspective on what it is that you’re trying to say, and it can make it substantially better and it takes some work, but it doesn’t really cost you anything to put this put these personas together and it doesn’t cost you anything to bring them to a meeting and some people, like physically, like, have a little alright stand on then or do these people talk in the meeting? What are we doing with them? You could so yes, they will criticize and review what you’re planning on doing that the actual program that you’re going to going to put out there, and that gives you this view that internally you don’t have, um and it’s like focus group almost but you but you’ve got this sort of imaginary person in the room and this can be extremely beneficial. If particularly you, then sort of look at your organization, you create a kind of like a venn diagram. What do we do? What we do this and we do this and we do this and he’s like the three areas of our of our activity. Where do these personas overlay on that you could like? You have little chest piece is almost like where did they sit on this thing? And where is our sweet spot? That is, that is going to capture the broadest group of our constituents. And how do we need to talk to them? Who are they? And what language did they understand and will make sense to them? You can then tail your broad brand message. Your your your overall institutional organizational messaging to speak to them it’s a hundred times more of what you’re already already writing in their voice. I mean, you said you can even write their journalist that’s, right? Right? To write to them right to a specific person and not to this sort of amorphous, fuzzy general audience. And it will make whatever you’re doing one hundred times better. Okay, who do you who should be involved in creating these personas? Well, that’s an interesting thing and and it’s. Okay, say that’s a good question. It is a great. Even though i admonished you before you can say that’s a good question, that’s allowed. Can i tell a little story about this? Sure welcome. Who should? Who should be involved in understanding the consumer’s perspective in relation to an organization? The best answer is everyone that may be impractical, but arnel lehman, the director of the of the brooklyn museum who i think has a kind of a visionary andan adherent to trim, to have marketing, whether he recognises it or not initiated a few months back. A new program on this institution wide program where he requires every single person in the institution, whether the c f o the chief curator or a research associate to sign up on a sheet or not maintenance maintenance on a rolling basis. Uh, spend an hour on the floor of the museum interacting with the general public. Yeah, and just a knauer or an hour week or just a now on a rotating basis. So i don’t know how many employees they have. Quite a few so proudly takes a while to get through that cycle, and i think he instituted this, you know, basically with a switch oven avenida act in this case, and i think there was quite a bit of resistance internally to this. But what this does is it gives everyone that kind of on the ground retail insight about the experience of the exhibitions at that museum. Uh, the insights gained there will have, eh, a long term sort of cascading impact on improving everything that they do because they’ll be aware of the ultimate final on the ground, sort of experienced how people are using that museum because they’re interacting with absolutely answering their cars they get so they’re watching. Maybe even yes. And i went to an unrelated meeting there recently. And when i came out of the meeting, i went into the great hall and there was a fantastic exhibition there, and i had to tell somebody about it. So i walked overto this man who looked official, and i started saying, this is an absolutely fantastic exhibition and, well, what was it? What was it was thie connecting cultures in there in the great hall? Okay? And we started up what turned into a forty five minute conversation about the exhibition and the institution and how it relates to the public. And it turns out that he was serving his his one hour intends to come the quarters of his three quarters of his one hour, i think, to both of our both of our ar benefits and that it was actually edward bleiberg who’s thie, curator of egyptian classical in ancient greece. Turner so but what he learned from you in that forty five minutes. Do you think it was very interesting because he had contributed to that exhibition and he was resistant to the notion of that exhibition? And i spent, like, fifteen minutes extolling how sort of basically saying why? I thought the exhibition was great. And in fact i brought my kids to the exhibition that the following saturday and they thought it was great. So he was getting retail in sight. He was getting what? Ah, i as the actual, like coming to it, knowing nothing about the background or the struggles that led to that exhibition, but the the actual user interface he was getting a firsthand account of how his work and the work of all the other characters who worked on that played out on the and this is the this’s, the tactical experiential level which makes all the difference for the success or failure of a particular exhibition, and ultimately of the institution and all that. And in order for that to happen all aren’t a lehman had to do is just have this idea. Yes didn’t cost him a thing. And this would obviously contribute to the creation of the personas. Yes. Okay. Carl tronvig emigrated to the united states in the nineteenth century and went in north dakota. Okay, south hoexter in memory, and we’re gonna talk a little about another family member of yours shortly. Let’s, talk about the trim tab. What? What is it? What’s. A trim tab. And why is this trim tab? Marketing trim town is a little device. The edge of a rudder that helps it turn. But the importance of the trim tab is a metaphor is let’s. Say you’re a child and you’re in a bathtub. And you have a little replica. A miniature replica of the queen elizabeth to this huge ocean liner and it’s floating in the bathtub. And you want to turn it well, the natural reaction would have to be in the tub with my brother. Do i? I hated bathing in my brother. You want to turn the ships and i’m there alone, we think my little boat. So you touched the bow right? To turn the ship. You wanted to go left. So you you touch the touch the bow and that turns the ship. But if you had an actual queen elizabeth to ocean liner and you wanted to turn it by touching the bow, the force required to move the ship by touching the bow is astronomical. So how does this ship actually turn the rudder? Right? The rudder is in. Fact, the size of a house so i can’t turn it with my own strength. So in fact, on the end of the writer there’s, a little tiny rudder, i called a trim tab if it turns in the opposite directions writer creates a vacuum and allows the rider to swing easily the direction that you wanted to go. Okay, so now if i take that model and i live out of the water and i tried to figure out what makes this ship turn it’s going to be very difficult for me to understand that it’s, that little tiny trim tab on the tip of the rudder on the rather writer on the redder, they’re actually allows me to easily turn this ship. So this notion of the obvious small changes that can turn the whole organization is what we’re talking about. This is the notion of a trim tab this’s finding those things that that actually can steer the whole system in the direction you want but are not big. They’re not costly, they’re not. We have this idea that big solutions are big problems have to be solved with big answers. That and marketing is one of these big answers it’s like, oh, well, we need to have more money. Well, let’s, let’s mount a big marketing dr and that this big marketing drive is going to give us big results. That notion is flawed and that’s good news for small and midsize charity is very good news in the fact of the matter is that if you think about the system and you think deeply enough about changes that can be made at the user experience level, there are some very minor that’s what i say when i say tactical, they’re very minor changes that can be made that can have the same effect as these big marketing programs were. We recently did a thing for the bronx museum where we were asked to get more people to come into the museum. Ah wei have a certain amount of money, and they wanted to do a traditional marketing program, you know, bust signs, bus shelters, subway posters and so forth, which we did, but we set aside a little bit of that money to do something else that they didn’t really ask us to do. And that was to change the sign ege on the door. And the windows of this at the street level of the museum. Okay, that thousand dollars from the however many thousand dollars, but what we had was the best money we’ve got because that’s, what actually brought people? How do you know that? How do you know that the door signing and the windows made the difference? Because when we were, i hope you’ve a few a few things one when we were talking to people as they were walking on the right on the grand concourse, they’ve been there for forty years. Ah, and we were asking people on the street will what’s this, and they were saying, i don’t know they’re working buy-in causevox busy. Is that? Is that a courthouse? I don’t know. And if you looked at it, then considering okay, why don’t they know? Well, let’s, look at it. Oh, okay. There’s, the sign the sign is is way up there over the top of the door and there’s a flag way up there. But people tend not to really look up when they’re walking down the street guy. So and it’s a beautiful building. But there was nothing on the front door that you could see that the windows there wasn’t really anything that was big and obvious telling you what this was and and they were announcing in this case that they were free. So we put big orange signs in all of these places that you would see on the street and lo and behold, people walk. How come how can charities find the trim tab? The the example that i give you that i give you a minute ago about understanding who you’re talking to and how they see you is a is a is a kind of trim to have activity personas as a function of your spending the time because i think any trim tab action requires a kind of research it requires thought you’ve got to find that thing it’s not going to be obvious it’s not going to be the the i mean, the thing that’s right there in front of you, it won’t be the big an obvious thing, so you have to look at your system uh, how does it operate? What mental models are you operating with? Like what is what is this? And this is also how personas are interesting because they get you out of your mental models your marketing department might have its own vision of, like what? What the organization is or what have you and you we work psychologically with this kind of shorthand? We don’t necessarily think through every step along the way that gets us to a particular decision. We we use shortcuts and mental models are a shortcut, and we have them for our for our organizations and and the way we operate and also who we think we’re talking to. Bye. That’s what the specificity of these personas? Why it’s so important? Because you’re getting at something that breaks through these short hand models that we have of, well, we have this, you know, the retired over sixty five crowded and is too superficial, yeah, it’s the need to get into the detail we need to get in. We didn’t think we need to talk to the time you know, the curmudgeon, right, who comes every saturday and, you know, and complaints to the guard, you’ve got to get into his head and start talking to him, and then he will break down your you’re in perfectly formed mental models and help you create useful. Ones we have just a minute before we have to go this trim tab metaphor has a personal resonance with you, explain. Tell listeners why that is. Yes, well, the notion is not applied to marketing. It may be mine, but it’s, not mine at all, in the sense that my great great uncle, buckminster fuller, whose people know as the inventor of the geodesic dome, futurist designer argast maximilian of the dye maxie and map, and maxine carr, and and the geodesic dome, which everyone knows because it’s, the lightest, most cost efficient, strongest structure in the world and your uncle, has this on his on his tombstone. Right now i have a pre recorded interview for you. No more crappy corporate relationships. This is from fund-raising day in new york. City ah, this past june, and here is that interview with erica hamilton and vanessa mendenhall. Welcome to tony martignetti non-profit radio coverage of fund-raising day two thousand twelve, we’re at the marriott marquis new york city, right in times square hosted by the association of fund-raising professionals, greater new york city chapter. And with me now is erica hamilton she’s, chief program officer for my mentor, and vanessa mendenhall, vice president of the fellows program at new york. Needs you, ladies welcome think, honey it’s a pleasure to have you your seminar topic was building strategic corporate partnerships. Erica what? What are charities you think not doing right? Generally, and we’ll have plenty of time for details around their corporate sponsorship relationships. Sure. So i think one of the key things child you need to focus on is a holistic approach, which is something we talked about in the session. So is thinking about how to approach corporate partners with a variety of a level of ass. So it’s not just about funding it’s about in-kind donation it’s about employee engagement. It’s about really hearing what the corporate sponsor needs in the partnership. Okay, and was your topic just around sponsorships was also include corporate foundation giving. It was about both, both. So the holistic. So the entire, the entire relationship? Exactly. Okay, um, so you’re recommendations include building ah, relationship let’s. Vanessa, why don’t you start us off? How do we have a relationship with these big corporations? That’s. Right? Well, so in addition to holistic relationships, we talked about the importance of relationships being reciprocal on. So we talked about the importance of establishing a two way street. So you have a understanding of what that corporate partner is seeking to get from you. You nourishing of how they measure success and how they report the success of their investments to their stakeholders, whether that’s, their boss, or whether it’s their board of directors. Oh, and you, you understand what you are asking as well, and you have a a holistic ask you’re asking for more than just money. We also talked about importance of flexibility, thinking outside the box and corporate partnerships on being willing to try something new and try something different if something’s not working. Okay, let’s, let’s, talk about some of these things. Reciprocity. What? What? What is the charity case? What? How do they make their case? Erica, that being associated with us is good for your brand. So a lot of what we talked about was having organizations really helped her firm understand how employee engagement and social enterprise does things to drive employees and gay. Even with the firm. In terms of pretension, it attracts new employees to the firm. It raises brand awareness in terms of the firm’s efforts beyond just a peon l or profit and loss. It’s about corporate social responsibility. Okay. And what do some of these employee engagement programs look like? How can we engage them? Yeah, totally. So i work in heimans work, which is a nonprofit that basically engages adults to mentor high school students to apply to and go to college. And so we offer opportunities for corporations to give funding, but then tow also engage their employees to become volunteers in our program as well. Okay, yeah, absolutely. About for you, vanessa. What does employee engagement look like? All right, we’re also a mentoring program. And so we also engaged engaged employees to be mentors in our program. New york needs you worked with first generation college students, so we work in the next stage we work with, students have gotten into college, but we help them graduate from college and in transition into careers. We also we talked a lot about the importance of using highly skilled volunteers in a smart way in your organization. And so we also offer volunteers a way to leverage their skills, whether they know how to do marketing, whether they help with strategic planning, a huge thinking we’re actually in the process of writing our street your plan right now and we’re involving about ten volunteers in the process in a heavy way. Okay? And so we give volunteers away to engage their minds on their talents in our organization and helping us steer the ship, helping us figure out where we’re going next as a non-profit are either of you familiar with the the site? Catch a fire? Yes. Ok, i’ve had rachel chung seo on the show when speaking of next-gen way were at next-gen just like we are here today. Okay on. And they do exactly what you’re describing exactly high that was a high functioning form. What really skilled highly skilled batches, right? Okay, um, so so there is value for the corporation and we need so you’re supposed to go in and ask confidence? Vanessa, right? Not sort of hat in hand and humble. I think you want to ask questions and listen in the very first meeting with the new corporation, you want to spend eighty percent of you your time at least asking questions to find out what their double bottom linus again, how they measure their success, what’s important to them what their values are on ly after you get that information from them, obviously you want to do your research before you walk in, but ask those questions, understand think of them like a client, in a sense, you know, i want to understand what you’re trying to accomplish and how that potentially aligns with artwork. Then you talk about your