Oh, i want to welcome the november nine thousand november last month we had over nine thousand listeners per show per show. Of pecan twenty twelve, i guess now are karen heart she’s, the philanthropic services specialist being community foundation and the cold sand miguel database administrator at the naka pratt free library of baltimore city. They’re topic is reserves h policy siege emmanuel ladies, welcome. Thank you, karen. Why don’t you explain what you do as philanthropic services specialist xero unity foundation. Do you want the whole list? No, i just want neo-sage about thirty seconds. I am the database manager. I am the charitable gift annuity specialist. I write all those contracts and i also do the research for the razor’s edge. Okay. And nicole, as database administrator. What are you doing? I do everything. I process gifts. I generate letters, put information and pull it back out of the database. Okay. Everything in and out of david. Okay, let’s, just start with what they call. What you see, something charity is doing wrong around there. Procedures around razor’s edge. What? What? What? What? What is it? We’re trying to move on. They don’t have them. I think that’s probably the biggest thing, karen is not. Yep. Definitely not having procedures and data standards on how to put the data. In to get the data back out again. Okay, well, let’s, just keep it simple and start. Karen, why don’t you give us a first? A first good practice that belongs in your first year manual should be written, i presume, right? The first thing you need to do is understand how the data is in the system. And then you need to figure out how you want your data in the system because it can be the way razor’s edge trained you to do it. Or it could be how your finance people tell you they want it. But for us, the biggest thing was putting the data in in a standard format every single time. So my procedure manual starts with constituent entry, and it works off of the address standards that the united states post office puts out and that’s how we enter data based on the address standards. Do you both have multiple people entering data? Your office is? Yes. Karen is a much bigger office than mine. I’m in office of five people, and we all have to intern ada. And we have twenty five employees in six different sites. We have remote user’s on. We also have ah, secondary office down in the southern part of the state of maine, so everybody interest data not everybody has the capacity to do all the data entry, but everybody as the capacity to do constituent entering, okay and let’s have a little motivation. Step what’s the downfall. Karen what’s the problem if you don’t have standard data entry, your reports are messed up your mailing list so messed up and your executive directors on your back saying, why can’t i send out three thousand letters to three thousand people at the correct address at this time? If you don’t have standard data entry, you don’t have standard data export, you can’t get it out. Everything is all over the place all called the same thing, so you can’t do it. What should be a pretty simple query, i guess, in a lot of cases to get out everything that you should get out. Yes. Okay. So if you have three thousand records, you could have the data in multiple ways. And so if you’re doing a mailing and you have an address field that’s the post office p o box listed above the street address the post office is going to mail it to the street address. They’re not going to mail it to the p o box, but the post office the physical address doesn’t have a receptacle a mail box and so they returned the mail. And so that’s not how the post office reads addresses they read from the bottom up so your post office box, which received your mail, has to be the first address in the line going up and then the city and state yes, just above the city and state, and then your street address so that the post office khun deliver the mail where it needs to go and if you don’t know that address, standard feature and your data comes in from akash certification in the post office boxes listed first on the first address line that’s wrong and it will get returned to you. So you’ve wasted your first class mail all the time it took to process that nailing piece and the time it takes to fix the record in razor’s edge, right? So data standards are efficiencies. All right, so we need standards inputting data there has to be, i guess training you said. You have people in multiple sites, karen, be training around the policies. Yep, and i, my policies and procedures manual, is my training man. I used my training, my policies and procedures manual, to train all my new staff and to do my continuing updating trainings that i run by annually. Nicole is the is the manual changing it’s constantly. Jean well, i think you kind of have to look at it as a document that’s never actually complete, because blackbaud is constantly updating its products. People are constantly changing address or constantly being hit with different situations or events, and you just kind of have to be able to adapt its kind of like the constitution. Okay, it’s, a kapin all right, all right, the call what’s another important element of the policies, procedures. Back-up. I would take it index a table of contents index because of karen had, for instance, has a very large policies and procedures manual and how many pages can it’s one hundred fifty separate documents totaling almost three hundred fifty pages? I don’t know, five or six, i don’t know, i’ve been the d be a first for fifteen years, and i have a very established policies and procedures manual mine’s not nearly that long, but still even in just one hundred pages. Your users have to be ableto find what they need in those hundred pages. And if you have a policy and procedure manuals only five pages it’s not nearly long enough. All right, well, that’s, why i’m in your fight? Your dvds. Finally, when karen says d b a i want to keep her out of georgia. I learned right before the session. Diva, of course, is a database administrator doing business as okay buy-in index and table contents. Right. It’s gotta be searchable. Gotta be able to find it. I assume this is all elektronik form, especially three hundred fifty pages. So yeah. Ok. So it’s not it is not in a print for men like everybody, i get a lot of questions from blackbaud users to have access to my manual, and they want me to send it electronically, and i explained to them very assisting clea that it is one hundred fifty documents totaling three hundred fifty pages, and i would be happy to send you zip files of portions of the manual, but it is more than twenty five megabytes and size, and my email server does not allow me to send it, and i’m not going to upload it on google dogs, so i have a specific pieces that are categorized by my index for i would say, structure buy-in introduction, the constituent entry, and then it goes through for other blackbaud parts of the system, andi, i’ll send them the basic constituent entry procedures and along with my tips and tricks and so that’s a zip file, and i’ll send that to them. Or i have five six different procedure zip files uploaded on black buds website in their shared client document folder, and people could go access it that way. So you also have a document that, as we said a minute ago, is kind of constantly changing and constantly being updated. So a paper document isn’t necessarily the best format for your users. If you, if you make a change, you don’t have to reprint that beat one hundred pages of three hundred fifty pages. And i also like it to be somewhere that my users don’t have toe look through their desk, through their cabinets, through their drawers, through there. Finally, cabinet to find their copy of. I like them to be able to open up a file on their server very quickly and go right to it. It’s. Also a lot more searchable, electronically us, and where i have central f, i have six different. Sites that use my procedures manual, they have to be able to have access to it. And so they have an access electronically so they don’t have to print it off. Okay, let’s, move on. I’m just keeping general. And karen, why did you threw out another practice that belongs in your the procedures, um, campaigns funded appeals and how you how razor’s edge has campaigns, funds and appeals that’s the structure for sending out solicitations and what funds are associated with that solicitation, regardless of whether you’re using a named fund, we have seventeen hundred named funds at the main community foundation because that’s what we do and another orcas nation might only have three of four different funds which are, like, restricted, non restricted general or whatever. And so your campaign’s funds and appeals need to have the same naming process and the same structure so that you can find information and report on information in the same format in the same way. And you get the results you’re expecting so on dh should that naming b is that particular to the organization? Or can you share what? Some of the ideas? What your what your ideas are. Around around these naming convention well, how we think of campaigns, ones and appeals campaign is the umbrella that the appeal falls under, and then the fund is under the appeal so we can have an appeal that has three or four different funds that were raising money for and that naming structures always the year the appeal that’s, the appeal name and then thie campaign is a general name where you re use those year after year after year because we don’t do capital campaigns, we don’t raise funds for ourselves, we give money away, so we raise money to give away so an example of a campaign would be end of year. I can’t bend county fund a great capital campaign. The capital campaign is county funds. There are eleven different appeals underneath that because we have an appeal for each of the funds that’s associated with the campaign appeal, and then those appeals are done every year, so they appeal is renamed every year. The old appeal gets in activated, and the new appeal comes on and that’s, how we do our solicitations and our appeals talking alternative radio twenty four hours a day. Is something similar or different radcampaign funds our campaigns, funds and appeals are a little different because karen raises money for other organizations basically are not raises money for other organisations, but the money that she uses goes to other organizations are money stays in our organization. And we a za public library was twenty three different branches constantly have campaign appeal up campaign’s going on capitol campaigns. We also have an annual campaign, and then we also have campaigns that may be related, teo special projects. And but just like karen and i are different, every other organization is going to be different. Everybody does something very specific and can tailor razor’s edge to their specific needs. Okay? That’s the beauty and the curse of razor’s edge is the flexibility of the system. So, karen, it doesn’t have to be the hierarchy that you described. No thinking about campaigns. You know, there are lots of organizations that i help structure their systems, that they don’t even use a campaign. They use everything on the appeal level or everything just on the fund level. So it’s how your system needs to be set up. But what? You have to do is think about how that process is going to be best for you to get the data back out of the system and what works best to get the data out. And then you structure your system based on that, and then you write policies and procedures so that you have a constant naming structure and a constant format and flow of your data in and out. It sounds like you should be thinking about what you want to get out of razors edge before you’re just exactly, exactly almost work backwards. Yeah, you think about what you need and what report somebody might need toe it might. It actually dictates how the data goes in the system. On our standpoint, from i converted the database in nineteen, ninety nine took over, and so it’s my baby and i helped design how the data is in the system. But i met with all of my officers and said, what do you need for reports? And that dictated how we put the data in the system? And so i wrote my policies and procedures basically, teo, make sure that format doesn’t get lost and for those annual things that you don’t do all the time so i can refer back to them because my memory is like a sieve sometimes, and also so that if i was to leave the foundation, they aren’t hamstrung by not knowing what i did and why i did it. And so they could use that as a training tool or as a fallback to see how i record a campaign or how i record a pledge or how i record a gift and it’s also very important, knowing the reasons why things aaron there a certain way, i can’t tell you how often i pull up data in our older data in our database, and we do not know why it has been entered that way. What thie rationalization for this particular type of coding wass and or even just what certain abbreviations stand for? So i mean definitions of in your policy and procedures manual, and also, i mean, you don’t have to justify every single thing that you do, but perhaps a little bit of insight into why those decisions were made is useful, especially looking back and when staff changes, okay, if we’re going to change something in the database, we talk about it as a staff and what the implications of that change could be future and historic, and it also we’re tracking a lot of data that was in hard copy before is now in the database for a good example is success our advisors. So we have a specific way that we code our successor advisors who are advisors to an advised fund, the donor advisors not allowed it’s no longer available to us to the donor, right? And so that dictate we have that policy, that the information is recorded and raises edge it’s in a specific format. And so when we know that somebody’s passed away, we can go and to the razor’s edge database and say, oh, yeah, this is how we’re supposed to be doing it. So it’s it’s a really good way toe track for historic data as well as future data, because you might have somebody who’s in the position now, but in fifteen years they may not be there, and you might have somebody who’s passed away and it’s a huge request if there’s no documentation on how that request is supposed to be processed in the system. Then it’s, it may not be processed. How was intended to be a stalker? The call? What else should be in this table of contents that you said? Is it self important to them? Document? What else belongs here? Well, i think you just need to have some basic day today. Operating procedures? Um, such a such a gift processing what’s. You know what? What? What happens when a gift comes in? What reports need to be submitted to your business office? What are they saved as? How do you change parameters? What gift types belong in this report? What? Give types. Don’t who do you hard credit for something? Who do you soft? Cut it for something? How do you split gifts? Do you split gifts? Everybody does. Everybody does a lot of these things differently. And we have staff turnover all the time. And i could go from where i work to where karen works and not do anything right. And it would be different. We don’t record pledges unless there are material to our financial statements. So if it’s not a material pledge let’s say somebody is doing a fundraiser and they’re going to raise fifty thousand. Dollars and their pledges. And they want us to record pledges for that that’s not material. So it doesn’t go through to our finance department. We put it in as a placeholder on the razor’s edge. But then we also have a fundraiser where it’s four and a half million dollars. That is a material dollar amount. We do record those pledges. They they have a sign, documentation. They are what we call collectible pledges. And so nicole might have pledges that she runs all the time for her campaigns. And we don’t. We do one massive pledge. Maybe once every ten years, and the rest of the pledges aren’t booked because they’re not material to our bottom line. And we do pledges all the time. We have pledges that may last a year. We have pledges that may last ten years we have, you know, all kinds of pledges and it’s just the difference in the nature of the way are two organizations work where the difference in the nature of the way all of our organizations work. Not everyone non-profit works the same way. Of course. Going to start to wrap up. Karen, why don’t you share what? It is you love about being a d b a database administrator work. But i never do the same thing in the same day. Twice. I do a lot of different things every single day, even though it’s the same basic format i do gift entry. I do. And i do all the stock. So i do stock gift entry. I do charitable gift annuity entry. I work with chargeable maine to truss. I work with prospect management. I work with bringing a new funds. I opened my own funds. I do data services. Esso i never do the same thing every single day, any day. So i love the challenge of it. The puzzle of it. How to figure out getting the data in there. So it comes out the way my people need it. And i love the software. So it just makes my life so much easier doing what i do. I like that. Well, i don’t like that. I’ve spent a lot of time cleaning up a database, but i have spent a lot of time cleaning up a database. Product is gratifying and and it’s gratifying. And now everyone in my office can pull information. And is actually so excited about what they pull out it’s really amazing you, khun go from hardly being able t see any kind of of analytical data in your database to being able to pull this stuff out and just infinitely filed down your donors and they’re they’re giving histories, and they’re giving trends and what they respond to and what they don’t and in the end of the day save money