program so your pitch shouldn’t be the thing that you leave with. You really should listen first, then talk about your program in a way that’s using the same language they’re using so that you can train your organization and help them see how it fits in alliance with their mission. But it sounds. Like this is a process that could take a couple of meetings, it certainly could, and it should be, i mean, if it’s a really relationship, if you’re not just asking for money, it should be on ongoing conversation. For those of you watching the video, we’re not having an earthquake in new york city background is shaking because we’re the last ones here. If we could pan around the room, you would see bear pipes and walls were the very last ones here, and so the workers are cleaning up the booth behind us to the end, to the left of us and that’s shaking and causing an earthquake like momentum, and maybe we’ll get a picture of what it looks like. We’ll put that on the on the facebook page to a company that we have remarkable focus, right way we’re all we’re all still in focus, so i wouldn’t want to ask you what you were just saying. I was gonna ask follow-up for erica, but i don’t remember what exactly we were talking about listening, asking a lot of questions oh, great everywhere what? Coaching you, i had one thing can add murcott e i was going to say no, no, no, i was going to say, when the relationship is most successful, what you inevitably ends up with is the organization itself doesn’t have to be the one doing the asking ends up being the employees in the corporate structure that air volunteering with our program that come and make the ask and that’s one of the most powerful asked a corporation responds to so that’s a great place for an organization intent towards okay, thank you very much for that because it made allowed me to remember my question. Great, which was going to be for you if this is going to be a multi meeting, ask multi meeting relationship building. What about the fear that we won’t get a second meeting? Yeah, the first meeting is all just listening and gathering information. If i haven’t hooked them in my first meeting, i may never get a second meeting. I have to ask you the first. Yes. Now why is that wrong? Yeah, i think you have to figure out there’s some funders that you’re gonna want to take the long view. With their their funders that we work with you in the first several years of asks never gave funding we thought were not engaged with our mission. We’re not interested, and at some point down the road, whether it be a change of staff member on their side or a change in how we’re positioning our work with the work they’re trying to fund, it clicked. And so one thing i would urge non-profits to do is not feel this rush to get funding as a thie the measure of success quickly in a corporate partnership. It’s think about developing a relationship, the success maybe getting space for an event that might be a wind. It’s figured out how to get your foot in the door, if you would. Okay, okay. All right. So and again, that really hearkens back to the holistic approach is not all about the money akeley want. Would you want to build a relationship? And i mean, even if after the first meeting vanessa, if there’s no interest, it just isn’t alignment. Then both parties will know that. Then there, then there’s no point in going further. Sure that’s, right. But going back to what? Erica was saying before the importance of having a volunteer who’s affiliated with your organization who works for that corporation in that meeting, with you opening the doors for you, helping you build the relationship goes a very long way. And in my experience, you end up with meetings, her actions to take afterwards, whenever you have a volunteer engaged. So one of the things that i think is really important when you’re thinking about corporate engagement. It really all begins with volunteer engagement. In my mind, you know, you don’t want to be making cold calls. That is not the way to approach, you know, relationship. Elearning corporations. You want people inside those organizations advocating for you. And to do that, you need volunteers that are inspired, that are engaged and feel sense of owners. Oh, be a program. Duitz durney i mean, it could happen to that people who are volunteering go to their corporation instead of coming to you and saying exactly earlier way, want more engaged, they might go to their company and say, why can’t? This is a fantastic mission and, yes, here’s the alignment with our world. Yes, why can’t we be doing more of that shit happens all at a home game? Yeah, zoho, exactly, yeah, that’s. Wonderful. Then you get the call. It’s. Always nice to be called once in a while, it is nice to be pursued. It happens every once in a while, like dating. How do we figure out? Oppcoll? What? What is going to be most appealing? How do we get to that double bottom line in the first meeting, right? But what kinds of questions that we ask it? I i think before you’re walking in and we talked about this in the session, it’s being very well researched, you’ve gotta do your diligence like just very clearly and it’s diligence in the general sense of online and, you know, the regular library type of research, but it’s also diligence talk to people that the firm is funding, those are going to be the best insights you’re going to get no williams of approach really well. Other organizations that are getting funding help, organizations that are seeking funding, aren’t they fearful that this is a zero sum game and what you get? I’m going to lose. Yeah, so typically what i found it is if an organization is already getting funding, they’re less fearful about partnering and sharing information. If it’s, another organization seeking funding simultaneously that’s a little bit more challenging or what, but sometimes you find collaboration at some of them, but also good i was gonna say, and this is why you want non-profit partnerships. You know, and at new york needs you, we have a team. The tragic partnerships team it’s not primarily focused on developments, actually focused on relationship building with corporations with non-profits with government with, with kind of any any anti out there that we want to work with, and we developed formal partnership zoho non-profits to help with this kind of knowledge sharing and it’s kinda relationship building and helps us with corporations. We go into a corporation, and they say, oh, yes, we were familiar with mentoring we’ve worked with, i’m entering before so that’s great there there, partner of ours there for their kids to our programs, it really helps boost our credibility. Andi helps establish us is a real participant in the community when when you have those those establish non-profit partnerships. Okay, erica, another another possibility for the doing your due diligence research would be talking to the people who are volunteering for you from the corporation, right? What’s the culture i mean can’t they can’t give you enormous and so they do that’s a brilliant one and what they’re also help with the way he’s. Very brilliant. Very brilliant. Okay, what? What? They’re also helpful. With is identifying the appropriate contact sometimes what you’ll find up corporate entities is it’s, not just one point of contact it maybe multiple it maybe contacts you may not consider so a great concept. We’re talking about it’s not always the foundations of the csr sometimes business units within a corporate issues. Yes, our twenty martignetti munter non-profit radio. We have drug in jail. What? What what’s? The csr may not know the csr thank you. Let me try to get parole it’s a corporate social responsibility. So just basically that the bigger enterprise inc pursues to be more involved in community impact and reinvestment in those kinds of things. But what we were saying is sometimes like a bee bin is within a corporation has money for strategic initiatives just at their discretion. They khun spend it’s not through the bigger corporate entity. You would only know that if an employee can give you that insight for their great moles, as we call them. Okay, yeah. Suppose we show our research and we’ve had two or three meetings on dh. We have ah, decent number of volunteers from that company helping us, but we didn’t get any we didn’t get the funding for our run walk that we really wanted to that we didn’t get that seventy five thousand dollars sponsorship that we wanted for the run walk. Vanessa, what? Where do we go is this is the end of relationship? Absolutely not and what you really that’s, why we talk about having multiple types of asks, you know, almost like a menu of options. One of my famous favorite non-profit executive director’s guy named little perry. We’re in space brothers, big sisters, and down in tennessee, he talks about if you have a menu of options, you can you can almost set it up like, you know, you can choose any of these options. The only thing you can’t choose to do nothing, right? So you give people a lot of options, a lot of ways they can engage in support, your organization, you get that foot in the door, they might start small, you know? But the more they get to know your organization, the stronger relationships they build with multiple staff members, volunteers, the more likely they’re going to be to give next year, so give them all those options and be creative about what? You’re asking for it from your partners, ok? And that’s really parallel with advice around individual giving also, exactly people don’t just ask for one one gift we asked for, uh, assortment on dh solicitation has lots of choices after that. If one thing doesn’t sound good, erica, is there something you wanted to add to what vanessa said? I think as well, how could you tell that you’re very effusive you in your desire to speak with your flailing arms? Because if you’re not watching the video, you’re watching the video it’s an earthquake and not watching the video erica’s jumping up and down, raising her hand, shooting it up like a third grader? I love it. The only thing i’m gonna add was one of the the strongest messages you consent to a corporation in terms of how mature program is valued is dollars for doers and that’s, a program where corporations actually give funding to employees that employees can appropriate to certain non-profits organizations it’s, typically based on hours of service. So you are an employee of goldman sachs. They have a threshold which says, if you volunteer a thousand dollars, the firm will donate a thousand hours will donate a thousand dollars on your behalf when you can do that kind of money from your employees. Volunteered face. It speaks volumes to a foundation or corporate entity, about how embedded you are and how much they aren’t aligned with you, and they want to be so that’s. Also great. Bottoms up, strapped. Where’d you call that donors for dollars for doers is sometimes a ton of companies have doers, is not the scotch. We’re not you, and i will do a shot thousand dollars it’s. Not that way. I don’t even drink. Durney okay, what? I think i’ve exhausted really well, okay, no, i haven’t suppose you did get the seventy five thousand dollars sponsorship, and you still have the nice, robust number of volunteers, and maybe there was some maybe there’s another form of engagement? How do we how do we keep the ball going when we don’t need something from them immediately? It’s not a one way relationship that way don’t really have anything to say. What do we talk about until the next time we need a sponsor? One of things we talked about the session is the importance of events in inviting them to your events, trying to kate create vips, experiences for them so they feel special. So for insisted they come to one of your training sessions, setting aside special time for them to meet with some of your students, you know, doing special things like that and showing up at their events if they have an event for some of their clients or they have special, you know, cocktails or dinners or anything like that show up, wouldn’t they love to show you off as the charities that way, it has to be a two. Way street, so encourage those invitations that wei will send representatives and we’ll send in your case, his students, many even share absolutely done since erica, have you sent students all the time? All the time we send them out. Sometimes corporations will do their own, like employee engagement days, which just about getting more employees to volunteer, period, and we’ll send out mentees mentors, pairs staff members, whatever it takes to help them achieve their goals because we all win. I don’t believe it’s a it’s, it’s, espionage somebody else’s, it’s a little robot it’s somebody else’s show trying to steal our contract. Believe way are really this is desolate here. All right, well, we have, like, just another minute or so, vanessa, what else? What else did you talk about in your in your program that we haven’t talked about here? Sure. S o i think one of the other important aspects of corporate giving is teo there’s. A few there’s. A few things to watch out for. Write a few pitfalls. That you want to avoid. So one of the pitfalls that we talked about was making sure that everyone your organization particularly, you know, top level staff, but the organization knows who your major corporate partners are. Ah, it’s a major embarrassment, if, you know, one of your staff members meet somebody who works at csr, bank of america, golden sachs or whoever and doesn’t know that they’re one of your top partners, that is a major thing to avoid. And so you really it’s important to communicate to your entire organization, who you’re working with and at what level they’re donating, i think it’s also really important. Um, actually, do you have another point? Well, one thing i was going to say a tidbit for you that we didn’t go into detail on the session was the need to really be able to communicate the impact of whatever it is the corporate sponsors investing in. So when you’re going in with the ass being very clear on how you’re going to measure success up front that way, when it comes time for the end of the granite, one of the new you can clearly communicate your goals, your accomplishments. What you’ve achieved with partnership funding. Okay, so, so sort of playing off the expectations from the beginning. Exactly. You could say expectations one through four. Check. Check. Check. Check. How much of it can you do and how do you report it this week? We’re engaging employees. Corporate employees can make gifts to your non-profit, of course, but they can go a lot further as well. I’m joined now by deshele dorsey, and we’re going to talk about engaging employees deshele is senior managing director for corporate social engagement at changing our world of fund-raising consulting company she previously worked for t c c group, where she provided a variety of consulting services to corporate citizenship programs and nonprofit organizations her clients, they’re included prudential, the gap foundation and henry street settlement in new york city. She’s, based in atlanta, georgia, and i’m very pleased to welcome the shell dorsey to the show hyre deshele hi, how are you? I’m doing very well welcome, thank you so much for having me. My pleasure. I want to remind listeners that we are live tweeting the show use the hashtag non-profit radio to join us on twitter deshele we’re talking about employee engagement, but individuals make up the largest portion of total giving, so why should non-profits be looking at companies, corporations? Well, corporations are committed to being good citizens in their community, which essentially means they want to be actively engaged in helping to address issues that not only would directly affect their employees but affect the places where they have operations. So it’s a nice opportunity for corporations to play, play a significant role in making sure where they operate are vibrant and lively. And do you know what what portion of total giving is from corporations? Yeah, it’s generally about ten, twelve percent, i believe a total getting every year and certainly that fluctuates, but his brain pretty consistently at that level. So, tony, you’re absolutely right. The majority of cash contributions in particular, come from individuals. Corporations do make a significant investment as well. Okay, yeah, and ten or twelve percent, i mean, that’s nothing to laugh at, so on it can go beyond ways that a lot of individuals khun give and that’s what we’re here to talk about. So we’re talking about employees in cos i mean, cos there are encouraging or maybe even creating incentives for their employees to be engaged with non-profits yes, absolutely there’s a variety of different ways that boy, you can get involved, and i think what most non-profits are familiar with this, certainly just the general assistance that a non-profit might have some common sort of community based activities such as, you know, going to your local food bank and helping pack pack four words stock shelves or maybe cleaning up a local park, but there are a variety of other ways that companies have looked to incentivize their employees to get out there. You know they have matching gift programs, sometimes employees, they’re just super busy, and maybe they can’t go out in the community. But imagine gift provides an opportunity for employees to give some resource is and double that gift because the company would match that contribution, right? Okay, and that’s on the fund-raising side and we want to go, we want to go beyond fund-raising and in fact, i pulled our listeners before the show and asked, what are your corporate solicitations limited to financial gifts and sponsorships and a hundred people? One hundred percent of people who answered said, no, we go broader than finance just financial gif ts s o we want and we want to talk about the broader stuff. So what are some of the other ways? And then we’ll go into detail on on a bunch of them that that people can employees khun b might be engaged beyond fund-raising and now that’s really great to hear that non-profits are actually exploring all the alternative ways that they can get support from a company, some of the more common ways would be bored service. A lot of companies will look to place their typically their senior managers in some of their hyre level executives on board and serving in leadership roles on those boards, some of the other things that have come to fruition more recently over the past two years, or things like probono service or skills, baseball and hearing. And this is a little bit different than a typical, you know, paint a school cafeteria project, you really looking at opportunities where you can take the employees skills and apply it to a challenge, one issue that a non-profit might have. So for example, you know, if a company sorry non-profit needed help with their human resource is activities and building out, you know, a talent management program, then the company has those skills, and they can apply them to the non-profit so this is sort of the company seeing the its its employees as assets beyond the contribution that making the workplace but but seeing them as assets for charitable giving, using their talents absolutely and there’s more and more of that happening, we see a lot of work being done in the environmental space in that regard. So you know, a company that might have skills on logistics, transportation can help a company, you know, helping non-profit think through how to be more efficient in their processes, for example, or thinking through how they might better use water that’s a part of their mission. When you look at sort of food related organizations so there’s a variety of ways that companies are doing it, the probono pieces, something that’s exploding pretty significantly, but it’s also harder, harder type of product to implement because that there’s more owners on the non-profit to be engaged, and we have just a minute before our first break deshele just how would a non-profit identify the companies that it should be targeting are soliciting? Well, i think there’s a couple of things one of you want to look at what your mission is and how that might online with the company, and then you certainly want to explore companies are much more transparent than they have been in the past about the ways in which they use their volunteers or their their corporate volunteers. And so they can go to their web sites often, and see listings of the variety of ways in which employees can be activated in the community. Okay, and it might also be based on location to write. You wanna look where what’s local to you, because we’re not talking about just big companies doing doing this social engagement, okay, we’re going to talk more about that. After the break. Absolutely, and i would even venture to guess in many cases, because the smaller companies may not have the sort of cash resource is that a larger company might have, they would even be more apt to sort of offer their employees so you have law offices, you might have local facilities, you know, small mom and pop, you know, chain stores and things of that nature who would be more than happy to get involved and be a part of what non-profits air doing in the community and leveraging their place. They get engaged and another way i think teo learn about what’s happening with corporate engagement this way is through ah, a volunteer counsel in the area, and i know i’m going to ask you what, what that is, but i just want to pull give you the answers to our pre show poll, which were, you know, i asked, do you have a corporate volunteer counsel in your area? Yes or no? And then the third answer was what everyone chose. I better listen to the show because i don’t know what that is so deshele what is a corporate volunteer council? Well, the council’s really were set up through a lot of the work that companies were doing in partnership with the points of light institute, which i’m sure many of your listeners know emerged a while back with with hands on network and essentially, these are coalitions where companies are paying a membership to be a part of ah, conglomerate of their peers who want to get together and talk about that practices think about ways that they can be more strategic and support, and also champion corporate volunteerism and just support other civic activities and the way in which a non-profit can be used four to a council like that is really to keep those members informed about what’s going on in the community and how they could use volunteers helping maybe even tow, offer inside and suggestions on how they might work better in particular cause areas that are important to that communities. How could a non-profit find out if there is such a council in their community? The best way to find out is to leverage information that would be available on on the hands on network website. And if you go through there, there is actually a link that shows you where the corporate volunteer councils are, okay. And what about a local chambers of commerce? Could they be a good a good way of engaging with the corporate community? Yeah, i think what would be useful in terms of the chambers is that there are many events that are open to the public where corporations are actively involved in are sponsoring those events. So if you know local non-profits are looking for ways to network with company corporate executives than those air really great programs that happen on a regular basis where? You could just get out and network because sometimes it’s really about a matter of having that relationship that will help you to open doors, the opportunities that maybe in companies, whether they’re big or small and that’s a great resource to use as well. Okay, so we have the hands on network, the local chambers of commerce. Are there any other web based resources for matching companies with non-profits yeah, there’s, a lot of great resource is online, and a couple that i would recommend volunteermatch dot or you can go there and see what kind of activities are available idealised artwork is another option, there’s a couple others, i would look at served dot gov, which also has a number of initiatives that they’ve sponsored with companies and the other was all for good. And the thing to keep in mind that non-profit should understand is that the a lot of these websites are populated into management system that the corporations will use to help provide a sort of gateway for their employees to learn about volunteer opportunities so non-profits that are listening to your show should definitely check out the sides and think about posting the opportunities. That they have available, whether that’s for general volunteering or something more significant, like the skills base that we discussed earlier, then after the charity has identified the company’s based on mission match or locality, or where employees air based from that company. Um, how do you then approach? How do you start your solicitation? Yeah, that’s a really good question, and every company is going to be a little bit different. And i would love to say that there’s like, easy, a magic bullet in getting that. But sometimes, if if they’re retail based company, it might be going into that local store and approaching the manager there no that’s applicable for a lot of places, like a target or, you know, our kroger or a walmart for that, for that sake, the other is that a lot of local areas will have what they call internal volunteer committees. And so hopefully there’s information that might be on the website that will help you figure out how teo contact someone on that committee, and then they would then in turn, brings the opportunities in house. The other things that your listeners could consider is that many companies offer what? They called days of service and assuming that there is an opportunity or a match between what the company wants to do and the mission of the non-profit then there may be weighted submit information that would perhaps make them eligible to be considered for a day or a week or a month of service activity that company would host, and if in the first example you gave, you know, just really walking into a local store target or something similar, just maybe something that is like you said earlier, mom and pop, you’re it may be an easier ask solicitation because you’re not asking for money, which probably a lot of non-profits air doing, but you’re asking for sharing of expertise? Absolutely, you know, it’s it’s certainly an equally important ask and what’s relevant for the non-profit is to make sure when they are prepared to go in front of the company, as i mentioned before, that they’ve done their homework, they really understand what the goals and objectives of the companies, but also that they’ve clearly defined what it is they’re looking for and having corporate volunteers activate because that is one of the tension points that a lot of companies experience, but also making sure that the non-profit has given sufficiently time to help develop in shape what the project might be so both entities can be successful in the process. My guest is deshele dorsey and she’s, a senior managing director for corporate social engagement at changing our world of fund-raising consulting company were talking about engaging corporate employees, all right, so deshele we’ve we’ve identified, you know, howto pick the right cos to approach and how to start that approach let’s talk about it in detail some of the ways that we can actually get company employees involved board service is probably one of the easiest ones and most commonly understood, right? Yes, absolutely. And really, what you’re looking for here is your board has responsibility with the non-profit really govern and make sure that the mission is being met and you may have particular needs whether that around finance, whether that’s around organisational development or maybe you just need someone that has a really has a really good network, and you want an opportunity to kind of broad and your donor-centric you don’t want to be abusing your board members in that way, but most most poor members and really sad ones understand that when they come to a non-profit part of their responsibilities to help with fund-raising and so that is a definite opportunity that can be pursued with, and we’ve had plenty of guests on the show that have have talked about what’s appropriate in inboard engagement in terms of fund-raising and friendraising and other things so that’s why i think boards service is probably the first thing that comes to mind when we think about engaging corporate employees, but but for maybe the smaller company, the or the bigger companies doesn’t have people to devote to that kind of time commitment. There are lesser ways, smaller time commitment ways, but still valuable ways that companies can share their their employees expertise, absolutely. And you see this manifesting in a couple of ways, sometimes time’s, a company made offer just time with some of their middle managers in your executive to do mentoring and coaching with with non-profit executives and we’ve seen that great work come to fruition through leadership development program that a company like american express had in other instances you could have your executives loaned out to a non-profit for duration of time and this is called what we what we say is loaned executive and you may say, you know what? We really would like to help have someone on board to help us transition through this change. Our ceo has left the non-profit and now we really want to have someone in either to mentor that person orto help facilitate the organization, moving in another direction alone, executives to come in and be with you for a year, maybe two years and there, you know, and eventually lend out, went out from the company non-profit on dh, then you wait, okay, so let me stop you. Deshele so so for a period of a year or two there cos they’re willing to pay the salary of the executive and have them work in the non-profit day in, day out? Yeah, absolutely. And sometimes they’re shorter durations, obviously that that’s a huge commitment, but this is really designed for individuals who are emerging leaders because the companies could see it as a development opportunity. But also this is a good way for for non-profits think about engaging retirees, people who are leaving the work for us full time. And they’re still looking to be actively engaged, and the company might help to facilitate that person being part of the non-profit okay, excellent, yeah, please go ahead, continue. Um, and i was just going to say the other is obviously the skills based and again, that is really focused on a very specific in country of khan concentrated project for a shorter period of time typically wouldn’t necessarily take a whole year, but in that instance, you might get a whole team of people that are coming in but say you want to revamp your system, for example, about those that those individuals will come in to work with you on a regular basis. It’s almost like having a consultant come in, but what you’ve done is in exchange for having to pay a fee for that you’re actually getting the company lindell’s skills for you. So, like, the so the employees there sort of taking a sabbatical, maybe for a couple of months or something like that to do a discreet project like that? Um, it can be a formal sabbatical as and they’re taking full time often in most cases it’s really that they’re dedicating some portion. Of their work week be with the non-profit and helping them over a duration of time so it could be they’re dedicating a day or two a week to that non-profit and they’re still working there full time job, but they’re sort of set aside this time to do this probono project or maybe they’re just doing in after hours they’re doing it on some of their free time as well and facilitating that. But the the goal is you created a really concrete projects for this team of employees to work on, and they’re going to support you for whatever duration of time is necessary to complete that product. Okay, excellent. And then maybe something a little less formal, but suppose a non-profit just feels they’re a little that could use a little expertise, just like a couple of hours a week in a certain area, maybe it’s communications or marketing or i mean, it could be anything i imagine that kind of lesser commitment is possible too, right? Yeah, and i think a lot of companies would still see that as part of a way that they could lend the skills of their employees there to a non-profit and helping to support their, you know, growth and development. Um and it really will depend just what the company’s willing to do skills base is a new area of growth fur company so many are learning and figuring out how to set these up and howto work appropriately with non-profits and the time frame can sort of be negotiated, depending on the relationship you have with that particular company. No. Ok, so these air excellent evidence that i think a lot of non-profits don’t think of i think they just think of the corporate sponsorship on dh many think stop there s o these air these excellent ideas, thank you. I wantto spend a little time on employee e-giving just in the future, a couple of minutes that we have left and i was monitoring the small or engaged in really in the small non-profit put that on twitter and the hashtag is sm and pee chat it’s run by pamela grow and mark pittman on dh they were talking today about employees e-giving in terms of monthly monthly giving, um, and i wanted to share something that came from there from that chat that small non-profit shot that the the most common gift is roughly ten dollars, per pay period, and that came from someone named at philanthropy inc. Deshele is that? Is that about what you see that’s sort of an average gift? Ten dollars per pay period? Yeah, when you’re when you have companies who are engaged in what we often call federated campaigns, the most common one being united way, you will have employees who make a commitment to pledge some dollar amount and take a small portion of that out of their paychecks over an extended period of time, and that just makes it easier for the donor to be able to make that contribution instead of having to, you know, in some ways, write a big check all at once. Yeah, about ten dollars is probably right, and i would imagine, you know, with the recession, it will probably stay at about that level people are, you know, we’re getting back on their feet, okay? And the thie advice for soliciting that type of a gift from from your prospects there was there was a sort of a consensus on the small non-profit chat, and it was summarized by at pamela grow that it’s best to do a dedicated appeal to the audience, dedicate appeal for monthly sustaining gift’s rather than make it part of a broader appeal? What’s your sense of that? Yeah, no, i think that is absolutely fair and the reason that that’s important for non-profits understand is because individuals really wantto have a better sense in a transparent way of what their individual dollar is going to do. So if you’re offering the donor hyre thie opportunity to say, i’m going to invest, my resource is and i know whatever dollar amount i gave is really going to go to help support this local tutoring program that’s my community that’s a little bit different, andi is a lot more tangible, and they can see the value of their contribution more directly a lot of non-profits has done a really great job of saying if you donate x number of dollars, it translates into, you know, this many hours of tutoring, for example, that makes the donors feel really good and they can they can communicate even and share the passion and enthusiasm they have about working with your organization, they can tie it to something tangible, and they’re also seem to be a sense that the donors often increase their their monthly giving. Yeah, i think, as as thie donor, to know your organization much better has a better appreciation for what you’re trying to accomplish and also that the non-profit