and raise more money because your data is so much better. Nicole had a fabulous slide yesterday where she had it was a period of darkness where the data was a messed up and you couldn’t get anything. And then when the data was clean, it was like having a light bulb. Then you could actually find the filing, so it was a fabulous graphic, and it works really well, but there is great analogy that was karen heart and she’s, a philanthropic services specialist at the main community foundation and also with us was nicole san miguel, database administrator for the free library of baltimore city. These these deba is database administrators. I mean, they know the stuff so detailed. It’s. Such a specialized field. I was intimidated. I was scared to ask, you know, estimate questions or b b too challenging. So jargon jail hard credit itself. Credit that’s, basically, like when somebody gets an assist. So there’s a there’s, a main person who gets credit and then maybe somebody gets an assist and that’s that’s the hard credit versus the soft credit, an example would be, ah, husband, wife. If the husband and wife are both donors, maybe separately, or they’re both in the database, because they both want to maybe get email separately. When you’re soliciting by email, you would hard credit, perhaps the wife. Maybe she’s got the better relationship with the organization, and then a soft credit might go to the husband that’s, an example of heart credits off credit. You have the list, so i’ll say the first one you’re number ten is search systems, search systems, right search systems, dot net and it’s a way for you to be able to access public records by state, for example. So i know we have listeners from all over, and you can go into each individual state and then look at the various types of public records they have available, whether they’re free whether there’s, sea bass and it’s just i think it’s just a great jumping off point for anybody to be ableto bookmark so that they can access it and then go right from there to the particular state they’re interested in. Ok, so so it’s that’s. Interesting. So it’s state based resources because you you talk a lot about those that you like chambers of commerce, newsletters and websites and things and local business publications. You like those? Yeah, i do. I do. But what’s interesting about this is it’s. More like government public records. So you’ll get access teo information on properties. Uh oh, i’m sorry, okaying all that type of thing. So anything that sort of a government entity would be overseeing. In terms of public records, you can access it state by state right through this site. Okay, cool. That was search systems dot net, right? Right. Okay, you’re number nine maria’s number nine boatinfoworld is called boat infoworld dot com, so i’m frequently asked by non-profits when they’re kind of putting on their proactive prospecting hat you know, how can i find wealthier people in my community and my state in my county? And although, you know an indicator of simply having wealth or simply having a yacht or a boat wouldn’t necessarily equate to your organization receiving funds from that person, it is definitely a resource that i do check when i’m profiling an individual, for example, i have a known name of an individual, and i’m trying to determine whether or not perhaps they own a yacht or a boat, but really a non-profit that serves perhaps the marine community, any of the thinking about some of the connecticut based organizations or new york based organizations that really serve either an environmental purpose or some sort of an education based purpose on the water? Well mirriam out there are the benefit from knowing about this because you would have outreach to a group of people who really have an affinity for for your type of cause, way down deep, that one is not free. The first, when i mentioned was free this one sea bass, but it’s really not that expensive? I just did a quick test before we came on the air and, for example, new york steak if you wanted to buy a ll the records of the recreational boat owners in that state. Now these numbers are our prior to superstorm sandy hitting us. Of course, there were a lot of boats were actually wiped out, but there were eighteen thousand six hundred ninety six boats in the entire state, and that list was only ninety nine dollars ninety eight cents to be able to purchase as an excel spreadsheet. Okay, now, of course, there are other bodies of water that touch the united states besides just the atlantic ocean. So this could apply in texas north carolina comfort example there about you know what one could think about paying for this type of a resource that you can get it down by county. A swell by city and state. So it’s, pretty interesting, because you actually get the name of the individual and a snail mail address. Okay. Oh, interesting on and you and you can’t break it down by county so you don’t buy the whole state, but they’re more local. Organise a chef. A county has just over fifty, six hundred recreational boats registered. And that list with sixty nine dollars. Ninety eight cents there. Really? For you? No less than one hundred dollars. You can get access to quite a large list of people if you were interested in some house beginning a mailing campaign to those individuals. Now, why do you search for boats and not planes? Why do search for planes and, well, i do just not didn’t make the top ten. Well, see, i mean, i was constrained, okay? You worry about myself because i know you provide this list when i’m doing my my life workshops and seminars. Sort of a top ten. Okay, but yeah, this is when i always happened to a swell. Okay? Yeah, of course, owning a boat could be indicative of wealth, but the person could be in boat. Hell, also all right. You know, they can’t afford their vote. Or it’s. In bad shape. Okay, but it’s ah, it’s. One factor of many as your profiling a prospect. Right? Right. It’s one that’s, right, exactly. It’s one factor that i’m looking for in terms of an indicator of wealth. Okay, good. You you introduced number eight. Okay, number eight, count the countdown. I like to look a sec filings, which are securities and exchange commission filings on a resource that i used for that you can access, by the way, sec data for free through their website, however, i really like this particular resource for the weight compiled the data and the accessibility and ease of use. So it’s called ten k wizard dot com. And it is he based i actually have the lowest level of service is just over four hundred dollars, a year. And i really like the resource because i can look for those corporate insiders. And we’ve touched upon that before me in the show. Yes. And how beautiful they could be in terms of trying to perhaps gain a gift. A stock from somebody is supposed to give cash. Say a little more about why you prefer ten k wizard over the s e c. Website. I like ten k wizard because i can search by an insider’s name. So i have a name of an individual. I’m doing a research project on that individual and i can put their name in. And then i can see all of the companies that they might be connected to either as an officer at that company or sitting on the board of directors of that company. Okay, and then i can go into the individual sec reports to determine exactly how much stock they own in that company and and on the website, you cannot search by individual name, i guess. Just a little bit more cumbersome. Yeah. Okay. Definitely a little more cumbersome. So i like the resource. I mean, for me and in the numbers, you know, names that i’m researching it, it’s worth it. But certainly the website dot go of you could find similar information. Well, exactly the same information, actually, but just search ability in the output of the data. I find it a little bit better on the way. Okay, well, that’s important to know. I mean, you’re the doi end of dirt cheap and free. So but if you’d prefer to pay for the same two options right now. But if you’d prefer to pay for ten k wizard dot com so that obviously there is value there. And by the way, listeners ten is spelled out. So it’s, tnk wizard dot com you’re number seven, his foundation search dot com yes, what’s that about foundation search dot com is number seven on my list, and you can do very targeted foundation research on this particular website on dit is a sea bass to resource you can get into annual subscriptions with this particular company. Ah, and what i’d like to also mention tony is that on some of these resource is where there’s a c i was able to actually get some discounted price pricing for your listeners. How did you how did you do that? Yeah, so i was able to do that? No, how how did you do that? Because you’re because they’re contributor thiss particular resource is used heavily obvious if you do a lot of grantwriting right, so you would look for foundations that would support your organization? They also have something attached to them called big online, which is corporate research um and basically i’ll go ahead mention the code very quickly and all posted on your page. Is there in swell, tony, but the code is m s m s one two seven, and they would be able to get a free month for every year that they sign up on. That code is going to be valid for for thirty days. They mention my name and that code. By january seventh, they’ll be able, teo, get a free month for every year they sign up for the service. We will post the list the top ten list on the facebook page on and also the linked in group, and then you’ll include the free now why did you get em s and not tm? Well, that was the code they signed me. Oh, yeah, sure. Right, right. I’m sure select the code unfortunate. See the kind of credibility that being a regular contributor to tony martignetti non-profit radio gets you, i’m sure that’s you mentioned it. And that’s how you were able to get the get the discount. I’m sure you don’t have to say that. That that i’m correct, because so i’m sure that i am so you know absolutely so i got, you know, let’s let’s. See what we can do for tony’s listeners. And so they said, all right, we’ll pick this code into effect for one month for you. Excellent. Okay. And that’s foundation search dot com foundation search dot com and you get a membership that varies from one year up. Tio five years of membership on dh. They have special pricing, you know, valid through the month of december. So, you know, definitely worth a call out to them. And i was told to ask for rusty ways. Get a little provincial nasco this’s getting a little provincial now it sounds like small town asked for rusty, rusty, rusty burrell is even after he retired from the people’s court. Where did we leave off? That we’re number seven. Right. Wait a minute. Wait. I’m moving on to number six on my list is ah, resource. I think i’ve mentioned on your show before called reference yusa. Okay. And you kind of alluded to it earlier when you were talking about the looking at resource is that cover businesses on dh? This resource is available free through through almost every library and certainly any library i’ve ever tried to research it through and it’s a database and it’s. Very useful. Because if you are looking for again, proactively to develop lists of potential business owners in your community who might be supportive of your cause, uh, you can search this list. Uh, can you set up the search criteria yourself? So if you’re looking for a list of oh, i don’t know. Medical device manufacturers in a specific county that have sales over five million dollars. You can actually generate exactly that type of list. Okay. This is reference. Yusa any i’m sorry. Any fee for this one? No. It’s. Well, it’s free through public libraries. So that’s, where you want to start at your public library link generally, uh, county library will have links to online databases. Uh, some of the library’s might require you to go on site. I actually access it off site through my county library. So using my barcode on my library card, i can access this particular resource. All right? And you and i have talked about the value of the local libraries in the past. That there are a lot of free resource is in local libraries either online or or if you have to go in person, but sometimes you’ve you made the point worth the trip, even if you have to go in person. Yeah, absolutely. You know, this type of the database would be very expensive if you had to pay for it yourself. So, you know, might be worth just rerouting your commuting trip a little bit and then spend a few hours at the library if you need to. Okay, now you’re number five. Ah, you wrote fcc and i only know federal election commission, but alright, that’s exactly what it is. Federal election committee. What is your interest in the centre election dot gov and its data on political contributions. And so you would be able to determine if people have made donations of over two hundred dollars, that becomes part of public records. And i think most people know that. However, every once in a while you come across somebody who’s surprised to hear that those donations are actually recorded in a public wife. Okay. And that one again. Oh, uh, this is particularly useful, of course, for a non-profit who have might have some, you know, issues. You know that, are you? Know, politically motivated or divisive so you might want to, you know, just have an understanding of where you are particular prospect, eyes contributing their money politically, right? You might you might yourself be ah, politically, act active or be involved in political advocacy, but also you would be interested in the level of giving if someone is giving it a very high level. To what, whatever campaign that’s indicative of some wealth or not way have to take a break. Sam, we have still a minute, right? So that would that would just the size not necessarily where they’re giving right. So i looked for both, um and actually one of researching somebody i look att both their e-giving and their spouses e-giving politically because, you know, very often their spouse might be giving equal, if not more money than the prospects that i’m actually researching. Yes, so, maria, i’m going to say, number four zillow, i love to look up friends, houses, i’m zillow, i love zillow. I love to look up friends, houses, i can’t help it. Why don’t you explain what zillow is spelled like a pillow, but with a z? Well, who knew you were such a nosy neighbor? But i can’t help it. Go ahead, tell everybody anyway, says illo, is a great tool that fuse by prospect researches, but it’s, really it was developed for the real estate industry to be able to track sales data as well as where evaluations are currently at. What i like about it is you can get information about where house price wass when the when the home was purchased, you get since general information you don’t know who owns the home, but gosh, you could find out so much other information you’ve got the photo of the home. Typically you have taxes that are paid on the property and generally goes back several years as well. So you could see, you know, the home valuation even over time as well as the taxes over time. So i really like that it’s definitely a stopping off point every time i’m doing prospect research. Okay. Now you would have to have the person’s address in order to use zillow, right? Yes, exactly. So you actually put in a home address, and it will give you all the pertinent data on that on that address. So, you know, real estate is a huge component of doing prospect research. You want to know about their primary residents and any secondary residences that they may own as well. Buy-in again, just her gaining a general level of wealth. Okay, i might have. I was once researching somebody. Tony and i came across data that i actually had to cross check elsewhere. Like i couldn’t believe the results on the two properties that this person owned. They were paying one hundred twenty five thousand dollars in property taxes. Yeah, well, okay, and i can vouch for zillow. It is very robust friends will stop giving me their their home addresses. But i convinced from personal experience a very, very interesting site. Zillow and it’s. Free and free. Yeah, yeah. Oh, yeah. Trust me, it’s free. Um okay, maria. Simple what’s, your number three. Number three on my list. We’ve talked about this resource a lot. It’s linked in on lincoln is a great social networking site, but it’s a great prospect research site as well, as far as i’m concerned, you know, people have profiles up there. It’s clearly marked public profiles. So i definitely like to use the data not only to check on, you know, people’s, employment history, their education and so forth. But also you can mind linked in by using the advanced search feature. Okay? And you can mind it for potential volunteers for potential donors. Um, and, you know, interestingly enough, i had done a, uh, workshop earlier this week, and i was looking for some statistical information that kind of talked about. Well, what are the income levels of people on lincoln? Generally, you know, on average compared to say, facebook and income levels are one hundred nine thousand dollars on average, uh, on lincoln versus twenty five thousand dollars on facebook really that’s very interesting, i thought it was a fascinating statistics, so you know, it really points to the reason why non-profits need to get better about howto leverage this tool, check out their new board connect feature, which will enable you tio have access to more advanced, more teachers on the search on the advanced search page. Then you would under a free account and they will give access to one person in the organization, free access to their talent. Find your tools, they’re calling it board connect. Yes, you, you and i have talked about board necked so listeners could go back. Listen to a previous podcast, andi don’t just remind people how you get to the advanced search, so to