has taken the initiative to engage the donor beyond the gift. So whether that’s inviting them to special event that’s applicable or, you know, communicating with them through a newsletter and some of the online platforms that we have now, the donor’s affinity will certainly increase, and as a result of that, they’re likely to consider giving a greater good. My block post this week is i’ll pick your brain and drop your list that comes from something that’s happened pretty recently past couple months, i guess, where i helped out to people with fund-raising advice fund-raising advice for one, and then the other was arranging a fund-raising internship with a with a former client for a second person, and and then they subscribed from my email list. Unsubscribes and, you know, i thought it’s not really a huge deal let’s face it, there are much bigger things teo concern ourselves with them whether somebody is getting our weekly emails, but i just thought, you know, that seems kind of ungrateful after i had helped them both with pretty substantial time commitments, like maybe is an hour and a half for each of them if you put it all together and then they unsubscribes so was i was i being unreasonable? I don’t know. I mean, i don’t i certainly don’t help people with a quid pro quo in mind. I’m never looking for you know, i helped you. So now what you gonna do for me in the next six weeks, or wherever? But it just seemed a little weird to me, actually, so i wondered if i’m being unreasonable or hypersensitive, and so that’s. What i asked in the block post, and i got a bunch of comments, and i’d appreciate your opinion of that, or or your or maybe another story. Maybe you’ve got something similar. I’m interested in your take on the whole subject and that’s, my block post this week, which you’ll find at mpg a d v dot com, and that is tony’s. And we’re talking this week with our regular prospect research contributor about proactive versus reactive research. Maria, what is reactive research? Okay, so reactive research is when a nonprofit organization has the name of an individual say that they know they’re going to approach, and then they decide. Well, what i’d like to do is research that individual a little bit more before i make an approach to them. And then, um, i asked him for a gift, so that would be unknown individual. And you’re going to be looking for information on them. Okay, so that would be reactive research. You already have the name of someone, and you want to just find out more information on them. Okay, um, and what is proactive than so proactive research is when a non-profit, perhaps their staff and and or their development committee eyes sitting around saying g, you know, we feel like we’ve exhausted all of our current donors think about looking outside of our current donor is and tryingto identify some more individuals who can donate to us either individuals, foundations, corporations, whatever the category is, but they want to broad in their base of support, so they proactively go out and try and find additional people who might be interested in there cause because they might be donating to other similar interests self, and we’ll find out howto uncover those additional people. In the pre show survey, i asked which best describes your prospect research in your shop? Is it mostly proactive or mostly reactive? And everyone said that they were mostly reactive, just researching the people that they already know so let’s try to encourage people, perhaps to be a little more proactive, but if you’re a small shop, maybe that’s not really possible, right? Well, the thing is this, tony, you have opportunity there are going to be sort of natural low for any staff of a non-profit whatever the size is so you want to take advantage of, perhaps. Those known lo period for you, when you’re not really ramping up for an event, for example, when you have the opportunity to perhaps sit back and take a look at the big picture, you know and say, all right, what can what else can we be doing to look for additional donors for our non-profit so it definitely can be done, but what i would say is they should build it in and put it on the calendar. You mean the calendar, like they would put on a calendar on events, teo, cultivation of aunt or any of the other type of event they might be having make sure that they build in some time to be able to sit back and proactively think about how to expand their donor base. Okay, so actually so callin during time for prospect research that’s what you mean, yeah, to proactively be able to do it? Because the reactive research, whether even if they’re just going to google and no further, they’re probably at least doing that, right? So they have a meeting with somebody or a company, and i would hope that they are, at minimum, looking at google to find out the more information prior to that business meeting. And then if you are limited to the reactive research there are you can certainly go beyond google looking at the names that you already know. Oh, yeah, absolutely. There’s a lot of free web sites as well. A fee based. I actually have a going beyond google for download document. Right on my web site on the resource is page so that’s free for the taking and there and available. So there are definitely resource is that can help you. And if you’re not able to look at your database and trying to determine who to research in the database, then there are companies that will screen it for you so that the names could be elevated. Okay, but those air always fee based services, right? Okay, what might you be looking for within your own data if you’re going to do this on your own to determine who you should be paying more attention to? What i think they can do is take a look at the longevity, how long the donor has been contributing to them, even if it has been a very consistent amount of dollars over. A long period of time and, you know, long period of time varies, you know, for the non-profit but i would say somebody’s been giving to you for a ten year period, and they’re consistent about it. The text seems to come in every year at the same time that somebody who’s made a commitment here. Non-profit and you are somewhere in their fearful answer bait. So longevity of gift size of gift matters. And also if somebody just happens to send you a check for an amount that is way out of the range of their normal e-giving that’s a flag as well for you to think about researching them a little further and cultivate that relationship, okay? And this is all with an eye toward perhaps elevating their giving. Is that right? Yes. That’s. Right. You want to take a look at doing this type of research so that you are taking people that are currently tied into you in some way, shape or form they’ve bought into your mission. They love your non-profit they’re committed to you on dh. You want to think about how to engage them further and elevate their giving? Okay? And you identify. That commitment, a cz you were describing based on their giving history, right? Absolutely. And, you know, let’s not forget people who are longtime volunteers for the organization because there are people who, i guess, unfortunately have the mindset of, well, i give my time to your organization, therefore, i don’t need to give my money on day, maybe give giving their money elsewhere so it might be kind of interest, i think, to take a look at some of those very, very committed volunteers who are giving of their time, but not money and researching. Well, what are they doing in the community in terms of money? And is there some way we could further the conversation so that we can be included in there monetary philanthropy and not just giving of their time? It occurs to me that the research we do when we’re looking for planned e-giving prospects is all reactive because you can’t bring someone new to the organization and then and then expect them to be a plan giving prospect and asking them to include the organization in their will or some other state plan when they’re just brand new to the organization, so we’re always doing, i never i never really i never described in this way, but looking for plan giving prospect for always doing reactive research that’s, right? You’re always reactively taking a look at people committed to the non-profit and you’re probably looking for all those same signs that i would be looking for, you know, that longevity of gift size of gift again, just looking to elevate them to perhaps a larger gift or as you just mentioned, maybe they’re absolutely right before a planned gift at this time or at least to be thinking about that conversation. And the key thing about looking for those plan giving prospects is when you’re looking at the donor’s longevity, as you were describing maria, the consistency of giving you don’t want to ignore the smaller gift, even if someone’s been giving ten dollars, a year, and if they’ve been doing that for a decade or more, you know, seven out of the past ten years or eight, fifteen or eighteen of the past twenty years that makes them a great plan to giving prospect, i think it could make an excellent plan giving provoc fect yes, absolutely, you know? And as i mentioned there are just some very inexpensive free resource is that you can go to to just find out a little bit more about that prospect, just to see if you can elevate that conversation to that point and s so let’s. Then now go beyond the reactive into the into the proactive. So hopefully this is ah, smaller non-profit that finds its slow time and sets time aside for prospect research or it’s a bigger shop. And they have the resources to do more proactive going outside the database research. How would they get started? I think one of the things that they can do is take a look at the other non-profits in the community who might be garnering some of the larger gift. Especially if that non-profit is somewhat similarly related. Admission. Teo, you so, as an example, if you have a women’s health and counseling center and they are interested in expanding their donor base, they might take a look at who’s giving to the local cancer societies, the local harder association, the local hospital. Anything having to do with health related mission. Okay, maria, we have to take a break. We’re going to continue this. Your advice is right before the break was toe look for non-profits that are maybe similar in mission and see who’s giving there. Yes, absolutely. And, you know, during the break i was also thinking about another excellent free tool that we all have available to us is linked in, and they’re for example, you might be able to find people who are interested and easily connected to okay for explaining to them what your organization is about and so on and so forth. You and you and i talked about your interested in urine, anand immel welfare non-profit and you would like to connect with more people in your community who are interested in animals and pets, etcetera, so you can go and do a key word. Search on the advanced search page of lengthen log into your account, go to the advanced search page um and find group right. Would that have on interest in animals and you’ll find quite a number of them. So there’ll be people from all walks of life who are keenly interested in animals. You can also go to the keyword field and look for people in a specific geographic region who might have the word animal somewhere in their profile listed. So you know something like that can be very, very helpful in expo being your daughter donordigital base or your volunteer or board based and again it’s free and i love that little of detail. Thank you very much. That’s i think most helpful toe listeners. Another way of finding out who gives to organizations is just by getting their annual report. Yes, absolutely. And sometimes those annual reports are available right online in a pdf downloadable format so you can take a look at those annual reports and try and determine who’s giving. You’re not going to get an exact dollar level, you know is most daniel reports might list somebody giving it the silver bronze gold level. Platinum, etcetera, but you’ll have at least an idea of the range of where somebody is giving. So definitely, i look att annual reports of non-profits whether i’m doing reactive research or pro active research so absolutely could be useful in both in both cases and if it’s not available on the web, you can always just contact a non-profit and asked him to mail you a printed copy, right? Yes. That’s right old school. Just like the phone. So joon, old mail phone. We don’t need these things dispense with this. I don’t believe that. Just joking. So there are also some online resource. Is that you like? There are. There are several bass resource is that i like you think for a proactive research. Would you like me to mention if you’ll please detail? One century source might be wealth engine. They actually have a prospect generator tool that you can utilize with their particular service. I like i wave dot com i w a v dot com. They also have the capacity to do some pro active research. They have donor-centric sample where you can put in the name of a specific non-profit or type of non-profit. And lists of donors who gives to those non-profits will will be generated for for you. And you know, you would have to parse the data so that it’s suitable to your particular geography. But, you know, it’s it’s definitely doable news resource is and that’s, something you could do for free. You can go to your the library website dahna and log in using your library. Barcode you know, we’ve talked about that before in previous show using the local library. Yes, yeah, absolutely. So you can tap into the local news. There were statewide news resource is for free through your library link, and then be able to do some research on people who are, you know, named is the who’s who in the community people being honored things of that nature on and perhaps find more people who are interested in your theme newspaper like the u s mail in the phone. These things still exists. Yes, and they’re not expensive. Used them for pete’s sake. I mean, they’re so you know, i don’t know they’re so under thought off is what i’m trying to think of. What about that could even be local foundations right in a in a community may be local family foundations or something. Yeah, so what? You might want to consider doing iss every non-profit organization has the capacity to search a source called guide store, and they can search on their advanced search level, actually for free. Tony ok, a thousand dollar level of service that non-profits concert for free, they’ve agreed to maintain their own non-profit data, which is a win win all around, right? You’re getting a better story about out about your own non-profit and then you also have access to their premium level of search. You and i talked about that that what you would hopefully do is go in and identify more family foundations in your geographic community. Okay, you put in a zip code, you can go out, i believe, about a hundred mile radius from your zip code search for those family found foundations. These are people that have decided they’re going to take philanthropy to a new level, and they’re getting serious about it, and they have decided that they’re going to form a family foundation to filter their giving. Those are excellent prospects to go after pro, actively researching what i usually suggest to a non-profit once you have that list let’s say you identify one hundred new family foundations in your community that you serve that you didn’t realize existed. Take a look at the trustees of that foundation. Circulate the names of those trustees with your board wave your key volunteers. See if anybody has a connection to any of those people trying to make it more of a warm introduction as opposed to a cold introductions. Marie, we have just a minute left before we have to stop. What about business? Resource is like business publications or the chambers of commerce. Chambers of commerce. Their excellent. Most of them will have their membership directory searchable online. Also again, through your library link, you confined businesses. Uh, tailoring your search on a resource called reference yusa. You’ll be able to find businesses and business owners through that particular resource. So i think those could be excellent sources. And not every business is doing terribly these days. We’re talking about corporate sponsorships, but before we get into the sponsorships let’s talk about corporation fund-raising generally sort of broad view had his corporation fund-raising breakdown well, corporate philanthropy generally falls into two categories. There’s is the general corporate giving programs that you’ll come across and that’s basically were a corporation sets aside money and a budget. And they give it away, and then you have corporate foundations were, or corporation may incorporate its own separate foundation, and they give money through that foundation. So there’s, usually a couple of channels of funding you can access, and we’re talking about the former today, the more the sponsorship type. Oh, absolutely wartime, my sponsorship. We’re talking about corporate contributions budgets, and when a non-profit is, well, actually, you’re first let me remind people that we’re live today and let me give the number to call if you’d like to call in and talk to. A non-profit looking to get some sponsorship dollars. What do they really offer the corporation? Have they figure that out? I think the any non-profit that’s, doing a good job of securing corporate sponsorships is first and foremost thinking about where the non-profit has visibility, where has reach of what good it does in the community, these air, all three aspects, if you will, of corporate sponsorship that you have to think like a corporate e-giving officers thinking, okay, if i’m a corporate giving officer, first of all, i have to justify our contributions to our shareholders, so one way i can do that pretty easily is to say that we’re investing dollars with charities that have reached two constituencies where maybe we want to enhance or increase our visibility, and the answer brand could very well be local ahs wells national can be local, it can be national eso first of organizations need to think entrepreneurially about this, they also have to think about doing good. I mean corporations, by and large one investor dollars where the dollars were goingto a complice, some good for end user. So you’re thinking about who are the end users and how are they benefitting from our work and therefore the corporation can have an association with our good results. And then i think the other thing that charity needs to think about is what other kinds of opportunities they may have to involve the corporation in tony, if i had to pick one hot topic for everyone to think about is, how can you involve corporate employees as volunteers? This’s something you’re seeing across the board in corporate philanthropy, companies are looking for opportunities to get their employees involved with charities. So the organization really needs to be thinking about how the employees can get involved in the event that that they’re asking for the sponsorship of somehow what could be an event. You can create a something pretty simple where you could have employees come in and mentor kids get involved with families. I mean, some some charities, like habitat for humanity, they have a great belt in mechanism because you can re employees and then build house houses or things like that. Ah, some charities have to think a little more out of the box, if you will. You know, how might we bring employees in, for example, for a day and have them work with our constituents it’s given the employees of valuable experience but it’s also really great for your constituents, showing that there are people who really care and in just a minute we have left you’re seeing more companies focus on this, a zoo condition of sponsorship. Well, it’s it’s increased over the years. We’re talking about corporate sponsorships, and during that break, we we gotta call. So let’s, uh, let’s. Start with that call. We have. Abigail, are you there? Abigail? Yes. Thanks for joining us. Where you calling from and what’s your organization like i’m calling from indiana. And i have a small non-profit dance company. And i’m developing a program to try to bring workshops, dance workshops into world schools, and i i want it to be free to the school. I want to fully fund it and offer it to the school systems as an after school program. My question is ahead. White research, the appropriate corporations to target both nationally and locally. I think both arts and education are hot topic and especially toe bring it to rural areas. But i’m just not sure where to start in terms of finding the appropriate corporations. Yes, sir. John. How does abigail find the right places to approach? Well, i’m gonna go with two. Resource is, for starters, abigail, you can simply use the foundation directory online, which you can probably get toe a cooperating collection, which is a public library. In your community that would have access to the foundation center’s database as part of that data base, they have information, i believe it’s on fifty five hundred corporate giving programs. And you can even research those corporate programs by types of products that they produce, where they have operations. So you can think about the communities where you want to take your program and find companies that have a geographic interest. So that’s one area or one type of reason should also be able to search by arts and education. John, you can search by arts and education. This’s what we have to remember when it comes to research is that a lot of companies have very diverse interests. So you might have a company that is really excited about partnering with a dance program. That’s going into rural in the in the end is that correct on dh? They may have an interest in getting their logo on their visibility out there. So for example, it could be you could go toe. Aah! Major utilities company. I mean, for example, here in the metropolitan area in the york city, you’ll see dance companies that have sponsorship for community. Programming for places like con ed, a son and verizon they’re not necessarily in the business of the arts, but they certainly reach a lot of consumers. So using the foundation directory online is a great place to start because the information’s already there it’s segment that and you’ll have a library in whose trained to help you. So go to the foundation center website, foundation center dot org’s, and from there you can find a cooperating collection near you that has access to that database, and you can use it at that library free of charge. And you said there was a second resource. Also, there is a second resource, and you confined this and a lot of public library’s, not everyone, so you’ll have to look around for it. But there’s there’s, a database that’s called corporate affiliations who who owns whom, and this is where you can literally put in zip codes where you’re doing business, and it will show you companies and subsidiaries the companies that are located in those communities. One way i use this, for example, is, if i’m say interested in going toe a bank and i want to get a bank to do a sponsorship with a client organization. I go into that database and i simply want to find out where do they have branch offices. And you can put in zip codes and find out where they have the branch offices. So a couple of good database tools for you to use. Okay, abigail, does that help you out? Yes. That’s. Very helpful. Thank you very much. Very welcome. Thanks for calling. Okay, thank you. Bye bye. And, john, while we were answering abigail’s questioned you alluded to something that i think is a distinction may be that we want to make. I asked you, you know, can you specifically search for arts and education? But this is not like corporate foundation philanthropy where there’s a specific there could be more specific targeted purposes, probably around the company’s interests. Then there are around. Then we’re going to find around sponsorship activities. Is that right? The foundation’s going team or the corporate foundation e-giving more focused than the the corporate sponsorship philanthropy typically that’s the case. Tony it’s. A safe assumption. Okay, thank you. What types of events or or don’t even have to be events, but what types of programs? Things might non-profits find that are viable for for sponsorship opportunities. Well, you mentioned the first well, the first one you mentioned, which is his events, and you’ll see that a number of non-profits use special events is an opportunity for sponsorship and that’s a great gately activity. Why? Because first of all, you’re guaranteed to bring people together where the company’s gonna have some visibility. It’s a great social event, it’s a great way to network and have give corporate employees a hands on flavor of the institution, so special events are always, you know, probably top of mind for most charities, but certainly volunteer activities. You know, if you can have ah, get a company to sponsor a day at your charity where they bring in an employee team and maybe they’re going to help you spruce up your your your space or, you know, do some hands on work with kids and families that’s a great way of introducing yourself to a corporation, and you’re giving them some value as well and terrific visibility and terrific absolute kind of value that they’re looking for. How do you know how much to ask for and there’s a bit? Of an art to that, um, with most corporations, if you think about the company is being i think of of cos tony’s is being basically three layers at the bottom layer, you have sales and service, and these are field representatives and employees who are goingto have high touch in the community, and a lot of times those employees are given an opportunity to make small contributions to a charity. It might be a few hundred dollars. It might be a thousand or two thousand dollars. Typically, this is where you’re selling someone a table or tickets one event. The next layer up would be the supervisor’s for sales and service might be vice president level folks inside a company and they may have sign off on contributions. May be up to a level of five to ten thousand, and then if you go one level above that the office dafs of the ceo, executive, vice president plus and then you could get in the much larger contributions it’s a little bit like a board game. Versatile. It depends. Were can you access the company? I mean, you know, where is your contact? Wth the court if the ceo of the company is your next door neighbor. You can go borrow a cup of sugar and answer twenty five thousand dollars, i suppose. But ah, latto shoretz with people living in scarsdale or greenwich, i’m not family with other wealthy. Well, san francisco, you know certain neighbourhoods in san francisco, and i’m sure there are lots of neighborhoods like that in the midwest. I’mjust not personally acquainted with them, but you have to be living in one of those places to have a neighbor like that. Well, they have a neighbor, but she may have access to yoon seo’s. We all come from somewhere. So yeah, that’s the way i look at it, but but realistically, a lot of charity start with a small contribution that’s a gateway gift, as i call it, and that can then lead to larger opportunities down the road. Because you mentioned earlier that using the directory that you recommended for our caller, that you’ll look maybe to see where the local where the where the national bank has local offices, so the local branch office might be the person’s only only point of contact by necessity there, starting at that point, banks are pretty easy, because you can go into a branch and you can talk to a branch manager and that’s a great place to start the contribution. You can also look at retailers. Um, you take any of your major retailers, and if they have a presence in the local community, you can talk to a store manager a lot of times. Tony, when we’re using a directory like director of corporate affiliations, it’s where you may have this mysterious widget factory on the outskirts of your town, and you’re wondering while g, what do they do? And they don’t get very much money, but if you get a director of corporate affiliations and you look up that company, you might find out hey there, subsidiary of dupont and all of sudden there’s a big parent company there that can make a much larger contribution even if you don’t have an access suppose you don’t know anybody inside that widget company or inside the bank, even at the local branch level, you know, i presume you still should give it a shot, right? Absolutely. I mean, you know, it’s like wing gretzky said you missed one hundred percent of the shots. You don’t take i think the question is, who do you who do you contact and best companies have someone who’s in charge of community affairs or public relations, and these are good people to start with because they’re thinking about visibility, and they’re thinking about touch with the community and that’s what they’re there for. So think of it is you’re bringing them an opportunity, and when you’re talking to them, you want your you’re asking mt to be appropriate with what it is you can offer them in return. Typically you want teo have an ask amount that is appropriate, given your relationship. This is why a good strategy is having several opportunities walking in and saying we can do this for a thousand dollars what we could do this for twenty five thousand very similar to individual fund-raising right? If if you’re asked, you typically ask for at different levels for different opportunities that you know, appeal to an individual donor sze obviously it’s parallel for for this kind of sponsorship philanthropy, exactly, you’re going to present them with a menu, and maybe you helped him select what would be the most appropriate place for them to start i’m with john hicks he’s, the president and ceo of j c geever, which you’ll find at j c geever dot com. We’re talking about corporate sponsorship on tony martignetti non-profit radio, the number to call if you’d like to call into John is 8:7 74 eight xero for one to zero john after this relationship has been has gotten far enough along and the company has said yes what should the non-profit be expecting from this relationship well there’s going to be expectations in both directions i mean you certainly are within your right isn’t non-profit have expectations beyond the cheque in terms of the company is going to be supportive of your work and maybe they can help provide you with visibility but of course they’re going to have expectations of you and this is where you find of saying with any kind of a contribution before you cashed the check always read the letter make sure that you’re going to be able to meet their conditions and meet their expectations when it comes to visibility you know what sort of things are typical that you see and it’s typically they wantto they wantto have approval in press releases they will want it specified or want to specify how their logo should be displayed. You know, things like that are pretty straightforward. Are there some things that you might have to think twice about? Sure, i’ve seen corporations you know, come in and say, for example, they may want access to a mailing list where they may are exactly are they? You know, they may want to have an opportunity to speak at an event and, you know, does this’s why? As in my experience, certain charities i’ve worked with as they raise more, more money from corporations began to do things like developed gift acceptance policies. What kind of companies will we accept contributions from water, the conditions of acceptance? So in the beginning, you’re probably playing a little more by year, but once you become a popular charity, you need to really think about, you know, number one, how do you want that corporate in premature placed on the work that you d’oh? And also you have to be mindful that you may be balancing a lot of different relationships and you want to make sure that you’re meeting the needs of all of your donors? If you promise something, the one that you’re not promising to something, someone else can create problems, or there needs to be a very good reason why it was. It was sponsorship at a different level or something like that, right? And you draw another very interesting parallel between this type of fund-raising and individual fund-raising, and that is the gift acceptance policy. I’ve said. I’m not familiar with it on the corporate sponsorship side, but it makes perfect sense if you’re going to make this a routine activity. What what other types of, um, parameters, maybe even approval levels should be in the the, uh, the acceptance policy approval levels. I mean, some some charities, you know, fundamentally have regulations were its own board of directors have to sign off on a corporate sponsorship at a certain level. I’ve seen that. And after the fact let’s say it is an event because that sounds like that’s the most, most common the event has happened, everyone seems very happy. How do you appropriately to say thank you to the to the to the company? Well, you know, beyond simply saying thank you, which you’d be surprised a lot of us kind of forget to do that in the very risky in the heat of the battle. Altum i think it’s a question of ongoing communication yet treat, treat the corporate sponsors a stakeholder, you know, once they put money on the table and there’s mean, they’re there to support the work that you do, so make him part of it. It means that you may want to visit with them a couple of times over the course of the year following and just keep them in the loop as you would with any other dahna as you would with an individual and yeah, you don’t wantto treat the people as, i guess, sort of, you know, just cogsa at the corporation mean, treat the treat the people who we’re at your event and who approved your sponsorship like people, as you would with individuals, what would you do so you can invite them to events? May be that the company’s not sponsoring your your messages, you want to keep them close? Absolutely let’s turn a little bit. Tio corporate foundation philanthropy. Last time you were on the show was it was july thirtieth for anybody wants toe. Look back to that. We talked a lot about private foundation giving, um, aren’t there sort of parallels, but also maybe some contrasts between corporate foundation philanthropy and private foundation philanthropy and really, in just a minute and a half, we have left. You want to close that loop a little bit? Sure, corporate foundations will operate very much the same way as a private foundation, you’ll still have to send the proposal. The proposal will end up being voted on by a board where it’s different is they’ll, you know, it’s not gonna surprise your corporate foundation is usually interested or has and the mission statement work that’s very aligned with the core mission of the creating corporations. So if you get a pharmaceutical foundation, they’re going to be supporting health care. So it’s for seoul making sure that you know you have the right kind of program that matches up with their interests. Some have the corporate foundation will want some visibility, even though it’s a separate entity from from a corporation. Is that right? Yeah, but by and large, it’s goingto work just about the same way as a private foundation. All right, thank you, john. I’m joined now by our tech guru expert scott koegler scott’s, the editor of non-profit technology news, which you’ll find it and p tech news, dot com there’s also a link to that site on the show’s facebook page, because scott is a regular contributor and very welcome, very glad to have having back. Scott, welcome back. Well, thanks, tony. Good to be here. Thank you for joining us. And this week we’re talking about fundez accounting software. What? What is fund-raising scott? Good. Good question. I have fund accounting