get to that particular tab, when you’re on the home page of lincoln up in the right hand corner, you’ll see a search box and to the right of that, you’ll see a link that you can click on called advanced search and that’s what you want to click through because it’s going to come up with again, going back to that earlier example, if you’re looking for men. You know, people making medical devices in a certain community, you can’t get it by income level, but certainly you can, you know, look for people in specific industries with certain titles, maybe having certain keywords in their profiles. So a great way, tio, come up with new list of people to connect to and potentially reach out to. We have to move on. Let’s, go to number two. Wealth engine number two wealth engine. So this is a sea based resource, it’s most people no wealth engine for their screening service, and so they’ll have their their dad based screened in order to be able teo elevator to the top, those prospects they would want to concentrate on again. Here. This is one of those resources that will give you a percentage off if you mentioned the prospect finder llc when you were trying to subscribe to them. Um, i’ll give you ten percent off. Number one is google and especially google alert. So a couple things you want to keep in mind with google? Um, certainly, you know, a couple of tips to make your google searching a little bit more effective when you’re researching somebody’s name if you’re researching tony martignetti, make sure you’ve got the name and quote so it’s not finding every web page that has the name tony and every web page that has martignetti so in quotes on let’s say you know everything about tony and his, his, his company and so forth, and you’re much more interested in knowing where tony is active in the nonprofit world. You want to make sure that you have google filter down the search results for you by putting in the word after you put in tony martignetti unquote space and the word site e colon dot org’s so it will return to you on ly the hits where tony’s name is associated with a dot or ge? Please. Chris, why don’t you acquaint listeners with what conservation international workers? Thanks. Yeah, conservation international is, as the name implies, an international non-profit conservation organisation, we work in about forty different countries. Our mission is to protect nature for the benefit of people human well being a sort of at the heart of what c i does so, you know, protecting forests because they help us by climate change or protecting our oceans because they give us fish and, you know, products and things of that nature. So that’s what it’s all about what’s the annual budget there roughly about hundred million dollars? And if i’m wrong on that, you know, guide star will slap me down, but i think that’s about right, but nobody listens to this show way. John john murphy, what lies would you like to tell about the missouri what’s, the work they’re xero groups in online technology agency focusing on non-profit success? We’ve been partners with blackbaud for five years and worked with primarily with their customers, helping them be successful and filling gaps in their organizational. Okay, karen, what your seminar topic for the three of you was taking your end of your campaign outside the box is very timely. We’re in getting of the fourth quarter what’s, the what’s, the first piece, but i see you have for building the end of your campaign. What we’re trying to promote is that a lot of people have their end of your campaign one more begging them to plan for their end of your campaign as opposed to coming up on november first and not actually having a plan to go out to the biggest part about it is making that plan the other thing we’re what should we want to start that? Well, when did when did you start your campaign planning way? Started our campaign plan for this year at weeks ago, and it is today, october. Once we’re taping, you started planning. Just just a few weeks ago. I mean, you know, probably the beginning of august is when we sort of sat down as a group in earnest and really went for it, you know, maybe even earlier would be optimal if you have the time. You know, not everyone does, but certainly, you know, by, you know, this time of year, hopefully you’re pretty well along. If not, you know it’s. Ok, there’s still time you could do last there’s definitely things that you could do now, and you’ll be okay. But it’s going to move on so that’s, what we’re trying to promote is that planning and to plan early and then the outside of the box thing is, what can you do, teo to make sure that people choose to donate to you because you’re going to be inundated, everybody has an end of your campaign. So how to think outside the box to get you noticed. And then ultimately to cultivate that donor to your organisation as opposed to all the other ones that air filling their end boxes or filling their social media, new speeds and things like that. Okay, john, beyond you have the plan. But how do we start? Get some of these outcomes that karen is talking about executing the plan? Obviously so if you have to plan and most organizations start their plan, hopefully after last year, so january february rolls around and you’re starting to look, then what you’re gonna do that holiday season? And then you start implementing the plan. It usually kicks off right in the beginning of november, so organizations that look at holiday fund-raising you’re looking pretty much november one through december thirty one so that it could include black friday type e mails all the way through urine tax giving. All right, so what are some of the elements of this plan since the planet is so important? John it’s, it’s really a planning calendar so you you really start with a planning calendar, and you look at your database and you’re looking at how you’re approaching all of your constituents so you addressing them with direct mail or you’re addressing them with email, address them with phone calls or some type of event for a holiday season and that calendar than usually across all the organization we’re seeing organizations taking there, direct marketing efforts and putting him under a single point of focus so that they don’t get multiple people overlapping and spending extra resource is and during the time okay, chris, what’s up. How is some of this playing out of conservation international? How are you doing some of the things that john well, john, especially john is talking no, you’ve already done your planning. How does this work? What? John’s talking about working at cia? Great. Well, certainly, you know, i sort of want to stress that, you know, and are talking talked a lot about what? See i did last year. We work, you know, intensely was very group, you know, on some various things, one of the first things that we did is we actually built a map where people could go online and, you know, sort of show their support for conservation and not just show their support, but actually say why conservation matters to them. And, you know, sort of that was i like that because was very on brand is we need a teacher, and you’re going to tell us why and by the way, when you do that, of course, we’re also going to get your name. Andrew email address and your interests because you’ve told us why you care about nature and your twitter handle if you decided to post it. So making my life is a social media coordinator really great, because now i can go and i can, you know, match some of those folks with their twitter handles personally thank them, get them on board and hopefully start a relationship that you know eventually if they get enough content from us if they get enough good stuff, wait until the relationship so they become a donor just let’s just pursue that altum or whether it has to do with end of your campaign or not building from i do twitter relationship you get it, you get a handle, you have the information that you just you just described about a person, their interests. How do you take that relationship beyond twitter? Well, so social media in general, i sort of think of it as you know, you’re getting someone to say that they’re interested in you, whether they follow you on twitter, you know, like you on facebook follow-up board on pinterest reno look at your photos on instagram, whatever you know, it’s sort of platform agnostic. Whatever it is, they’re there because they have signaled that interest. Falik so, you know, then you had to ask someone out on a date they signal their interests. You actually, you know, start sending things about your organization. Um, and hopefully if you are giving them relevant content, what they care about, not what you think they need to know, but what you no, that they care about, because you’ve done your research and you’ve done your hopefully, you know, either, you know, ask people what they care about. You done focus groups, you know, in some other way, you know, following sort of best practices research ends, they get interested, then you can ask them, hey, you know, have you signed up for cia’s newsletter? You know, some of them will sign that perseus knew slater six months, they’ll get six newsletters and some, you know, start to get campaign e mails and they get enough campaign e mails and they like what they hear, then they’re going to make a donation, it’s all about getting your foot in the door with a person and then, you know, treating them, you know, sort of. Not only did they get their twitter handles, but they also got like he was saying to expand upon what the conservation connection was, there was options for health, there was options for climate, there was options for, you know, all different types of connections, and so what chris was able to do and what he was speaking on is now we know that not only they’re interested in conservation organisations, but they’re also interested specifically in climate, so therefore that was how chris was able to personally thank them on twitter, but then now we know that climate is their main concern, so the way that you cultivate and as chris a date that constituent and turned them into a donor is to listen to what that that attraction is to the organization and continue to hit on those spots so that then all of a sudden they realize that they’re not just somebody that has pockets that they could give two, but there’s somebody that you care about and you want to educate and therefore that makes them i want to better your organization and better your mission and that’s, what we’re trying to do here is not just continue bringing people in tow us, but to better our mission and to solve our mission and that’s how you do it through those touchpoint of social media, okay, and let’s, bring this back to the end of your campaign. What would we then do specifically with that person? We’ve given the information that we know? Absolutely so with the end of your campaign. What were stressing with that social media point is if you have somebody that you’re reaching out to via social media, you need to make sure that they know when you touch them and other organization or other outlets that they know that it’s for the same campaign, so the branding around that is really important. So if your hashtag in twitter is going to a certain level of detail than that needs to also follow through on facebook and the facebook brandy needs to follow the branding that you have in your e mails and your email, brandon needs to be on the landing page or the donate page that you have on your website. So we’re really trying to make sure people understand that it’s not just sending them to donate form. That’s been on your site for eleven months, it’s sending them to donate form that’s branded towards what your campaign is, regardless of whether it’s end of year or not, so that you can really bring them in and let them know that everything you’re doing is targeted towards something, whether it’s an end of your campaign or whether it’s a campaign to save the ocean, you know, so that’s, really where that planning comes in place is well, is that you make sure that all of your touchpoint are branded towards what you’re trying to do. John wants a lot more about the importance of brandon as it relates to the end of your campaigning or not just important co-branding friend of yours cause in general, or just, well, certainly toward fund-raising gold. I think when you brand mean, so if you’re branding this pacific campaign and then you bring your it’s really to attract a new face or in this case, it was more online people, right? So you’re trying to grow your list through these different types of brands and appealing to people where, what, what strikes them and what’s going to make them react to you so that you can then go on and foster that relationship going forward? Okay, so i think one of the things that conservation international did well last years, they thought of a brand that spoke their mission, so it was people need nature to thrive. And so that was the brand that that was underneath conservation international for their end of your campaign, which was so fantastic because it spoke their mission, but then it also gave them away toe brand the unique pieces that were connected to the end of your campaign to a smaller micro campaign that was still a part of the entire organizations goal and mission overall. And so they picked something, and then that theme carried through all of their channels so that people knew that when they were getting something that said people need nature to thrive when they hit the website. It also said people need nature to thrive, and they were able to kind of carry on that slogan throughout all channels so that they could whenever they had a touchpoint or whenever somebody interacted with conservation international, it’s stayed on that campaign and gave them a really fresh look without stepping away from their brand. John, it sounds to me like leadership is critical in this because we’re talking about talk about different departments working together exact about them were going to your heart striking to the heart of the mission. Yes, and you have me on that and leadership non-profits is sometimes very like a university where you have siloed leadership. Will you have different organizations that are responsible for certain budgets, and sometimes they don’t play nice with each other and you can see organizations where they do have overlapped, so have a unified front within an organization where there are looking too a goal going forward for this type of campaign is very important. So it’s gotta come from the top. Yeah, and that’s the way it using the right it’s just it’s the top saying here’s, your number, meet your number but it’s really usually two or three levels below the top where it actually gets implemented, where the plan actually gets put into place and that person is unifying the team to get the results, and so the top is sort of they want and number and when they don’t need it in there, you know, there’s things to pay, but you know that that is a struggle that we see quite often in non-profits so weii deserved you try to help also bringing that together, bringing fresh ideas, bringing the best practices that we’re seeing from the hundreds of clients that were working with that have the year and campaigns, and then helping them get through those hurdles and get through those home. Oppcoll yeah, i was just going to say that, you know, this sort of two conversations that were having, you know, about branding and about, you know, leadership in the case of conservation international, specifically last year’s you’re in campaign or sort of one of the same, um, you know, having a brand, a strong brand is important for any organization, whether you know is for-profit or non-profit or, you know, just a kid with a lemonade stand, you know, on the side of the street and so, you know, we really try and cultivate that twelve months out of the year, and people need nature to thrive is actually sort of cia’s tagline, you know, we sort of adopted it, and so when it came time to, you know, do a year and campaign, you don’t have to reinvent the wheel like we literally just made our tagline the theme of our year in campaign, and then we put it on everything because that’s, what we do and that’s what we believe and so, you know, this sort of leadership approved idea, you know, sort of the core see i’m messaging is what we call it, you know, internally, you just have to tweak it a little bit and, you know, use it to fund design things and, you know, make sure it sort of has a visually consistent identity and that you’re telling compelling stories and all of a sudden you have yourself a year and campaign and the thing that i like about that is that when if you do have that trouble of siloed if you do have a campaign that has a specific theme, even if your direct mail team is on a completely different side of the building or is, you know, not even in the same office building as your media team, then because you have that common theme, even if you are silent and you’re working through those blocks that you’re trying to break through, if you have that common theme that gets hit onto your direct mail piece or gets put onto your social media board or gets set up on your donation form all of a sudden least it looks upon appearance that you are branded and cohesive, even if, on the back end you’re working with suri group or working with somebody else. Teo, get that strategy together so that all of those silos are speaking to each other. Karen, what else should we be saying about bring it back to end of your campaigns that we haven’t talked about yet? One of the things that we’re trying to do so that the title of the talk is thinking outside the box so we’re trying to get people to look at what they’re doing now. And maybe do something a little creative, so we’re going to talk about a couple of organizations, especially conservation, international