is something it’s very specific to non-profits mostly because non-profits generally have to account for some of the some of their money in terms of the funds or the designated accounting categories. So if they, uh, if a donor or a particular the event is is organized to put together a fun to handle the particular need, those going a little buckets before big buckets, i guess. And all those individual buckets need to be accounted for in terms of right income. That’s been earned on dh expenses. Disbursements that have been made at that fund level, right? And you know, if those are designated funds that were given by a particular contributor, that contributor probably wants some kind of accounting to say, okay, i gave you i gave you this amount of money, what did you do with it? Where did they go? Yes, what i gave you one hundred thousand dollars are for fifty thousand dollars in perpetuity or first set number of years and exactly is your point is they want to see the management of that money and it’s benefit to the people that your organization supports, right? So we need to be able to account for this for all these different funds as donors designate them, and you’re your review eyes the review out now or it’s coming out soon. Wait, just posting it today on newsletter goes out on tuesday, but the reviewers up online so, folks one look at that that’s n p tech news dot com alright on dh how timely we are. We’re getting a quick little pre announcement, but from the editor of non-profit technology news, the information goes up full and live later today. And scott, your review breaks down the different software packages, which we’ll get. To you very shortly by their appropriateness for small medium on dh, larger organizations. How do you how do you define those? Or do you are? Do you let people decide on their own which category they fit in? It’s a fluid categorization, if you will. Most of the way that we define them is by talking with the vendors of the software so they know what their capabilities are, what the sizes of their databases can handle and to some extent it’s the price. It also. Okay. Let’s, let’s. Jump in and talk about some of the features of these let’s. Start with the ones for smaller organizations. What’s the what’s. The first one you’d like to talk about. Well, the first one on our list is fundez easy accounting. And you may you may remember from our previous discussion that we talked about donorsearch management fundez he was one of the companies that also provides fund-raising software on. So the two probably work well together, i presume, right? They kind of funnel all of the information into the similar accounting package. Okay, that just for listeners, that show was on september seventeenth. Scott was on previously talking about fund-raising management software. Go ahead, scout. So tell us about the accounting function of fundez easy, right? The this is general accounting as well. A specific accounting for fund management. So, you know, the right up says that it has a an intuitive interface. You know, you would hope at this point that pretty much all of the applications that we use anymore have intuited grantspace the fact that our reviewer look at this and said, yeah, this is one of those is probably significant. This is relatively low price that starts for single user around seven hundred dollars, in addition to the fund specific functions, and also includes accounts payable receivables and general ledger. Okay, so there’s those general accounting functions correct? Is that typical? Do the i’m sorry, did they did they all or most of them include the general accounting functions as well as the fund accounting or not right in general, to be redundant, they used. They include general led to do yes. Okay, i wasn’t sure that was just for fun, deasy. Or generally, all of them. Okay, generally do because the buckets that these funds were put into our general ledger accounting categories, so if our listeners are familiar with general ledger accounting, you know, there’s there’s one thing it’s accounts payable there’s money received and then there’s money allocated for a particular song in this case. Okay, so these thes air able to import and export information from and two other applications, uh, one of the nice things about this. And i think this is fairly fairly generic to most of these again, the purpose is that your funders want to know what happened with the money. S o it’s one thing to look into the fund and say, okay, well, we have a hundred thousand dollars in their fund. The next question is, well, what’s it being used for in here this fundez easy accounting a cz. Well, some of the others have a function called drill down and that’s kind of ah kind of a ticking word for i click on the number and it shows me more detail about okay. Scott scott is acquainted with show he was worked very hard to avoid jorgen jail at that moment cause he defined this drill down function for us, so no need to invoke jargon jail. I know the listeners we’re thinking of it, but no need. The keys are still in my pocket. You know, you’re no need. Yes. Okay, well, sentences of generally short, you’d have been out, but but you avoided it all cost let’s go to another one for small organizations and i’m sure they share a lot of these functions. A cz you’ve mentioned what’s. Another one for small non-profits. Well, the next one i have on my list here, simon. See why am a not for profit accounting software? See? See why m a right. So it sounds like c y a, but it’s not does. It probably does some of the cover your ass ski. Eso is that this’s not cover. You’re asking accounting you would hope so. It actually it does. It does handle fund accounting as well. Simon is one of those companies has been around for quite a number of years in the general accounting and also in vertical environments where they address, you know specific in-kind company okay and again so i don’t confuse the listeners. It’s simon see y m a. I was being a funny boy with c y es. But ask you, by the way, i don’t know. If people know that, but that’s the american standard code for information interchange no, i didn’t know that it’s common knowledge, but i don’t want to put myself in jargon jail okay, enough let’s talk about cyma what not-for-profits accounting software, please it’s specifically have some of the same functionality as as do all of these in terms of fund accounting, what you’ll find is the ability to designate a fund, add funds to it, allocate funds out to specific purposes such as payroll, for instance, you may wanna dedicate designate ten percent of a fund to payroll where, as you know, it doesn’t cover the entire table, but it helps you may want to designate a portion of the fund for purchase of a new photocopier or to the phone bill, something like that so pretty much all of these alliance to do that? Yes, and that is important because there, because when people are given gift and there’s often an administrative costs, which is what, exactly what you’re describing, their administrative costs around administering that gift or that program, and they look and non-profits look for portions of donations to offset the cost of or portions of a cost of the administrative overhead and that’s exactly what you’re talking about. Right? Right, exactly. Half assed again. Do some of these others provide for a function called inter fund transfers on it is. He does what? You what it sounds like it does. It allows you to transfer funds from from one fund to another. This one is a little bit more expensive at twelve hundred dollars for the nonce for-profit accounting software and that that’s the general ledger side. And it also allows you to add additional modules for around six hundred dollars apiece, depending on the module. So those would be a payroll accounts payable. So we begin to see a difference here between fundez. Easy. For instance, an assignment in that fundez easy contains additional modules that are extra costs. With simon. Yes, scott. One of the times you were on, i think it was two times ago way talked about software as a service eyes a cloud computing. Is that the’s that type of packages or these software that you install locally? These are pretty much all locally installed applications. Okay, it’s, uh, accounting software is one of those that most organizations feel proprietary about. They want to keep it within the four walls well, okay, but we did talk about security, um, safeguards that can be made around that cloud computing. But i guess this is just so sensitive that companies don’t bother toe make it that way. You know, that’s one of those things that every company evaluates for themselves. My personal opinion is that security of cloud environments and sass environments is is just fine, but my opinion is not always good enough for the city. So, uh, trend is that about about twenty percent of corporations now you some form of cloud or sas services, but that’s still twenty percent that’s pretty far from everybody and not in this accounting arena. Scott um, why don’t we talk some about some of the packages that are intended for slightly larger organization? Sort of mid size? I know quickbooks has as an entry here, right? Quickbooks is obviously an accounting application, and they have one version that they’ve put out, which is called intel into its quickbooks premier non-profit for two thousand eleven it’s obviously a couple of months ahead of time, but it incorporates a lot of the features, but probably many of our listeners are accustomed to and quickbooks being the premiere version it’s got latto interchange has the advanced functionality. It can produce financial statements, sales and sales tax reports and all those available on screen as well as to print, of course. Um, it’s it’s, inexpensive frankly it’s four hundred dollars, which is very well, well, twice for quickbooks premiere of any kind of quickbooks premiere, i believe, for general purposes is right around there for five hundred dollars. Um, but for for people that are used to using quickbooks, this is a natural migration for them to use it. To the non-profit okay, the interface it looks the same is identical. It has just the additional funds accounting portions, you know, give it a way we haven’t talked much about reporting. You alluded to it that reports are important, especially for the donor, but also maybe for auditors come tax time. What’s what’s the robustness of the reporting with this with this with into its quickbooks premiere well into its quickbooks reporting is one of the most flexible than i’ve ever seen and it’s really accessible to people who are not accountants. That’s been one of into its strength is ability, tio provided i don’t know something. I don’t know exactly how many reports they have pre built into the system, but i’m guessing that it’s probably a hundred or so every one of those could be modified and saved as a new report. So it’s really easy to generate reports they’re specific to your needs. Pacific two requests anybody on staff? Yes, directors, donors, whatever and how about support another another where we haven’t talked about yet? What typically is the level of support that user gets? Is itjust online, or is there a call call center? How? Does this generally work support? It varies from one provider to the next to go come anything to female support to online support in person and one of the things you’ll find that differentiates these applications from very small, very large. I’m just going to skip down to some of the larger ones just for reference here koegler mountain, open zsystems and blackbaud are some of the better known applications in non-profit world, and those generally have either onsite training and support or telephone support. So what you’re paying for that their annual support can sometimes amount to nearly as much as the cost of the application, so but the application is twelve hundred dollars twelve hundred dollars for years, probably more than what it really would cost, but probably five to six hundred dollars a year for personal support. But in some cases, you’re getting on sight, you said, right? Right, and those there generally more in terms of installation of training rather than day today question. Okay, but certainly support is something listeners wantto consider when they’re deciding which package is right for them because based on their expertise or lack of in accounting, absolutely you definitely want to have something it’s easy to use and familiar and that’s one of the things that the lower priced applications do provide. Okay, all right, so the quickbooks sounds like something that could be very good for people who are familiar with quickbooks. What’s another one for small and sorry midsize organizations for mid size will see we’ve got the open systems which this’s the open systems traverse and f p i guess an s p s we’re not for-profit i think you’re right now. This one, this one integrates with microsoft office, which makes a really nice you could export into excel directly. Scott, have you gotto have you got an office assistant who’s hungry there or he needs to go out, and i wish i could get way. Just have a minute and a half left. So he or she will be out very soon. Okay, go ahead. Tell us about open system’s. Broken systems. A little bit more expensive. Goes it around two thousand dollars. But it does include quite a few portions to a general ledger accounts payable and payroll dahna peril and it’s. Okay, right. So an organization that has a good sized staff particularly that needs paid her all that that works well for that kind of organization and what’s the numbers on the open systems travers and f p how much does that cost to get in? That starts in two thousand dollars and that’s for single user license. Okay, we’ll play zoho into a multi user. Which, again, for a larger organization, you definitely want to be able to add additional seats. Yeah, and it sounds like all or most of these are scalable. You’ve said a few times, right? Generally, the initial price is for a single user, and additional users are additional cost. Ok, let’s, go. We have to leave it there. And this fund accounting software round up. She has been helping non-profits raise more money from their galas and other major special events. For more than ten years, karen has worked at several of new york’s top advertising agencies on fortune one hundred accounts and has also worked in the non-profit arena in a variety of advocacy development, casework and outreach positions. She has her master’s in social work. In two thousand two, she founded event journal, the first web based alternative to printed ad journals and program books. Karen is here to share her ideas about event sponsorships. Karen, welcome to the show. Thank you, tony. What have you, um, what’s a sponsorship? A sponsorship is an opportunity. That’s packaged where a third party or a second party organization can get some derive some benefit from supporting another endeavor and were generally talking about corporate sponsorships today. Is that correct? This fall into the same sort of pattern of fund-raising that we see with individuals in that it’s cultivation solicitation stewardship? Well, there’s a general pattern. Yes, but there’s a different motivation in general for corporate sponsors, your individual donors, but we see the same sort of general flow i mean, you’re cultivating, soliciting and starting exactly okay, we’ll talk about each of those, you know, talk major those faces. What? What types of events are appropriate for sponsorship? Fund-raising well, there’s generally a distinction between fund-raising events and cultivation or stewardship events, although fund-raising events requires some stewardship as well, to maintain the sponsors, but basically a sponsored event can be anything from a dinner gala to a golf outing to a five k run. Anything where there’s exposure to the public on behalf of the charity or non-profit, where the sponsor would derive some value from being publicly associated with it? And what what are some of those sponsor motivations? Wired wire companies doing this well, probably the most, the one that most charities would assume is for the philanthropic value of it. Ah, usually you know, corp corporate entities are run by people, and people have different experiences in life. So if the nonprofit organization is doing work that touches on the pulse or the heart strings of thie president or vice president or other other key people in the company they miss may wish to get behind it. If there’s ah employees in the company who have been touched by particular disease or helped by an organization, then they may want to rally behind that organization. But that’s, just a piece of it is the philanthropic aspect. There’s also the what’s in it for me. And i think that in this day and age, there’s a big buzz going on right now about corporate social responsibility caused marketing. And so it really behooves the organization to take a look att tthe e exposure and recognition opportunities that they’re offering too, the sponsors when they support an event. Now we have drug in jail on tony martignetti non-profit radio, and i don’t want you to have very long stint in jargon jail you mentioned caused marketing. What does that mean? Cause marketing is when a when a the opportunity basically for a company to aa or for a non-profit to offer value to a company in association with its mission. And how would somebody figure out whether the company has that kind of affinity for for their mission? So how would a charity sort of sort that out. Well, it always goes back to the people who are in the company because cos they’re not faceless. They have people behind them. So if there’s a a company president who has a brother who was developmentally disabled, perhaps that would be a hot button for such an agency. Um, but i think it’s also a matter of ah on the less philanthropic end is, you know what? Exposure to the public, what goodwill are they conveying to the community when the organization offers thie sponsor an opportunity for