and all they did something unique that helped them stand apart from all of the other organizations that are going to be fighting for the same donor’s because you, you know, there’s only so many people out in the world, i know we have over seven billion, but of those you are going to be fighting with organizations, not just the same ones of your mission, but just all organizations for those donors and there’s only so many dollars out there, and you want to win as many as possible for you. So what can you do to be unique? And so we’re going to give some ideas, and then our hope during the session is to get people to brainstorm together so that maybe they leave the this session with that one piece that’s going to make them creative. Are there more ideas that we haven’t talked about yet that you plan to share tomorrow? Absolutely. Well, okay, well, who wants to wants to throw another one out? I’ll go ahead, since you know we’re going to be talking. About some of our stuff, you know, just one of the things that we did, everyone has a light box at the end of the year, you know, you get a gun organization’s website and it pops up and you know, it says either you donate or, you know, you know, take this, you know, activist direction latto light boxes, okay, yeah, yeah, sure, let’s back-up said so i don’t have to explain why rebecca, because on tony martignetti non-profit radio, we have drug in jail, i am in charge in jail. The youngest may be the youngest, i’m not sure, but wait to have anybody drug so quick, quick parole, if you’ll explain what a light boxes so i will exercise my get out of jail free card and say that a light box, if you, you know, let’s, think of it it’s, like, sort of a non annoying pop up if you go to a website, if you go to most non-profit websites, i suspect you’ll see some right now as they’re getting ready for the end of your campaign, you know, will pop up sort of, you know, transparently, you know, over the main page and it will have, you know, a message, you know, and that message might be donated. Might be please take this action, you know, like save the whales cia doesn’t really do save the well stuff. I don’t know, i said that, but it just sort of came to mind what all of whales and you connects out of it and just go to the main site, okay? So you’ll see a lot of that a year and, you know, because we’re trying to get folks attention right off, you know, we don’t want them coming to our website and, you know, doing other things, you want him paying attention. John has something that was going to say a light box is a very good year at strategy. I mean, as far as gathering email addresses and growing your list prior to your end, to give you new people to connect with as part of your plan, lightbox has been very successful. Okay? Okay. Good christmas. Yes. So i’ll be quick. So it’s, you know, sort of a china tree strategy using light box. What we did is, you know, we had designed for us a light box where it was sort of tiled photos of both people and, you know, biodiversity, species, animals, and they literally started disappearing when you came to our site, you know, it said, i believe ignore them and they’ll go away that is using sort of an old classic and just putting a little bit of a creative twist on it, and that was an extremely successful both, you know, acquisition and fund-raising tool for us because it’s so emotionally powerful over northern, they’ll go away and, you know, just little things like that is what we want to really stress, you know, what our panel is? It doesn’t have to necessarily be something crazy, you know, you don’t need but with a clown, you know, sort of running all over your fund-raising marketing who knows things just i need, you know, some clever ideas that air on brand that, you know, sort of expand on, you know, best practices, you know, that the industry that you know you’ll get to hear, you know, places like we begun, okay, john, you want to wrap up, we just have a minute or so because you have to you have to depart shortly, so i’ll give you i’ll give you the parting words around end of your campaign. I think if you don’t have an end of your campaign, you need one and you need to plan and execute it, and the creative strategies are are sort of our this sizzle to the steak, right? So you need to do the creative strategy to drive and grow your grow your campaign’s awareness and get people more excited. And in this case, there last year is very successful, and i think it tapped into a different audience and your standard non-profit donating audience and i think also serbia murder is part of your campaign is you don’t necessarily only have to ask for money, you can ask for people to volunteer and participate in your organization in other ways as well. Teo cut up and, you know, putting their kitchen for them tio tohave during the day. And when he asked me if i have anything that that he could eat, i looked at the bag and i realized that it would i mean a lot more to him than it would to my client. So i gave him the bag of pastries, and and he enjoyed it. And it was it was actually it was very touching. He afterwards, ah, he looked over his shoulder and gave me, gave me a thumbs up, and i gave him a a wink back and what? It reminded me of his how much i have and how much a tiny, tiny fraction of what i have would mean to so many people who have so much less than what i have and trying to be more conscious of. That because there is there’s no there’s abundance in my life and it’s easy to take it for granted. And that subway episode ahh brought me back. T recognizing how fortunate i am tryingto stay conscious of that more often and there’s a little more on that, my blogged the post is the value of a quash sewn on my block. We have them, don’t we both excellent. Jean is principal of neo the non-profit and exempt organizations law group in san francisco. He edits the popular blawg at non-profit law block, dot com and he’s at g tak gt a k on twitter. Emily chan is an attorney at d’oh and she’s, principal contributor to the non-profit lob log she’s the american bar association’s twenty twelve outstanding young non-profit lawyer and you can follow emily at emily chan at emily c h a m a million gene welcome back. Hi, tony. Hi, tony. Good to have you back. We’re talking this month. About compensation because it seems to flow from what emily and i talked about just a couple of weeks ago. So, emily, why don’t you? Why don’t you lead us into this from from last month? Sure, so are lots. So he talked about the private benefit rules as a tea ad buy squeezed in a very big phrase there the preventable cruise up to the reasonable miss, and we’re going to get not this show, but basically we’re going to look at the penalty that the irs usually will impose when they find an inappropriate benefit going. Teo insider as we talked about last week, ok, so now we’re really looking at, i guess, practically speaking, the kind of penalties that organizations should be very knowledgeable about and also very wary of so that they could follow the best practices and make sure they’re protecting their organizations. All right, you were cutting out a little bit, emily, but we were able to fix the sound quality. Just say that. Say that. Say that very, very rich and wordy phrase again from from last month that will talk more about just say that again because you cut out a little. Bit there, rebuttable presumption of reasonableness. All right, we look forward to getting into that gene. What are the general guidelines for compensation for? And who are we talking about? Whose compensation are we talking about? And what of those general rules? Well, practically speaking, we’re talking about the compensation of the executives. So that would be the executive director or ceo or president and of the cfo or treasure the organization has compensated. Chief financial officer. Okay. And what are the rules generally, that just that it has to be fair and not excessive, that that’s practically the rule, tony. So it can’t be excessive and and the way we try to judge that is we try to look at what comparable organizations air paying. And so the big question is, what is a comparable organization and what is a comparable position to compare? You know who we want to pay another organization and what they’re paying. Let me throw something interesting. Least interesting, too. May our maybe you had illegal minds may not find it interesting, but but i do. Over here, um, you said it’s only for executives, but what i see in ah lot at colleges. And universities, the highest paid people there are often coaches. Sports coach is like a basketball football coach at at a big big, you know, big name program does does this this excessive compensation apply to them? Also are on ly to the executives of the organization that’s a great question, tony. Thank you. We’ll bring you back next month. Thank you. Drinking area. When we’re talking about big institutions like colleges and universities and healthcare systems and big non-profit hospital, the range of what we call disqualified persons or insiders definitely goes up. People have substantial influence over the organization or a particular segment of that organization. So football coaches will probably be drawn in into that equation when they have a huge influence on on the institution itself. Okay, there are just more general rule beside the what we call the intermediate sanction rule their excess benefit transaction rolls the night i go into jargon deal for that. Oh, my god. Yeah. All right. We’re gonna get to that stuff, parent and broader doctrines that you could get in trouble for as well. Okay. Broader than just the executive. So it’s so it’s those who can exercise ah. Lot of control over the organization, wherever they are, wherever they are in the hierarchy. That’s a good way to think of it. Okay, cool. That’s the late person. I’m gonna turn it on. You wouldn’t know it the way i talk. Okay, let’s. See, what is this intermediate sanction? Emily what intermediate? To what? What’s, the more extreme. So the more extreme penalty comes from the world. We have that last month with private benefit private kermit, we’re technically really the penalty is reputation of sabat on that thing’s pretty severe, especially benefit confirmed it was only a little bit more than what it should have been. So what the irs produced then was something that they called their intermediate sanctions. Also the excess benefit transaction will, which instead of replicating tax exempt status, so actually impose a penalty tax on that access benefits so it can be imposed both on the insider who benefited. And it usually starts with a twenty five percent penalty talks with the excess amount, but also boardmember should know that they can also be taxed of ten percent of the excess amount if they knowingly, i’m approved. Ok, knowingly mean let’s, just stick. With compensation at this point, let’s not let’s, not get too the xx of benefits. We’re just talking about direct compensation, cash, cash compensation. So so boardmember sze, who knowingly approved it meaning meaning they knew that it was excessive, right? So they have actual knowledge of the transaction. And when i use the term access benefit, i don’t mean the stuff on top of what say base salary, just an excess benefit itself, which could be a large compensation. Oh, the way that i used that term in the way that fused with the rules. So um and boardmember, who would be considered knowingly approving such a transaction, would be someone who knows the terms of the transaction. I’m also aware of the possibility that that transaction might be excessive in violation of this excess benefit. Transactional, i’m and also, you know, failing to make those reasonable tends to figure out whether it is actually excessive, but this goes back to the fiduciary duties of directors and making sure that there, meeting their duty of carrie’s, loves their duty of loyalty and making sure that they’re making informed decisions and that it is in the best interest of the organization. By not saying something. That’s excessive. Okay, and we have talked about those those duties, those fiduciary duties previously can can. These penalties that are levied against boardmember is, can they? Can they be paid by the organization? Generally, no. So this would actually be triggered under state law of there are provisions that have to do is indemnification, which is the organization’s ability to cover expenses that would come out of situations like this. They’re being stewed in your capacity as like an officer, a director of the organization on dh. Generally, that probably not going to be okay under state law, no matter what. Okay, okay. Let’s. See? Okay, gene let’s, let’s. Turn to you and let’s talk a little about the this the rebuttable presumption of reasonableness that emily mentioned before. What? What what’s that how does that play in here? So these procedures are useful wherever you’re no good for you know that you’re going to compensate one of these insiders amount that is not obviously way below market level, but you should go through these procedures just the general rule. Anyway, if you’re anywhere near paying market rate compensation and their three step, the first step is getting advance approval by the board of directors before you enter into that compensation transaction. Actor thie interested party if there’s uninterested director in there is going to be compensated, obtained from that boat and does not participate in that. Okay? And that would include a gn executive officer who’s who’s on the board. Because of that position, ex officio boardmember they should they should abstain as well if we’re talking about their compensation. Right. Okay, so you get the advance approval with with the abstention of the person who’s involved what it would else duitz step two is reliance on appropriate comparability data. So we’re looking at comparable salaries from similarly situated organizations for similar positions of similar work. So it’s all about getting the right comparable. It might be done through salary surveys, working with professionals that our salary experts in the non-profit mary-jo or maybe looking at form nine nineties, they’re different concerns about just taking other organizations form nine nineties to make sure that the right comparable but a lot of smaller organizations do it that way. What what are those? Well, before we go on, what are those concerns about using the nine? Ninety? Well, they might not reflect in the nine, ninety special payments and vesting of, like deferred compensation. So some organizations may look like they’re playing a really high salary, but those were just the result of past. Things that have been obligations that were paid in the reporting year. So you can’t really consider that a part of the the annual salary, for example, of that executive that showing on the nine, ninety that would not be good. Comparable. Okay, so, i mean, can a small charity avoid having to hyre ah, compensation expert to do these comparability surveys? What are the other ways? Or maybe there is no other way. Well, there are some compensation surveys that are out there for free as well. You confined things from charity navigator. And i believe guys start might have some some compensation norvig wolber free. You have to be careful, though, because sometimes the ranges of the size of the organization don’t play in your favor. So, you know, they may say, well, this is the average compensation for organizations with annual budget between one million and ten million. And depending upon where you fit in that structure, using the average may not be appropriate for your organization. Right? Okay. Okay. Um, and then add a couple more things to the comparability that it’s? Because you brought a small organization a general rule for organizations with less than one billion and gross receipts toe have at least three. Comparable. So it’s. Not necessarily this. You know why spread search for comparability data. But tow have three is generally considered reasonable. And another thing to consider is this really just giving you an idea of the band with a salary that’s out there, but it would be problematic. Front organizations just look based purely on numbers and decide. Ok, just because it’s it’s in the band with that that’s appropriate on that kind of goes back to your example of the football coaches where sometimes just so you that if you keep pushing the upper limit of the band when you just start to see these ranges leaves up and up and you really do need to look at the performance and the duties that are being like that? Yes. Okay, of course. The right, the person’s performance as well. Not just what other people are paying somebody similar in a similar organization. Okay, thank somebody. Thank you. Look at the geography. Because i know in manhattan in san francisco, where we are the average salary’s going to be much higher than somewhere in des moines, iowa. Yeah, okay. Okay. And there’s one more part to the rebuttable presumption. Can you can you explain that in about a minute? Gene? Yeah, the third part is just timely an adequate documentation of the board action. So that means really putting it down in the minutes on getting those minutes approved by the next board meeting. So you just want to make sure that you’ve documented it and if you’ve got comparable, attach the comparable to the minutes to prove that the board has actually looked at these before making that determination and approval. All right, now that we’ve explained the three prongs of the rebuttable presumption gene, please explain what the hell a rebuttable presumption is that’s great, what what it does is it shift the burden from your organization have to prove that the salary is reasonable and shift it to the irs to prove that it’s unreasonable, which the irs doesn’t want to do because it takes a lot of work. So if you just go through these procedures, you kind of put a big barrier to the irs to go after you brew for paying excessive amount because you say i’ve used the procedures that treasury regulations have approved. This is the way it should be done in the iris used to get it back off at that point, unless they think they have a really big fight. So then write if you follow these procedures, the compensation is presumed to be reasonable. But the irs has the option, although it it’s unlikely that it would exercise it to rebut that presumption and try to prove that the compensation was unreasonable. Is that right? If they want to take it to court if there were. Okay. Okay. Likely. Okay, but it’s presumed rash reasonable if you follow the three prongs that you laid out, correct. Okay, we’re going to take a break. And when we come back, jean and emily and i are going to a little role play exercise, we’re going to be the board of directors and we’re going to decide on somebody’s compensation. Okay, tony so right now we’re talking about approving the compensation of the candidate who is going to be our executive. Wait a minute. We didn’t approve. Emily all right, okay, so we’ve got an executive director that we need to hire, and this executive director is pushing us for a salary of one hundred thousand dollars and the possibility of bonuses of up to twenty thousand dollars for pizza. We’ve got a million bucks in our budget, and we’re not really sure whether approve this compensation or not. He looks like a great candidate, but there’s some other candidates out there as well. What do you think, tony? Should should we hire this person that the salary they’re asking for? Well, do we have any comparable data by organizations that are similar to ours? Go thin geographics and also annual budget on dh with that data also be comparable in terms of this person’s responsibilities. Emily, i think you were convicted. You right? Collecting this data? Yeah. So i researched some organizations that of similar type similar size and similar roles of executive directors. And i found three different data points. So, uh, one and these they’re all in our geographical area. One is eighty thousand one. Report ninety thousand and another one report. One hundred and ten thousand. Okay. We’re looking at one hundred thousand with the possibility of a twenty thousand dollar bonus. What do you think, tony? Um, i guess the bass sounds or so we have. Eighty ninety. First of all, i’m assuming that emily knows what she’s doing when she says that these things are similar. And i’m putting a lot of faith in her because i could be personally liable if this turns out to be excessive compensation. Um, only if you know that it’s excessive, sonny, but that’s. All right, that’s. Right. Ok. Raise a good point about the line. What do you need? A reliable source. Okay, well, your outstanding young lawyer. So i’ll assume that you’re on. You’re on the board. Very in doing this. Surveys what i brought. To the board meeting, and we’re going to attach them to the minutes of the okay, i like the i’d liketo like the base of one hundred. I’m not sure about the extra bonus of twenty family. What do you think about that extra bonus of twenty when the high of our comparable is only one ten? I don’t think it’s necessarily problematic if we have adequate justification for allowing that for example, if thiss opportunity with this executive director is probably going to pass us by, we are in a bind because we’re now doing an executive director succession that we didn’t anticipate and the organization’s going to be really hurt if we don’t find somebody who’s qualified and this is the most qualified person we found and we’re actually getting a really good deal for this person and it is discretionary, so it’s going to be up to the board at the end of the year and we have put a limit on it, you know, maybe we should evaluate again looking at our revenues and looking again at the comparability data whether twenty thousand is reasonable, but i’m not opposed to putting the opportunity of a bonus. Into the contract right now, that’s. A bunch of malarkey. I’m walking out of this meeting. Did you hear me? Did you? My footsteps and i just slammed the door closed, proposed i’ll ask to see if there’s a motion to approve a one hundred thousand dollars based salary with a possibility of a ten thousand dollar bonus. And we will actually look at the possibility of a further ten thousand dollar bonus if we hit certain revenue goals that might allow us to look at other comparable, do you think that’s reasonable? All right, i’ll come back into the meeting. All right? I’ll go along with that. We have to wrap up our meeting very quickly. Yes, i would approve that. Okay, so then we make the most of it. Tony wilbekin were approved way as we wrap this up, being the diligent boardmember right? And just a reminder that we need to have adequate documentation and our board minutes. There may be things hiding in your hr closet that you need to bring out and dust off to avoid problems later on, we’ll talk about your benefits, plan, immigration, paperwork and what to do if you get audited by federal or state regulators and your social media audit. She has over twenty years experience in hr and best practice knowledge of how to attract, retain and motivate staff. She’s held officer positions at gulf insurance subsidiary of travelers and bankers trust, which is now deutschebank. Her philosophy is to bring that large company expertise and those best practices to smaller organizations, including non-profits. Welcome. Hi, tony. How are you? All right. Well, good to have you back. Great to be here. There’s stuff. Looking in hr offices or maybe not even offices. If there isn’t an hr director but in hr closets. That’s. Ah, that could come out. Tio bite some people. Yeah, and and right now is a great time to look at that. The department of labor has announced that in new york that they have put a lot of money in hiring compliance officers to come and to look at businesses to see where they’re out of compliance into levy fines. So if you haven’t looked at what you’re doing now would be a great time to do that. Okay, that’s so that’s for new york are new york audience there’s, more investigators in the state department of labor, right? But irrespective of which state you’re in it’s a good time to do it. At some point, everyone is looking at saving money across the nation, and new york may be leading the way for other states to do this, and i suspect that they are it’s been published for probably a year now that there’s money being put into it. I haven’t had any clients go through the audit yet, but i have attended department of labor seminars that were given free tow organizations saying we’ll help you get in compliance. Let’s do it now, ok? And even aside from the state, whichever state you’re in there’s always a chance of some kind of federal audit, we’ll talk a little about, like e t o see, for instance, right equal employment opportunity council okay. But myself in jail. E o c is equal employment opportunity commission commission. Okay, i’m out of georgia. Thank you, but h r was right. Fourth, you’re treading. You have even said it yet. But hr it’s like accounting. Very, very jorgen, look, dragon e so mary-jo i have the keys for george in jail and it’s very much top of mind for me. So watch your step. But how come this stuff doesn’t get attention? That it should from from boards from executive directors, ceos buy-in up until now, i don’t know that it’s been looked at carefully, especially non-profits in corporate environments it’s taken very seriously. Let me give an example that that’s across this the nation and that’s my nines, i nine is a form that must be completed for employees. That tells that they have to prove two things. One is they’re eligible to work in this country. And they are who they say they are. And that has to be completed within thirty six hours of someone being hired. Okay, so this is if you’re hiring, if you have, as an employee, someone who’s, a resident of a different country, and they’re here anyone zoho anyone, anyone, anyone? If you hire a temp worker that works for a week, they need to fill out an i nine form so their u s resident doesn’t matter what you have to prove it. And that form i recommend be kept separately from the other paperwork in the hr file. And the reason for that is, if you have an i nine audit, you wanna have on ly on ly show the auditor by night. Okay? We’re going to talk about what to do if you’re actually audited what it sounds like your advice is just give them what they’re looking for and just what they’re looking for, a volunteer, a lot of extra stuff, but but how come this doesn’t get the attention that it deserves in you? Said maurine non-profits you found then on the end, on the corporate side, why do you think that if i don’t think up until now? Non-profits h r has really been looked at in general hr function for smaller non-profits is handled by finance, a county people who may or may not be mostly not trained in h r and h ours really viewed as a step child, i don’t know that all non-profits especially smaller ones have made the connection that your people really are assets and really do contribute to your bottom line. I mean, that’s been an ongoing challenge ideal with with non-profits the last time you were on, we talked about attract well attracting, hiring, training, retaining and then if necessary, letting go employees. But but putting aside letting them go, you know, retaining, training, motivating we talked about that a lot, but you still don’t see that charity’s air invested in their their principal asset, their people. I think right now all employers are worried about employee engagement and for non-profit that are scrambling to keep the funds they have that’s going to be the primary focus. Understandably, you’re going to try and meet payroll, so if you have funds that’s going to be a primary source, you’re not really going to invest in training while you’re just trying to meet payroll. So i think it’s where non-profit is in terms of financial stability? Yeah, yeah. Smaller shops, of course. Yeah, but you see, on the corporate side, bigger investment in people hr is not considered, like just strictly a cost center there. No. In i’ve i’ve shared this with with individuals. In some places hr is oftentimes feared because they have a heavy hand and i don’t necessarily agree with that approach. But in some organization, hr is really an audit function, and we’ve talked about this a lot hr walks, that fine line between, you know, looking to be in management side or employees side and it’s, really an audit function. Where is what’s the right thing to do here? Yeah, and but they are treading that line between, like employees, advocate and and hr officer or office for the for the charity. Right. We’re talking about your hr audit with karen bradunas on dh, by the way, her website is km bradunas dot com and that’s b r a d u n a s let’s just spend another couple moments on the this i nine so you fill out this immigration form line nine for any every employee it’s not only employees on visa or some kind of other staff, correct, okay, and temp agencies, if you are working with a temp agency to supply intermittent staff, you really should be checking with them to make sure they’re doing it and they’re keeping him on file at their location also, okay? And you said within thirty six hours of enjoyment night and then you just keep that for yourself or you send it somewhere you keep it, okay, and you keep it separate from the rest of the hr file. Okay? And the reason for this is if you were to get audited recently for client, i had department of labor call me and say, we’re investigating someone who worked at your organization, and we want to make sure that they didn’t get paid too much unemployment so we’d like you to give. Us, the following pay records. They listed it out. I said we’d also like copies of their signature. Like from an application in i nine floor. But a w two debbie for form. Okay, i didn’t give him the i nine i get. I offered them. I said, you know, the lines or separate it’s easy to give anap location before and then any of these forms direct deposit. I’m simply because if there was anything wrong in the i nine, it could then open up an investigation. Okay, even though they were only there to look at employment, they could call the person who does the i nine audits and say, hey, by the way saw place saw problem with the nine nine why don’t you come over okay, if you if you think about nationally we’re looking to gain revenue to pay for nationalized healthcare and states are having difficulty financially and you think from that standpoint and end, you understand why you’d want to just give somebody what they’re asking for you okay? I think that’s sound advice for any, any kind of audit? Just exactly give them exactly what they were asking for. But don’t be volunteering extra. Okay, not-for-profits in general, i found when an auditor asked for something and i’m talking all the way to a cfo director level if they’re a little bit inexperienced in this in corporate we’re we’re trained to do this much, much more vigorously. But if in order to says i want to audit the file, why don’t you tell me what you’re looking for? So i can make it easier for you when you come? So i’ll have all this ready for you, right? They’re happy to hear that you’re thrilled. You’re not giving them the whole file. It makes a little bit more work for you up front, but it saves in potential fees, right? Ok, if there in case they do find something right. So you often see trouble with benefit plans. I do a benefit plans let’s talk first. What is a qualified plan versus unqualified plan? A non qualified plan can be discriminatory. And let me give an example of one they used to call them. Top hat plans your ceo may have a four fifty seven plan it’s called that’s a plan that’s just for them that the board approves and is written. By an attorney that gives them x amount of dollars that thie agency pays to help for their retirement. Ah, qualified plan an example. That’s unquote that’s. An unqualified plant nonqualified on what is it? What is it that we’re qualifying for? Qualified unquote? What? Qualifying for what qualifies for tax benefits. A qualified plan like a four. One k plan you as an employee can have pre-tax money’s taken out so it qualifies you and that you’re not paying tax on some of your salary. Ok? And it gets put aside for you an investment vehicle that you aren’t paying taxes on those earnings until you take them out upon retirement. Okay, now it also means it has to cover certain number of employees the plan, and it has to be non discriminatory in design, meaning the highly comped and that’s, a very finite definition by the irs. For instance, top five percent owners. Okay, a certain amount of income family members of those high, highly comped employees. Or considered how the comp the plan hasn’t. It cannot benefit those people. Mohr than on how they come. Okay, that’s. What i mean by nondiscriminatory? Okay, so if it does these things and then it’s a qualified plan, correct. Okay, and qualified plans are comin right, but just what are one of the simplest the most common? For one case, for one there’s a money purchase plans another one defined benefit plans, which you see less of now. And a defined benefit plan is the old pension plan where an organization would put money aside for you. Based on years of service, your compensation and your age and a defined benefit plan, the agency would bear the risk of the investments because they’re guaranteeing you certain amount of money. When you retire, you don’t see many of those anymore because one people don’t stay it firms that long and to their very costly for an employer to maintain. All right, now i know listeners are on the edge of their seats, waiting for me to call you jargon call you out on jug in jail for a money purchase plan, even though you said you don’t see them too much, you said it didn’t have to defend what’s money purchase plan is a plan in which an employer puts aside a certain percentage of your pay in in in in a plan that you choose the investments for, and it can be vested over time. Ok, ok, a four o three b plan, which a lot of people have work in charities like that’s a qualified plan, some are some aren’t i had a client who had a four three b that wasn’t qualified, but it wasn’t a risa plan and they’re two separate things and okay, that’s ok, we’re going to get to we’re going. So now the four o three b is like a t i a craft is very common for three b i think a lot of people have tia cref accounts, right? But they don’t know it’s a four o three b it’s just a federal tax code designation, right? Would be right for one k for three b are all definitions of plans in the tax code, so those numbers really do have meaning. If you go to the tax code, you can have definition of plan, okay? And for listeners who want to do that, please, then i’ll expect a page dissertation on eggs on the comparison, in contrast, between four o three b and four a one k and don’t just say it’s the numbers and the letter in the parentheses after the number that’s not sufficient for three beast couldn’t be used by corporate. It wasn’t until recently, i’d say last ten years of four one case could be used by non-profits previously, they weren’t used by non-profits i see let’s talk about some of the problems that you see in these plans are either qualified or unqualified because this is your hr audit. Okay, so in the qualified plans, which is let’s, start with those because those are the ones that are the most common serve the most people i don’t want you seeing, i’d recommend one. If you have any plans, follow the qualified rules because then you’re covered. If you take the most stringent rules and apply them across the board, you’re safe, okay? Because legislation changes and so if you’re always