exposure? Oh, yeah, definitely. I mean, i’m sort of combining two areas amused, definitely talking about the mission related interest that the company may have, and then also the what a positive association interest that they would have blang allied with the being seen with the charity name. So the organization used to do its homework to know who’s being touched by which type of condition and whether or not their mission speaks to a responsible person within the company, but very often that’s, not something that they can identify. So then i think the best opportunity for most non-profits is to put together compelling packages and traditionally for non-profit events, a dinner gala might have three hundred guests or a golf outing. Might have one hundred forty four golfers at best. That’s. Not a very big audience to be noticing the sponsorship support of a company. So in this day and age, there are so many digital opportunities and media opportunities to get the recognition factor out, that the organizations need to understand, and we’re about to take a break. Duitz welcome back to the show i’m with karen perry, the president of event journal, which you’ll find at event journal dot com and we’re talking about event sponsorships. So, karen, before the break, we were talking a little about the marketing materials that are appropriate for a charity to put together. What do those look like? In-kind trying to cultivate the corporate sponsorships? Okay, well, traditionally thie formula that’s been used for the ages has been that initially, to promote an event there’s a save the date card goes out about six months before the event, then there’s typically a sponsorship letter that the charity writes that engages attempts to engage thie company in ah, connection to the mission connection to perhaps an event honore connection, teo recognition exposure that they’re going to be offering. And a typical sponsorship package combines tickets or tables at the event, along with certain, um, benefits of recognition and association with the organization. So then, of course, the invitation pack it comes out in which if there’s someone who has committed early, sometimes their logo will be featured. And so, you know, the the media met message for the event starts churning and then sponsorship is usually inclusive of some kind of recognition in association with the continuation of that. So if they have an advertisement in the newspaper logos for sponsors, khun b identified email marketing, which is a newer component logo czar identified for sponsors and then at the event they’ll typically have some sort of banners or some sort of aa journal book where the sponsors and supporters are acknowledged by having an ad and that’ll be in us and in combination with tickets and the it’s sort of sounding like there has to be, you know, a lot of recognition, but couldn’t this could this work also for smaller organizations, are more locally based, but but maybe they would just be reaching out to local companies? Sure, you know, even a small organization, if they’re having a five k run, they have t shirts where people khun can have ah, you know, logos for companies or take and i’ve seen dog walks where when you get there next to the water station, there sign ege where the sponsors are being recognized, but for the larger events, probably the single biggest recognition opportunity traditionally has been the printed ad journal and ah, that’s something that at this point is become somewhat passe because the books are our passive piece, one of the opportunities that’s out there right now for non-profits is to use digital media in various forms to offer recognition and sponsorship exposure to the companies that underwrite their events. So now there’s websites for events there’s email marketing, where they expand to a much larger audience, digital media is going to reach out to people who may not be in the room the night of the event, but who were still part of the larger database for the organization and community for the organization. So the moran organization can tie into a variety of digital media. It expands from what used to be a printed piece or printed advertisement. Okay, and that’s what? Your work is involved with eventjournal and we’ll get into the recognition. I just want to sort of work our way into that. So there was another we’ve identified you identified two reasons that companies would be interested in some kind of event sponsorship that was analogue i with the mission that they’d be in sympathy with the mission or just ah positive association with a local organization and you mentioned a third, but let’s, let’s investigate that one little bit the honoree relationship. What is that? Well, in the new york metropolitan market, honorees are really tried and proven method for bringing revenue into the event, you know, as you get outside of the new york metro area. Interestingly enough, it’s not done as much really is not so common outside new york, but we’ve learned that it’s it’s sometimes we’re suggesting it to organizations and it’s kind of like an aha for them. But basically what that’s all about is identifying somebody. Who’s either done some incredible work or made contributions to the organization or someone who’s business. They can tie their business to the mission of the event, the organization and or if not just some prominent individual who’s willing to put their name and their support behind the event for particular year. And then they either are asked or were requested are expected to bring in a certain amount of support along with there being recognized, so the honoree themselves generally underwrites the event from their company. To some extent, they’ll usually by a couple of tables, or they’ll invite their colleagues. To buy tables, and then the big opportunity, depending on the prominence of the honore, is to reach out to the vendors and suppliers and clients and colleagues of that particular business person or corporation. And ah, you know, let them know that they should show support for the fact that their colleague is being honored. Yeah, so what’s the receptivity that you find in other parts of the country when you’re having a conversation with eventjournal clients or potential clients to this to this honoree idea that you said is new to them? Well, i think that there is a general sense that, you know, asking people to it there’s a discomfort i found with asking people to not only ah chip in a certain amount of much money for their own company, but then reaching out to the next tier, then and the vendors and kind of putting the arm on them strong, arming them to pony up some money. But i think at the end of the day, one of thie ah, one of the real facts of fund-raising is that its sales? You’ve got to get out there, you’ve got to ask, you’ve gotto give people. Compelling reasons, teo, make their contribution words like stewardship. And where were the other worlds of cultivation? You know you can you can catch those and euthanize them, but basically that’s sort of like prospects, prospecting and following up and doing customer service. It’s all the same thing, it’s, just different verbiage. And you you alluded to that we didn’t call it prospecting earlier. When you’re saying that there may be people in the company or heads of the company that are sympathetic to a mission because of their own family circumstances, that’s the prospecting part of of corporate sponsorships, that’s a piece of it. But i think it’s also just knowing if there’s a company that wants to come out as being a good citizen in the community, and you have an opportunity for them to get their logo and their recognition in front of a thousand people who all share some common bond, where there’s some warm and fuzzy feeling for the fact that they have supported a mission that’s important to the individuals in the organization. That’s important to noto you know, you know what about thie the’s honorees in doing this in other parts of the country are we really anomalous in new york city? I mean, what about other cities? Are they are they doing the honoree strategy? They are there, other cities air doing work with honorees, but a lot of times it’s not as monetarily related. So, you know, they may end up honoring the chairman of the board where they may honor a great volunteer. Who’s. You know, the priest who started the programme or something like that in new york, we’ve kind of got it down to a science where you usually have two or three honorees. One is a business honoree who brings in the money. One might be a cause related, honore and a third might be just a scholarship recipient or somebody has benefited from the program. Okay, but the first of those that business honoree here in new york, i mean, there they are expected teo to put forth their vendor list. Other friends of their company there’s always an agreement. Doctor there’s always an agreement between the charity and the honoree as to what level of involvement they’re goingto have, whether they’re just providing a vendor list, whether they’re sending out a letter teo their supporters. One of the best examples we had recently was an honoree who stepped up personally, and we did a video message from eventjournal we did a video message from that honore that was blasted out on email that went tio a couple of thousand of people that the organization and this particular businessman knew it was a personal appeal from him to support the organization and then the email message click back into the website that eventjournal built for the event where all the event information the honorees byo everything to do with why they should support this charity. And then, of course, because it was an online journal, which is what our company does, it had thie ads of thie supporting vendors where everyone could see who was supporting this gentleman, and if your ad wasn’t there, it was very publicly not there and then, because annie journal is a public recognition opportunity, we also incorporate a shopping courts of people come by the rad’s right then and there and, you know, get their support recognized. And so these expectations are all laid out in advance so that the honoree on the charity know what each is expected to. Do in best practices they are, you know, some some organizations, they’re not. His bold is toe have dollar figures. Some will just ask for support and sharing of lists. Sometimes it depends on who the honoree is and what can reasonably be asked and how strong the relationship is between the charity and that particular honore. If it’s someone they barely know, and they’re just happy to have them lend their name to the organization, they have to tread lightly, expectations will be lower. Sure. S so i don’t know how to interpret the new york city version of galas and honorees, are we? I don’t know if we’re greedy or we’re just ahead of the curve and the rest of the country. Well, we’ll catch up. I think in new york, we know that were after the money. I mean, that’s the whole purpose of a fund raising event, you can have nicey nice events or you could have fund-raising events in new york, i believe we feel it’s about the bottom line, right? I’m with karen perry and she’s, the president of eventjournal we’re talking about excuse me, we’re talking about event sponsorships, karen, who should be out soliciting for the sponsorships now, you know, of course, the audience hears small and midsize non-profit so they may not have the wherewithal to get the high profile sponsorships. But who from the charity should be out soliciting these? Well, i think that it’s it’s a communal effort, there’s, generally a few tears of responsibility. Not every organization has a committee, but some d’oh. So if there’s an event committee, a committee of volunteers you mean generally it’s a committee of volunteers on dh they have some vested interest in the success of the event on behalf of the mission of the organization. So what i think is important for staff people to know is that their committee members aren’t as well versed in why somebody should sponsorship sponsor an event they may not be as comfortable with the ask itself, but they have contacts and friends and colleagues and business connections within the community. So i think that they’re a field that could be mined. I don’t think that they’re the ones who should be making the ask in general, unless you have a very sophisticated committee member on dh, then there’s generally the committee, the gala co chairs. Ok, so wait well, before we go to those let’s, just focus on the volunteer committee, that event committee so are they their role then? If they’re not actually soliciting asking for the for the sponsorship there more just setting it up so that then the staff member actually does they ask? Is that would you know, i think that in an organization that’s very well organized there’s generally a target list of companies, businesses and corporations that they would liketo have sponsor their event. I don’t see that as often as i’d like to. But i think that any time you start out with a target list, you have a much greater chance of actually closing sales or closing donation requests. So i think if you put out a list like that to a committee, you may find out that somebody’s brother in law sister in law is involved in the company and that’s information that you would have overlooked had you not asked for that. You just said, oh, who knows anybody that could sponsor us? Most committee members glaze over. Yeah, but a more specific list on dh then you you have a suggestion to go beyond the event committee itself in terms of who should be out doing this marketing for you. Right? Well, i mean, it’s going to depend on the organizational structure of this particular event. We have clients where all the asks are done by paid staff. We have others where the board members are very involved in reaching out to their contacts. Then there’s generally a gala or an event chairperson sometimes there’s a sponsorship committee, which is more focused than the committee at large. So i think, really. It depends on the structure of the event organization. But in general, what i found is that the actual asked can be started by someone on the committee or the board, but wth e conclusion and what level and what they get for that and how you package the benefits. It’s generally got to be done by a dedicated staff person in general. And in terms of that board board involvement. Is that really just about as far as it should go? I mean, what what do you think is the best practice for the degree to which the board members should be involved in this hole process? Might they also be identifying potential sponsorship opportunities? Absolutely. They might be identifying sponsorship opportunities. I think the board’s primary benefit in this type of endeavor is identifying future honorees. And then once they know someone who they can tap for an honoree for an upcoming event, then it’s their relationship with that person. Perhaps that they can then go and make the ask. And then that ask includes who do you know, mr emma’s honoree that could become sponsors and support your being recognized by organization and there’s. Ah! Number of times that, ah, potential sponsor needs to be asked right or or receive marketing materials before you’re actually gonna get an action action for out of them, isn’t it? Yeah, i think that the fund-raising sector in general is not as up one marketing methodology as i think that they could be. And so typically, with any kind of sales or marketing effort, you need a minimum of four to six times of exposure and recognition of a message for someone to even take action and more like six to twelve times for them to really be compelled to do something about it. So what i described earlier with the save the date card, the sponsor letter, the invitation and maybe a phone call from the organization that’s that’s a bare minimum. And this is two thousand eleven. We have elektronik media and we have social media and we have, you know, you can have a facebook page. You can have ah, email, marketing, web based materials. There’s just so many opportunities to teo get in front of potential sponsors. What’s the revenue expectation for sponsorships around a single event. Can you clarify? Yeah, the i mean how? Much of your revenue from an event do you think should be coming from the sponsorships? Well, i think that depending on whether what the revenue streams are, the percentage is going to vary. If it’s a sit down dinner and there’s tickets sales and then their sponsorships, you know the vast majority of the money should come in from sponsorship packages for any successful event. The ticket sales are generally just the up charge between the out of pocket costs and the ticket price, and so there’s not as much potential, whereas a sponsor dollar if someone’s donating ten thousand dollars a sponsorship and they’re getting a table and that table has ten seats that cost the organization one hundred dollars. So the up charges nine thousand dollars there’s also organisations that have journals. And so the journal is where companies come by an ad and it’s just a matter of all the ad revenue comes together. Sponsors get ads, but then people can also buy ads individually. So the cost of printing or publishing or electronically publishing that journal is taken out of the costs. So if they have tickets and sponsorships, i think it should be at least sixty percent, if not more, of the revenue. If they also have a journal, then you put the journal together with the sponsorships, and then that should be a very large percentage of the revenue. Okay, i pulled our ah, our listeners and people who follow the show on facebook and on twitter no, their replies, there were just a few, but their replies were there. Their sponsorship revenue came in either between twenty six and fifty percent, or it was a combination of anywhere from zero to one hundred might said to me, that’s, that’s a huge opportunity with a do badder than glow. I think that should be you should be vast majority, well, that’s, because i’m think i’m thinking they’re not tapping sponsorship opportunity as best they can just in the minute or so that we have left let’s talk about the recognition because that’s, where your work is the recognition that the corporate sponsor gets what what should that look? Likes a little maybe a lot more detail than you said. Well, there’s on location at the event recognition and then there’s there’s ah at large recognition, so at the event it should be very parent who the supporters are with eventjournal we produce thie e journal online, and then we bring it to the event with a presentation where all of the ads are being shown on big screens and everybody sees who the sponsors are throughout the night. It’s very colorful and robust other times there’s a printed ad book where it says there’s an ad in the on a page in the book, sometimes depending on the nature of the event. If it’s not a very elegant event they might be, they may have a banner for the company or a poster board. They may get recognition from the dais. Sometimes a top sponsor gets to have a few remarks from the dais and then outside of the event there’s all of the event promotional materials like the event website, which can have logos and journal ads and their sponsorship letters and there’s all kinds of materials where they can identify who the supporters are. Howard, you have some suggestions about email security? Why don’t we start with the most basic that password for email? Okay, good afternoon. As i mentioned in the blogger hyre, your password should not be the same as your luggage tag or your luggage lock. Many people keep a luggage lock of xero xero xero or one, two, three, four and currently the most common password out there happens to be password with a capital p oh, but they but people do put a capital p on it. Yes, but that’s not enough to confound snoopers. Not not enough. And actually, some people put a capital p an a number one at the end. So that zoho very that’s. Very good. We like to say sarcastic things like that. It’s. Not very good. Now you can tell because you know, you know, you know he doesn’t mean that’s very good news. Go ahead. Sorry. Basically, you want to take a look at having as complex a password as you can to maintain security. That means doing simple things, like making sure your password is not in the dictionary. People may choose a word at random in the dictionary, but a very typical hacking attack would be to have a list of dictionary words sometimes one hundred thousand two hundred thousand words. And then programmatically attack your email by just going through the words if you’re so there are programs that can go through the whole dictionary or one hundred one hundred two hundred thousand words, all trying to hit just one one person’s password there. Programs that can actually go through about five million password words in approximately six hours. Also, these gross out there in the world, and it doesn’t not somebody sitting behind a screen one of the time it’s actually an automatic process that just runs. So when somebody uses ah, capital letter on the first word of the word or adds a number one or two at the end. It’s not a very good password. What you want to be looking at is having a complex password. Sometimes about eight or nine characters is usually a good starting point. Having a number or an additional character like a tilde or an asterix in the password somewhere. Commonly, people replaced the letter e with the number three. Um so what about those replacements, like e three for e and at signed for for for a name? What’s that oh, for a that’s, right? Right. Those work, they do work, but again, those air common replacements. So you want to try and and switch it up a little bit instead of having on eight or xero for for the letter o, you might want to take a look at a seven or something like that. Something that’s not common. The most important thing to understand is given enough time and enough computing power. Any password can be cracked. So you really want to make it as complex as possible and, frankly, not worth someone’s time to use up the band with trying cracked the password. Okay. I don’t know if people are aware that it’s so easy and that just the automation allows such sort of ah, harsh attacks on on a password in a very systematic way, correct. And i mean typically things like hotmail or gmail, even mac mail, these are things that are susceptible because they are they’re known addresses and there the common. So a lot of people go ahead and attack those female, that kind of thing. Now we’re talking about the email password, but does the same apply for your other password like system? Password? Same same kind of theories apply and depending on where you are and the amount of money and or lists that you have available to you will make you amore attractive were less attractive target. And based on how attractive a target you are, you may be under attack on a fairly regular a constant basis. Yeah, charities have donor xero often they’re preserving date of birth, maybe credit card numbers that might save to make it more convenient for the person for the donor to give, but that means they’re more susceptible, teo attack, because that that’s high value information bank bank routing information bank account information all that stuff is a can be available to ah, to ah, hacker. You know, my interest in this topic started because and i mention this in the block post because i got five e mails from different companies that i do business with all related teo hacking that occurred at a company called absalon, which i’ve never heard of, but apparently they do a lot of email distribution and email management for a lot of big companies because these were all big company names that i got the warning email from but absalon i’ve never heard of absalon is actually one of the biggest companies out there. They manage many list for folks is very disown me bed, bath and beyond paypal to some extent, so i mean, these air, these air companies that absalon works with, and they have hooks into each of these systems, so they’re a perfect target. And when, when a company hires this back end company, what you’re saying is huge, but i don’t think the typical users ever heard of them. It’s not a common name, right? Right? But they’re huge. You’re you’re really you’re relying on the front end. Company to be managing their relationship with the back end company and that’s going to play two non-profits to write if definitely for non-profit is hiring a vendor? What? What do you make sure of your agreement says when you’re hiring somebody else to manage your lists for you. Well, one of the things you definitely want to take a look at when you are using an outside vendor is what kind of arizona emissions insurance they happen to have. That’s ah, that’s. Certainly an after the fact kind of thing, but certainly something that wants that you want to have in place. You want to know that that they’re even thinking about it. If you ask an outside consultant, you know what kind of arizona missions insurance you have or data security insurance you have. And they look atyou blankly. That’s, not a vendor. You want to be talking with very much further. Okay, furthermore, you want to make sure that they have not disclosure agreements in place and that they have some kind of security system that’s audited that you can. Then go ahead and take a look at at least on a quarterly basis. Oh, that that the non-profit can audit the security for how does that work? Usually. Ah, vendor that is working with not-for-profits or for a large firms will have to have their systems audit on a regular basis to be compliant with either hip of requirements or sec requirements or some not-for-profits requirements. And if they are doing an audit on a regular basis, they’ll have a report that they can then go ahead and provide back to the to the customers. Okay, excellent let’s. Talk about attachments, since we are focusing mostly on email but not exclusively. What about those lurking attachments? What’s your advice, there’s a. An increase in what’s known as fishing out in the cyberspace and wanted to spell fishing. So keep you out of jargon jail a h i s h i n g l i just want to make the point that it’s not fishing, throwing a rod, but it starts with p a change. Things go ahead. The concept is, is that an e mail is sent that looks very similar to a a normal email that would come from from your one of your credit card companies or processing company or your bank or what? Have you? And that email will have a logo and we’ll have all the text formatted almost the same as as that emails coming from the actual valid location would be, and they would have a link on it’s saying something like, please update your password, papale had this happened quite a bit about a year and a half ago two years ago, you may also get an email from something someone claiming to be ups saying we have a package that needs to be delivered. Please click on this link to confirm your delivery instructions, and when you click on that link within the email, it will take you to a website, and that website may look very similar to the to the company that you that you’re using the website of the company you thinkyou’re going around exactly, but in fact, it’s ah it’s, a fishing site, and what they’ll do is they’ll ask for information, personal information, sometimes credit card information, and they’re looking to their statement is is they’re looking to confirm that you are who you say you are, but in fact what they’re doing is what’s called social engineering and and asking for information. That normally would provide and you provided fairly freely, and then that’s information that could be used later on teo to extract funds. She’s ok, so what’s your advice, then if you if you get something, how do you tell whether it’s legitimately from ups or or it’s, not in almost no cases will you’re a vendor that you’re working with? Ask you to send, send their information, your information via email or clip through on the website the wayto always check is if you log on to the company’s website directly outside of the e mail attachment, but rather going directly to your browser. Okay, so now you’re in there, you’re ignoring the email you going right to your browser and in the browser address window? Correct? You’re saying typing ups, dot com or paypal dot com and then put your credentials in there if on e mail went out saying you need to update something, it’ll have a notice on that website to say, hey, you need to update something alright, because you’ve logged in so they know that it’s you they would know if they had sent you the e mail, they’re going to know, and they’ll remind you of whatever it is they want to do after you’ve logged in. Okay, okay, why don’t you just we just have a minute before a break. Why don’t you say a little bit about firewalls and were firewall protection? And then we’ll look more added after the drugs. Traditionally, computers come with far walls, whether it’s, a mac, a pc or a linux based operating system that’s, a piece of software that will try to keep your system safe and using that software there’s a degree of of comfort that the end user has. The question is, is that comfort valid and that’s something that really needs to be investigated depending upon where the system is connected to how it’s connected teo to the internet and what of the things you’re doing on the on the machine? Howard, we’re talking a little bit about firewall, so it’s it’s a degree of protection between the outside world and your your inner network, correct to speak a little bit more about that? Most computers come with a far wall, either preinstalled or something that you can turn on. The problem with principal firewalls on a computer is that they need to be hardened. They need to be ah, lock down a bit, which makes it a little bit mohr ah, less oxygen less user friendly on the computer itself. One of the things we recommend is a firewall that’s protecting your entire network, whether that’s, a home network of one or two pcs or or apples or a corporate network, a device that actually has a moral bust process and really is designed specifically tact is a firewall, as opposed to a far wall and a word processor and a web browser and all the other kind of things that a computer is okay and what kinds of things? Is this wall protecting you from? Well, the wall protects you from a number of different things. For example, some of the some of the password attacks that we were talking about not so much on the email side, but certainly on the server side, the database side things that would be password protected, but internally on the network. Additionally, it protects you from viruses and potential malware or little programs that get downloaded by by folks who is surfing the web or until you could tell how it’s, afraid of jargon, jail this’s, malware or little programs gets that definition right in there. Thank you, little programs to get downloaded when folks open up attachments and emails or are served to certain websites, the firewall, what it does is it actually monitors the traffic that goes from the outside in and from the inside out and that’s a critical piece, because if you have a network of any degree of complexity, which really more than one pc is a degree of complexity, the potential is is that there are programs that get installed on your computer that you may not be aware of and by monitoring the far wall. You can find out what what programs are what we call calling home or sending information from the machines back to some other server so you don’t just set this firewall up and and and then forget about it now, monitoring that would be ideal. Basically, ah, home user might have a firewall that they would really ideally take a look at at least once a week and take a look at the logs. Yeah, what about a small office, maybe three or four computers? Smart, a small office that operates on a typical nine to five business day but leaves their machines on so that way folks can work remotely should have. Ah, an active monitoring system is supposed to be a passive monitoring system. What that means is, is that when a potential violation occurs, it emails or notifies out someone who’s monitoring that far wall on a regular basis so you would do things like patch management and upgrades on a on a monthly basis. Take a look at the far wall logs on a weekly basis, but have active management and act of notification on an hourly or sometimes up to the minute basis, okay, and what types of things are you getting alerts about? Well, there’s a number of different things that the most common alert that we would get is we would have intrusion detection so there would be websites, and you’d have an external website or an external address from somewhere out in, out in the world, that’s attempting to ah to connect in using different protocols, things like ftp, which is a file transfer protocol, or using things over port eighty, which is the web protocol that’s things that people use to get out on internet explorer safari browser, but it also is ah, a whole range of different ports that are open and or potentially open, and if those ports are open, every port is a is a potential access point, and these ports are connections into your computer and thrown out of your computer credit. How does this small non-profit budget for all this, for the software that they need to protect their their network? Well, ideally, you’d be looking at or a small non-profit would be looking at some kind of manage service that has ah, a paper month as opposed to pays you go type of faith, the pay as you go, type of he can get very expensive very quickly. If you have a monitoring program in place and you say okay, we know that that monitoring is going to go on for this month. We’ll give you a report at the end of every week or at the end of every month. And we will go ahead and re mediate any of the types of issues that we see and it’s all included in tow. One service and that’s. That would be ideal. The reason why that’s ideal over as a pay pay as you go is the types of intrusion. Detection varies widely depending upon what your internet service provider is the time of the year it is. And, frankly, how valuable your information is assumed to be from an outside source. Roughly. How much would a small office get? Well, are the fees for that type of service based, i assume on the number of users? Is that right? Are the fees are based on the complexity of the device. That’s actually being used as the firewall more complex environment might only have excuse me. A more complex environment might have multiple firewalls and you’d be looking at something where you have to monitor multiple access points, a small environment. Let’s say five users or five people work in an office would probably only have a single firewall fairly, non complex, far wallet that and really be looking at maybe seventy dollars a month in terms of monitoring fees. Okay, okay. Um and that and that. Ah, that active monitoring you said, should be even hourly for some of the things that some of the dangers that are out there. Okay, i know you brought some resource is with you that where that are specific for non-profits why don’t why don’t you share those for discount something? Okay, well, the top website for discounts for non-profits is tech soup, that’s t ea ch soup dot or ge that’s, a website that actually matches non-profit companies with donor cos specifically software and hardware vendors. So microsoft, adobe, symantec, all the big companies go ahead and provide software if ah, non-profit can show their non profit status and joe need. Okay, so there’s a huge names. Is there another one you have or really tech soup? Texas is the main one fourth non-profits and then there’s. A website sands s es and s dot or ge, which deals with specific security issues and can talk a lot about auditing and keeping things upto up to date. Okay, and this sand’s dot org’s also have discounts or that sand xero is just a resource for for things that are going on in the world.