taking the most stringent rules your set so here’s here’s something plant summary plan descriptions, there’s two parts to plans one is a plan document, which is written in legalese, and then a summary plan description, which is written in layman’s terms. The plane document has to be made available. If anyone ask for you must give them a copy of it. You can charge them up. Tio, i think twenty five cents a page for, but you must give them a cop. Anyone being an employee? Correct for the plan? Dahna kayman plan documents called. Okay. That’s, illegal lease document. Make sure you have one. Make sure that it’s up to date and you’re following what’s in the document. The summary plan description must be in layman’s terms. But make sure it matches. What? The plan. Document iss. Oh, one plan. They should both say the same thing. One does it in legal terms, you know? Does it in lay terms? Right? And that somewhere that somebody planned description, spd should be given to participants every year. If you make a plan change, it’s a good idea. You have, for some changes between nineteen, one hundred twenty days to do it. Try to do it within three months. The ninety day. Do what? Send out new summary plan description to every employee or everyone who’s in that plan. Every employee, every employee, every employee that’s eligible. Uh oh, eligible. Yeah. So the, you know, because they may not. There may be eligible, but they didn’t. Take it quick. Doesn’t matter, it’s everybody was eligible. And then, of course, if you made that change, you’d have to change your plan. Document also. Yeah. You start with the plan, document change, and then you do changes something planned description. Okay. And so you really need an attorney to do the plan document. You need an attorney. You know, sometimes you when you negotiate a plan, you’re working with investments. Tia cref, fidelity. They often times have a compliance unit. Can guide you on what needs to get done. Ah, lot of times things need board rails, board resolution to amend the plan. And that’s all that’s needed to submit to the company. Who’s preparing the document. Okay, don’t try to do this on your own as an agency. Don’t get someone who really knows about plan documents and someone planned descriptions to do it. Because if something were to go wrong, that the documents are bringing two quarter those documents, you really want it done by professional. And how can something go wrong? How are how are how is compliance overseen? This is a federal agency now that would do it or state agency for a risk. I’m department of labor’s managing those or is it claims? But let’s, talk about this. I’m in let’s say, for one k plan and i get paid every two weeks. I have money taken out of my paycheck every two weeks. Right there. Can you use this as a four o three b example? Absolutely. That’s amore common plan in two or three, maybe four. Three beat every two weeks. I get paid every two weeks. I have money coming out of my paycheck. The company isn’t wiring it to the investments. Timely. They’re wiring and only once a month. That’s a violation because there might not be enough money to cover. No, maybe. Just maybe that it may be easy for them. They want to do one wire month. Just the employer. Is that supposed to be holding the money? Correct. If it’s taken out every two weeks. It’s supposed to be wired every company every two weeks. Okay? And i don’t understand this if i’m if i’m invested in stock funds in two weeks, a stock price, khun, very greatly. So i want to buy in regularly. So i get the advantage of dollar cost averaging. Okay, well we get a little technical, but the point is the money supposed to go it’s not supposed to be held by the charity office right by the non-profit supposed to when it’s received from the employees supposed to go to the plan administrated the company, the investment vehicle, tia cref you supposed be wiring that money to tia cref? Because that should be invested with the same frequency and timely as it’s taken from an employee. Gotcha. Okay. And, of course, just again to remind listeners that tia craft is the four o three b that we’re that we’re using is the example kruckel one how about one more thing that you see in benefits plans? And then we’ll talk about what to do if you’re audited. All right, let’s talk about health and welfare plans. You’ve got a medical plan, a dental plan on go, go, go back these air also heiress. A plan. Okay, we just have time for one. One thing that you see in the health and welfare plans. New red new rig. You must handup summary plan descriptions of these plans and also have a plan document on file. I’ve not seen that in corporate. Or not-for-profits previously okay, with any regularity and health and wealth? Well, this health and welfare plans like a medical plan. You like your medical plan? Okay. Okay. Let’s, talk a little about what to do if you are audited. Do you even do you get advance notice or can they say we’re coming tomorrow, which is not much advance notice. I have not seen anyone i know for osha. Audits say sometimes just drop in, but i’ve generally gotten advanced notice is okay. What’s the first thing you do, it may be a state agency or a federal agency, right? Yeah, i’m mostly seen state agencies. Department of labor was used as an example there. Pretty regular with this, i try to get exactly what they’re looking for. You want to define the scope of the audit, okay, you want to understand what they’re trying to get its not, you know, it’s not an adversarial role. You may need to clean up some things, but you’re scared as hell. Now you terrible things that not adversarial, but you’re terrified, right? But that doesn’t mean that one it’s not fixable. And two you’d rather get some guidance with someone who can give you advice, okay? I had recently in autumn, although that advice may come with a fine or penalty may but i think that if you’re showing due diligence, it’s it’s better for you. So you wanted to find the scope of the audit, meaning you may want to call the auditors let’s say that that send this formal looking letter and right and same composition exactly what you’re looking for so that we can have it ready for you. I believe. It’s someone’s looking at hr files, recently hit someone from the state on dh. This was for a specific program. They were doing an audit, they said, send us the fires i said, i don’t send files, h r protects employees information and i know many agencies listening may not have an hr person, but if i’m working for you, i don’t necessarily want everybody knowing all the things about me in my file. So if they say, send the file way, don’t send files, what you have to come on. Yeah, they will bring the files to you are where you come to us or what? I don’t bring the files, i have them coming and i actually have them do it in in my space, where i’m sitting with them, i don’t even leave them. They can’t xerox from there, you know, if they need copies, i want to talk about that and you want to talk about the protection of those copies, right? Okay. And another piece which we haven’t touched on a lot is if you have anything in an employee’s file about medical conditions, i’m out sick today. I’m going to have surgery on thursday. Get that out of the employee file that has to be in a separate folder for hip hop separated out. And you don’t want the auditor seeing that, okay, even something as simple as out. First day i separate everything be ah, a mental condition or something. Some deep serious illness. Just a sick day that i said bring along elsewhere. I separate them all out because it’s easier. If you say anything to do with health is separate. It makes it easier. Okay, uh, we have a little more time left. What? What else? What else do we do now? The auditors are on site. They’ve complied with you. They said send. But you refused there. On site, we have just a minute left. What with some advice for the day of the audience? Well, i i went through one recently and i said, you know, what do you see in the files? You like my out the way i’ve set them up? What can you recommend and make it very interactive? Because one, you’ll get information of what other people are doing. You get a sense of best practices if if you don’t know already so it doesn’t have to be adversarial, it really can be, you know, what do we need to do to make it better? All right. I believe you need to take time for yourself, and i had suggested that in june it’s now early august, please take time for yourself and do it without a cell phone and without email. Take care of yourself so that you can get the greatest pleasure out of taking care of others. And that is on my block at tony martignetti dot com that’s tony’s take two for friday, august third, two thousand twelve with me now is scott koegler he is we know who. He is he’s, the editor of non-profit technology news. Of course, he’s, our regular tech contributor, the longest running contributor on this show with me from nearly the very, very beginning, very close to the very beginning. How are you, scott? I’m good, but you know, doesn’t mean that i’m getting old teo it’s like, two years you’re your youngster? Yeah, i almost i almost said, your hamster. I know what it’s, not a hamster you’re doing about that. Well, you know, that’s, right? You’re not even a gofer. No way you’re our tech contributor. And a couple of weeks ago, on the one hundredth show, you just talk briefly about what we’re going toe flush out today, which is some analytics. So why don’t you remind people what? What we’re talking about, right? One of the questions i always had about social media is, you know, aside from doing it by yourself as a kind of a leisure time activity or in order to keep up with your friends as a corporate or an organizational function, is there any return on investment? Is there a reason to actually spend the time and money in doing this stuff for a long time i was pretty much negative on social media believing that, yeah, it’s a fun thing, and it might get get your name out there, but, you know, you really don’t want to spend much time. You don’t want to actually devote a person to do that kind of work and over the last, uh, well, i guess it’s really matured over the last year that more more recently, there have become many applications and systems that that are actually helping to prove that the maybe or not depending on your situation way, turn on investment for any efforts put into social media. So that’s a long way of saying, yeah, we may be actually able to find out how much, how much we’re spending if we’re spending the right amount and where we might actually spend more time and effort. Okay, so we can audit our social media investment and determine whether it’s paying off exactly. Okay, um, and you’re right, you meant a time and money buy-in small shops, there isn’t a lot of either one of those and so every hour that someone spends maintaining the twitter feed or the facebook page or getting videos up. On youtube or blogging, obviously is an hour that could have been spent doing something else. Andi need teo. So now we can sort of do a cost benefit and figure out what the return is and whether this time and money are well invested. One of them is is hoot suite right? Right. Who this week i had always thought that that was just i always thought that was just a desktop for, like, operating a bunch of social media platforms, but not so well, it is kind of emily talk about audits all of these applications, and we’ll talk about it. Give you some kind of ability to review the results that are that you’re getting from their efforts. Okay, but the same time, they also enable you to actually perform different tasks. So that it’s kind of ah, self fulfilling you. You do the stuff through these applications. And then you checked the results, and some of them actually allow you to determine what, what you should be doing rather than just do it and find out if it worked. Okay. Well, let’s, talk a little about hoot suite. What can you expect from that in terms? Of this determining your return on investment um, first of all, the one of the things that’s been on issue for organizations because remember, social media started that as an individual activity is, how do you how do you set up an account and then not do it all by yourself? On so with hoot suite, for instance, and with others, there’s the ability to create teams? So you have, you know, one or two or twenty people actually working on the same twitter, facebook, whatever accounts at the same time, so you don’t actually have to monitor the sight all the time and then interact with every every response. So that’s that’s probably the first thing that it allows its do. Okay, okay, um beyond that, in terms of finding out what you did, you can actually go to what they call their analytics platform and you can create reports so on these reports get pretty sophisticated, they can tell you, uh, who did what? How many responses did you get from which social media area, in other words, is twitter performing that in the facebook or google plus doing better for you? Or maybe four square if you’re in the business of being different places or if your location that wants people to visit you and the reports khun get very sophisticated looking one here, yeah, that allows you to pull in google analytics. And of course, google analytics is reporting function by itself. But you can combine all these pieces together and, uh, and find out how you doing? Okay, so what kind of, by the way, whose suite is h o t s u e dot com. Right. Ok, like, like who’d suit. But with with the at the end dot com. Eso what kinds of numbers can you see in determining these results at what you looking at there? Uh, let me get back to here. I just kind of went away from it. Oh, yeah. That’s. Terrible profile summary. For instance, who did what? What media are you connected to? In other words, i’m looking of mine here, and i’ve got, um i’ve got a twitter account. I got a facebook account. Uh, this one here, i do not have a four square or a google, plus the kinds of things you can add to it. Um, you can you can see how many? Retweets you’ve got in other words, on a daily basis, i got, you know, twelve, retweets or two thousand tweets, and that really is a kind of a quick indicator of the messages that i’m sending out popular. Are they getting traction to people like him and want to tell their friends that i said whatever said right? Because that’s that’s what a tweet is right? They found it so interesting they want people following them to see it, right and that’s really that’s a good indicator that if you get a lot of retweets, you’re doing a good job, okay? Reaching more people, what else is on that hood? Sweet report mentions by influencers, in other words, um, and we’ll talk about influence influencers here in a bit, okay, but essentially influences influencers are people that our red or recognized by other people, and they mentioned your name so it’s like, for instance, it’s like tony martignetti who is a tremendous influence. Scotty, are another hundred shows for you, okay? And then you’re cut off. All right, all right. Oh, that no, that makes sense. So and there’s there’s influencers in every area. So in non-profit. Obviously, that would be one, but in social media, you know, we’re talking about i don’t know who but other people that would mention you that have a great following and and so people pay attention to them on duitz sweet tells you who the influencers are in the in the keywords that you’re following is that that works, it tells you if they if they have mentioned you, right, what does it tells you who the influencers are, it will not say, hey, this is an influencer and you’ve got to go talk to him, but it does look at yes, if tony martignetti tweeted about scott koegler and tony martignetti is a is an influencer, then it was tony would show up on this list. Okay, okay won’t necessarily tell me that tony is an influencer and that i had to talk to him, okay, aside from having mentioned you, which i hope i do often, i’m not i’m probably on influencer. I’m chronically under connected so a nice guy, but i ain’t got no connections and the other at another trick here is key words so if you have a key word, you know what are your key words? What? Are they? What are they? And are they gaining traction? And this gives you a kind of a time or graphic about you know what? What came up and how but what i’m looking at here is justin bieber, which is probably not one that i would become my gosh, allright, let’s, throw that out. So what? How does it too fine key words? They’re the words that you use often or you have to add the two o you add you tell them what key words you want to be monitor you want who’s weak to monitor? Okay, okay, now that’s that’s just twitter so we can also look at the same things on facebook and google analytics. Maybe, you know, there are different things. For instance, in facebook there’s regions so you can say geographical, you know, before you doing is you need to keep track of by a particular area by language, by number of daily posts, very post sabat pre-tax tweets so, you know, did it catch on? It wasn’t like buy a bunch of people in this kind of thing, okay, so in facebook, the like, i guess is comparable to the retweet and twitter. And it’s a measure of somebody liking your content and whose sweet will measure that it’ll tell you what, what content was liked more often than than the rest? That’s exactly what that does is it allows you to not only know if you’re doing well, but in what areas are more popular. So if you’re if you’re tweeting a posting on a variety of topics, you can say, you know, topic a fifty percent more popular and gets recognized and retweeted and liked much more frequently than topic be well, you know, you want to talk more about top of games and stop being so that allows you to kind of hone your message and concentrate on what people like yes, i want to do excellent. You could figure out yes, right. You could test different different content, right? Yes. Okay, so now i see. All right. Now get to the true audit. You could do like a bee tests, you know, one versus the other. And then and then refine your test even further. Things like that. Excellent. Excellent about placing whose suite is free, but it’s it’s one of those freemium kind of things, you know, free. Versus premium. Yeah, and so you could get in and you can use it for no cost of all. But if you actually want to add additional folks to your group, you know other people making tweets or four actually monitoring the activity that you do need to upgrade to what they called the enterprise version and that that costs no. Okay, but if it’s one user, they can also get the analytics in the in the free version. Yes, they get some analysts can’t, for instance, skip um, google analytics incorporated in that without paying something. Okay, but everything we’ve talked about you and i’ve talked about that’s all included in the free that’s, right? If you just have one user, right? But the shot is this it’s uh, uh duitz sweet fifteen hundred dollars a month for the enterprise version. So, whoa, fifteen hundred per month per month? Yes, master that’s crazy. Oh, my gosh. All right, that’s. A significant yeah. Significant investment. Oh, my gosh. All right. Not probably outside the reach of most of our listeners, but the free version is great. Just one. If it’s just one user. Um, you know what? Good one more. Twenty wanted make before break uh, no, because next we’re gonna talk about a couple of yeah, okay, i was going to say we have to take a break in about a minute, little less tonight. I’m just going to kind of mention that and get it out of the way. Okay? It’s free. And they have actually one, two, three, four levels of pain participation. And it goes from nine dollars a month to ninety nine dollars and, uh, significantly less. Van theun who tweet. Okay, yeah, yeah. And it actually, it allows you to say all of those include team members and analytics, different numbers of social profile. So, really, for ten dollars a month, you can add team members on dh, actually for free. You can have two members on dad multiple profiles, which is pretty good, actually, i i’m a fan of marketing. Sweet. Yeah, well, okay, um, have you got something that is different about market lee sweet. Although it handles different networks like twitter, facebook linked, then there’s nothing. One. Thing you could do that that’s really helpful is to find out who you should be talking to and create leads from them. So francis, i could go into, um, into the lead section, and i could say, ok, and twitter, look for anybody who mentioned the word non-profits and it will scan my twitter feeds for the last day or so, and it will actually come back immediately with the with the tweets that mentioned non-profit okay, i cannot read those tweets looked for people and then add those to what i call the lead box and then i can make contact i can message them or direct message if i can add them to my to my twitter list. Uh, and i could do the same thing with facebook so beyond analytics and kind of you know what happened to what i did, it allows you to say, who should i talk to, which is really, really important. So when you’re scanning these these words that you query for its looking not only at your current followers but it’s o r people you’re following it’s looking at the whole twitter universe or what i’m looking for the whole twitter you okay? So right, so then it helps you find new people that you should be following. You might decide to follow, right? So right now, i just i have a search set up for him newsletter, so i just click that and right now i’ve got gosh, i don’t know, maybe fifty or so tweets that were done within the last day, right? Just past day, right? And i can say, you know, i could look at one and said, do you know african coaching support to help you reach your goals? Ok, so some of these are, you know, not really things that i would want to go, but i could say, for instance, this guy just, uh, i said, just sign up for newsletter my unsubscribes from days day, we lose newsletter how do i figure out howto howto re subscribe? So let’s just say i wanted to, i could click on that, i can add it to my to my leads, and i could tweet out to that person okay, okay. So it’s really effective in-kind of understanding we’re we’re in whom you should be talking with all right? Anything. I’m sorry, anything else that you like in market me sweet. Maybe some of the reports or anything. Yeah, there’s. Some reports in here, but what i really like is the ability to be proactive so there’s front you could be automatic follow backs you could do delayed posting. So not everybody’s online all the time. So you might want to people say, you know, post this message at three o’clock, right? Okay. And and market me sweet does have the analytics some analytics for doing your auditing in the free version. In the free version, you conception goals. You can sit up team reports. You know who did what and how effective were they and you can talk about you know how it has account doing overall. So, yes. Okay. You’re good analytics. Okay, we have just a little over a minute and a half left. You want to talk a little about radiant six, right r a d i n and the number six and radiant six takes what i talked about in market me sweet in terms of funny, who you should talk to and about what? And it kind of blows it out. And it’s, extremely powerful, actually. System monitors about one hundred thousand different blog’s social media and also just websites where comments you made. So not only are you looking at social media is also looking at comments that were posted on, say, you see not and protect that news yeah, and protect used dot com. You mean there you go. Thank. Okay. Hello and welcome to the show. This is tony martignetti non-profit radio. I’m your aptly named host it’s friday, july twenty second, two thousand eleven we’re always talking about big non-profit ideas for the other ninety five percent. I hope you were with me last week when we had cool collaborations and intelligently engaging generations x and y first, sandra lam and i talked about mergers, partnerships, collaborations and acquisitions. When should your board be talking about thes, and how do you execute them? Later? We had leslie goldman and casey rotter from the us fund for unicef, sharing their expertise in cultivating your next generation of donors, engaging twenty one to forty year olds this week, i have two interviews again from fund-raising day, the association of fund-raising professionals conference in new york city, which was this past june first, the ceo as fund-raising m v p for those of you who don’t know baseball that’s most valuable player like me, i had to look that up. Mindy dietz and karen pearl, they’re both non-profit chief executives, and they reveal their insights on how to motivate, engage and position your ceo to be a fund-raising m v p and i assume you know what ceo stands for, then the fine art of conversation, of conversion, the fine art of conversion don’t be afraid of analytics tools like google analytics can help you convert website visitors into online donors and help you engage younger prospects who later become donors. My guest now are mindy dietz, president of learning leaders, and karen pearl, president and ceo of god’s love we deliver, ladies welcome great to be here. Thank you very much. Pleasure to have you your fund-raising topic you’re fund-raising seminar topic is the ceo as fund-raising m v p now, just a couple of minutes ago, i was talking to three, three people, three guests, about motivating they’re bored to cultivate major gifts, and we’ll talk about that bored relationship with the ceo. But, karen, what? What are the key elements of the ceo as fund-raising most valuable player? I would say that the key element is that so many of our donors actually want to meet the ceo, get to know the ceo. And so the there’s a partnership between the board, the ceo and the development team to make sure that the ceo knows who they’re about to meet, what they’re going to talk about and is ready because if the ceo is ready, that’s the best leverage that you khun get okay, ready? And willing, ready and willing. Okay, maybe we’ll talk about the unwilling ceo back-up. I’m sorry, leslie, why don’t you? What would you like, tio? Sort of sorry, mindy. Mindy, what would you like to open with around the ceo as most valuable player for fund-raising? Well, i i would echo what karen just said, and i think the key to all of fund-raising and all of these things is relationships that i think that the ceo has to be the person who manages up the person who manages down from donors to board and really forms i kind of ahh whole chain of people having faith in each other because people do invest in people as well as organization. And so i was really primarily i think, who we all are and who we represent in terms of the organizations and mindy, how does the ceo sort of set the culture of fund-raising for the rest of the organization, we’ll we’ll be talking about their individual role with respect directly with donors, but how did they set a culture of fund-raising throughout the organization for the others? I think we, you know, we all know what they have to explain that every single member of staff and every boardmember absolutely are part of the fund-raising team, we’re all selling something we don’t like to maybe use that terminology, but we are the spokespeople where the practitioners where the deliverers and we have to care and we have to have passion and i think what distinguishes all of us as non-profits is the passion for what we do and that’s what makes us able and all be part of fund-raising but what is the ceo need to do? Teo teo, race everybody else well, we need to be the chief cheerleader. We need to be the person who keeps reminding everyone about the value of the work. I mean, what we really selling is something very important depending on the mission of our organization. So i think the ceo really has to be the person who could articulate it and also inspire people to go out and help sell it. And karen, as we just mentioned a second ago, i said, you know, willingness there has to be that willingness in order for the c e o to convey the same enthusiasm to the rest of the organization without question. And the ceo has to be willing and i what we talk a lot. About it, god’s love we deliver is that each of us has a very special role as an ambassador, and it doesn’t matter whether we’re being the ambassador directly with clients. The ambassador with our volunteers, ambassador with our donors, but way worked very hard to make sure that all of our staff are prepared to to play that role, to know enough about god’s love some key talking points to be able to talk the sunday dinner with family or at the ball field sitting with their friends, and i think that does come very much from the leadership if the leadership of the organization is comfortable fund-raising and helps people understand there very special role in that that filters down into the culture and people really enjoy it. They really like it. Some of us are staff for some of our best fundraisers. Is it possible, karin, for youto say, how much of your time is devoted to fund-raising some ceos will say one hundred percent right it’s, not a hundred percent. Everything i do is really fund-raising you know yes, you could say that, but i think the heart of your question is how often am i? Actually, either meeting with the development team meeting with the board meeting with donors on i would say that’s probably half of my time. Okay, okay. Mindy, do you have advice for boards as they’re hiring a ceo around, making sure that they get a ceo who’s able and willing to do all the things that you you described earlier and be that passionate fundraiser? I mean, the single most important thing that a board of any organization does is hyre their ceo and it’s got to be a fit, and that sounds kind of trite, but it has to be fit with them because in a way, they’re looking for someone to champion their cause and give them direction. I mean, the ceo is not the chairman of the board, but has to be with the chairman, a leader and a partner. So i think the hiring is really about looking for a match and there’s no one definition of that it’s got to be the culture of the organization, the goals of the organization, the level the organization is at, you know, a startup is looking for one kind of person. A very established organization looks for different. Level so it’s, knowing where you’re at, the board needs to know where the organizations that and what’s the match for that level, you know, i don’t want to pursue this little bit more about the hiring of the ceo. Do you like to see people within the organization interviewing potential ceo candidates? You mean, like the staff? Yeah, i think it is absolutely the board’s decision. I don’t think the board should ask the permission of the staff. Frankly, i think a smart candidate will ask to meet the key staff to see who they are to see what they’re saying. And so i think it’s an important thing, to have an interaction and to get a real feel so that, you know the ceo themselves has a taste of what the organization is and can even turn to the board and say, well, this is what i see, and perhaps the culture needs to go one way or the other. Now we’ll have to skip that because when i come back, then i think the question about hiring the ceo, the one of the thing that i would say is that when boards goto hyre ceo, they themselves are the in some ways the organization’s key donors, and they can very quickly judged by their own reaction whether they think the person who’s sitting in front of them has vision, has passion, can communicate it because what they’re seeing in that interview process is what donors will say. Of course, in an interview, you’re not going to know the organization as well, or and there will be a learning curve, but bored should put themselves not only in the role of the governance leader, but also in the role of the of the donor and say, is this somebody who i see is the face of this organization, who i feel comfortable putting out there, you might be happy being the front person, you know what i was going to ask you is you had alluded to donors. Wanting to see the ceo now, how do you manage over exposure so that the ceo, i don’t think, shouldn’t be brought in for every obviously for every donor meeting? How do you decide when it’s appropriate and for which donors? The meeting for the ceo is right? I’m we’re time not an issue. I would say that your premise that the ceo should be brought in for every donor is not so because i do think that every donor is entitled to know the organization and know the leadership time sometimes is an issue, so what we do it god’s love is that we do some combination of donors, meetings that are one on one and other other donor meetings that might be a group of people who come in. So we’re now in a siri’s of coffee with the ceo so i can sit and talk with a number of people at the same time, so we try very hard to be as connected and not just connected to me, though that’s. The other key is that they want to meet the ceo, but the ceo doesn’t have to be there only relationship with the organization there are board members, there are other donors, their staff, particularly the development staff, and we share that, yeah, that’s going to play at all levels. There should be no donor who only knows one member of the staff, right, including those including those people who are receiving your services. Don’t you want to broaden no, the knowledge base of the the recipients, right, right. We’re benefitting right? Well, mostly what we care about, because that god’s love we’re dealing with people who are really sick, and so when they need to connect with us, we want them to make that connection. We don’t want them tow. Have tio hang on the phone for a long time, get a call back they could be napping by the call comes back, so for us, it’s, like call anybody. We have a lot of general numbers so that people can. Our clients can get to us really without fuss. Karen what’s, the part of fund-raising that you dislike the most. I don’t know there isn’t really one that i just i guess the thing that i had to think about, that what nobody’s ever done it good like like, well, mindy, what do you see in your in your practice? The part that ceos perhaps struggle with the most? I think, you know, like carrot it’s so integral to the job you don’t think about liking it or not like it. I think sometimes is a part of me that just takes a deep breath and says all the energy and all the time and money that goes into raising money. There are moments when you wish you could be using that more to be delivered your service, but it’s kind of integral to the work, and it is rewarding because it’s europe opportunity to have people invested in what you’re doing. But is there something that you see ceo struggle with more than than others are maybe it’s identifying or speaking in large groups or meeting in individual meetings? I think the nature of being a ceo is that you need to be comfortable with all of those modes, and what might be a struggle is if it’s really not you. If it’s not, you’re fit, you could be quiet at it. You could be loud at it. You could be exuberant. You could have your own style. Think i think for all work. It’s got to be a match. The board is integral fund-raising integral member of the fund-raising team as a whole and then also as individuals. Um, karen, how do you manage that relationship with your board? As as fundraisers? It’s a really key part, i think of the ceo’s job is managing the relationship with the boards that you say as individuals and as a group, as a collective and of getting finding the right way to engage each boardmember because each has their own skills, abilities, willingness and comfort level comfort, you know, so some people are, like, great, you know, getting in there with you making an ask of somebody another one might say i’m really not comfortable with that. But i will send a letter and another might say, i’m more willing tohave people come to events with me or to buy a table or do other things. Some people are fantastic spokespeople, and they don’t really want to do fund-raising so i think a riel art is getting the best of each of your board members and as a collective getting the skill set that you need to really advance the organization in fund-raising sing, but in lots of different areas, and how do you assess what each board members strengths and weaknesses are? Is there some kind of formal assessment, or is it really just you getting to know them and understanding that way? That process starts way back in the recruitment process for new board members in terms of why’re they being recommended, what is their formal resume? And then what is there in formal resume? Because a lot of people have skills that, like, they might be a coach and if somebody’s a coach on the side that speaks to how they might work in a group on your board so it’s getting to know them through the recruitment process and then ultimately spending some time with board members, once they’re on the board to talk about that and to nurture them, we have somebody in our board right now who promised us he would never do an ounce of fund-raising and he’s now like out there, getting his friends involved, calling people asking that takes time, and so where they start may not be where they end up after your two of service mini. And in your practice, do you use much formal assessment of board members, may be assessing each other or certainly at least themselves. I’ve had experiences with both. I think it’s actually very healthy to do formal assessment, but it depends again at the point, the board is that where the organization is that in i said in the beginning of this conversation that all this is about relationships and managing them. And i think boards need to self assess. And i need to say how we doing and how’s our mix and what is it we need more of? And that could be that’s sometimes good to do formally. Maybe they need a workshop. Maybe there are those people who want to practice. Most importantly, it’s a one on one relationship to building their strengths and the formality, i think, just gets the conversation started. What about the training of board members for fund-raising that i’m imagine that probie starts in the recruitment process, also setting expectation, but let’s talk generally about the think that its friends, whether it’s a new boardmember who’s never been ever a boardmember or a very experienced one. You know, some people come to you with a lot already, i’ve we often have formal training sessions that there’s a campaign we’re going to meet. We’re going over the goals and even role playing so it could be very formal and specific or coming to conferences like this. Conferences are a great way to bring a boardmember into a professional setting to realize they’re connected to a much broader world. It’s, not just their organization, that there’s resource is that it also inspires that they feel very proud. You know? Karen looked like you were nodding and suggesting you want to say something around setting the board members expectations at the recruitment stage around fund-raising i think it’s very important to do that very important before you as you offering them aboard position to make. Sure, they understand that, and then to keep working and doing training and four every time you ask a boardmember to help is another opportunity to advance what they know in their comfort level. So something is simple. One of the things we’re about to have a big fund-raising about van next saturday night, and our board members will have the names of two people we really want them to connect with and a little cheat sheet that’ll fit like in their shirt pocket that has the two or three things we really want them to talk about with that person, so they feel like when they come over and they say hi, tony, i hope you’re having a good time tonight that if the person’s not really chatty, they know what to follow up with, and that gives him a great comfort level. And again, they become fantastic ambassadors because in a party, we’re not asking them to fundraise per se, we’re asking them to friend race that’s a great example, i think, of giving ah boardmember overy manageable goal at the meet at this is large event we’d like you to meet these two people. That’s, right? No. That’s, right? And then we set up staff to make sure that the staff is on the lookout for those two people. And that one boardmember to make sure that they find each other right there where they can feel successful. It’s one thing to get a gift, get a grant, but there’s so many steps along the way and giving very specific direction and, you know, something like a real job at this event, it just makes people feel really good. You know, mindy, how do you like to see ceos prepare for a meeting with a donor? Doesn’t necessarily have to be a solicitation. Could be. But how do you like to see them prepare for meeting with a major donor? Well, i always like to be fully briefed by my development staff. Or it might be a boardmember who knows this donor’s? Well, i like to know everything. I like to know their professional background. Other organizations were involved with kind of a nice profile research. And then we like we sit. I like to talk to a couple of people. The organization think. Well, given this person’s background, you know how? What are the parts of? Our organization or work that we think of the strongest and just really go in briefed and at the same time be wide open to going in another direction because you really don’t know and people start talking what you’re going. I’ve gone in thinking one and ended up discussing, you know, climbing mountains in nepal because that’s something we found together and that brought us into the conversation that’s great when i was when i was as a plan giving director at a couple of colleges, i would look for things in the office that would make a connection, whether it was, uh, well, i’m not too much of a sports guy, so but i had to sort of hold my own in sport because i don’t really know much about it, but lots of guys do. So if i see a sailboat and i need to know where you know, where is it, you know, looking for that connection that you’re talking about. Mindy yeah, because as you said several minutes ago, people give to people right? And they love your work, but that connection with the person critical. Karen, how do you like to prepare for your for your meetings, let’s say it is a solicitor. I broke my voice broke again, you know, because in the last interview says that we’re talking about sixteen to forty year olds, so i think i’m going back to puberty. My voice just cracked. Sorry. How do you like to prepare let’s say it is a solicitation you’re asking from someone for ah, mid six figures gift. How do you like to prepare for that meeting? Well, i would add mindy’s whole list i would add to that they’re giving history with us potentially they’re giving history with others so that we have a sense of whether we’re asking them for the biggest gift they’ve ever given or not the biggest gift they’ve ever given, because that depends on their willingness, their capability and their potential eagerness. And then i now in my career that i can sort of go with that earlier on in my career, i liked to practice, i actually like to sit down and practice asking because until you mike’s, we do a role play with a staff member with a development person board the boardmember for the two of if it’s a boardmember and myself for six figure gift, we would might go with two people. We need to sit down so we know who’s going to do because usually sometimes you run the risk it’s a great meeting your back and forth and then, like you’re looking each other, like who’s going to ask so everybody’s role needs to be very clearly defined. And i think you need to practice saying the words, and i’m hoping that you will consider a gift of whatever number you’ve planned on two the organization and until you can actually get those words out of your mouth, and the best way to do that is practice it so often that it’s a sentence like anything else, it will become second nature. I was on tv this week with esa aaron’s he’s, the consumer reporter for new york, one news his segments in the eleven o’clock news they’re called consumerwatch, and he and i were talking about the irs is automatic revocation list that list of two hundred seventy five thousand non-profits in the country that have lost their tax exempt status automatically. We talk about what that meant for donors to those charities and also for the charity’s themselves, and that was on time warner cable. That was tuesday. No, that was monday night on time warner cable, but i’ll have a link on my block, probably by the time this show is is airing the b link on my block and you can find it there. It’s time now for my conversation with scott barnett talking about the fine art of conversion pre recorded at fund-raising day in new york city back in june. Welcome to tony martignetti non-profit radio coverage of fund-raising day two thousand eleven, we’re at the marriott marquis in new york city. My guest right now is scott barnett and scott’s conversating scots seminar topic is the art of conversion got his director of web communications at fairfield university and has a diverse, extensive background, both academia and business again the art of conversion scott barnett welcome to the show. Thank you, tony, for having me your conversion what we converting well website users into donors in this case, or visitors or sales or people that visit your site you want tohave him either tour visit, talk to you, contact you because the sites can manage and collect information on them that we can’t do with other mediums. Okay, now at fairfield university, i assume the web users are mostly alumni. Well, mostly on the admission side, forgetting students for this is the admissions of the things that make things go around. Are basically students first. Okay. And then after that, alumni and donors and the public is, well, you know, most colleges have a pretty strong athletics presences. Well, so you get a diverse set of visitors, including than your faculty and staff, that come to the site and your current students. So we’ve got to take that multitude of audiences and sort of track what they do on the site for the different purposes. And then we have clients, so to speak, in our agency model that we work with at the university that have different needs, admissions has one needs, advancement, has a different need for their users, and athletics has another new let’s talk about the younger people that so you have to engage seventeen year olds on the seventeen, eighteen year old earlier than that, actually. Okay, how early is thirteen? Which reality? By law, you can’t collect information about anyone under the age of thirteen anyways, online, but and that’s the copper act. Okay, we basically and let’s not let’s be clear here. People were not collecting information about you. Tony martin martignetti too old. Yes. If you’re not interested in somebody there’s not anything personal about you until you give that up. Meaning fill out a form or or our donate or do something that actually collects that information. But the mere act of visiting the site and moving around through the site is anonymous other than by i p address on other information that then is gleaned from that i p address. But khun tell the generally the part of the country you’re from the provider that you came through and that information’s helpful. But we really want to know is where did you go? On the site. When did you leave us? Did you make it to the point on the site where we wanted you to? So you set up goals and you try to convert them to finish those gold. Okay, we’ll get we’ll get to that part once they get to their. But how about engaging let’s? Talk about the sixteen tio, eighteen year olds. How are you attracting them, too? Fairfield allusions that’s the magic ball. Okay, we’ll share some shares. We presently just put up a very interesting online tour. Now. Everybody’s got their online tour in the college business and it’s usually a state and proper voiceover narration. Nice voice like yours or someone speaking about all the beautiful pictures and great academics and great athletics and all the other things we have and we’ve got a lot of that on the site, but we decided to make a tour that really spoke socially from the students to the students. So through the eyes of a student, we created a siri’s of videos of them waking up in the morning, going a class a typical day in the life. Okay, so so the lesson is and tell me if i’m oversimplifying, but you’re attracting people of a certain age by using people close to that age. Oh, sure tracked them. We, while we want to direct the campaigns that we wantto have the kind of creative ideas it’s it’s proven in today’s internet world that there’s a sort of peer-to-peer conversation going on. We see that all over and letting them speak to each other about the experience of being the student speak to other students, you know what their interests are, and whether this place is right for them. Because it’s a big decision to go to college and it’s really important for students to pick the right schools. We want him to pick us, but we also want them to be getting the right information. So the adults in the room, so to speak. I have lots of good information to put out there, but we also want them hearing information from their peers on dh that’s. Why we do things like this and believe me, it’s it’s slightly reality tv but there’s no magic buy-in the box it’s it’s segments in the day that we’ve selected arika and such but they’re presented from through the eyes of a student. And then after you have the student now at the site, how do you keep them engaged and coming back again? That let’s say sixteen to eighteen year old right seldman you know the public site on the dottie? Do you side is really a marketing vehicle to get people information about the school about our news and our events so there’s a lot of information on a one particular site of students for one one that’s really in tone and approach about them. We also created a space called fairfield live, which is a social media, a space where that we post videos have a weekly announcement video that’s done by a couple kids from the campus about what’s happening that weekend again the idea peer-to-peer conversations and try to get them coming backto find out about events both through four one one in fairfield live the potential admit e our potential applicants is brought into some systems we have where they then become a contact, you know, and in that sense, we developed them as a prospect. And that there’s a lot of communications that happened back and forth between the parents and the student and the admissions department, both in person. The biggest, best indicator for kids going to college state is their campus visit. So you really want to convert them to contacting you and showing out coming out, coming live right? I know a big part of your seminar topic is using google analytics track how you’re doing and part of what you say and the materials is don’t be afraid of mountains of data. So how? How so understanding that the audience for the show is small and midsize non-profits which fairfield may or may not fit into could be a mid sized mid size too large right in the college, right? That’s what they bite-sized so what? What’s your sort of opening advice for using google analytics and not being overwhelmed by it? Well, it has more than enough data for you to spend your time hiring people to sit there and call through data, but it’s really drilling down, tow what’s useful to you and you create goals and objectives for any piece of communications and the internet. You know what? Before we get into that, how would someone just get started with google analytics? How do you how do you find? Oh, yeah, i’ll let you get yourself a gmail account, you have that, and they they might have relaxed that, but you get a gmail account, you visit google dot com slash analytics and then you sign in and then you’ve got an account you then need to set it up for your various domains. So in our case dot e d u plus all of the sub domains, the various departments and things underneath it that we find interesting. Good that’s. Helpful. Thank you. Chart, please. So the data itself, you know, you can really really get lost in the data google analytics, but the real key is understanding. What is your goal with the particular communications? You know, everything needs a little a pitch. Okay? And what? We need to be able to use analytics to analyze that pitch what’s working in that pitch and let’s say you created three four page experience on the site. You really want to be able to follow that user and find out why is everybody leaving on the third page and not making it to our contact page and buy the data itself is not useful to you unless you analyze and react okay and create that same communication cycle we know from the business of where you have tto basically communicate, get audience feedback and then change the communications to adapt to that that’s exactly the same thing going on here except the fact is, with the internet, we really can great the success and failure of certain types of campaigns and experiences on the web by having that tracking all along the steps of the experience and i think you have very good advice, too. Your date is only as good as your use of it and your reaction to it, right? You have to tweak, and it takes a lot of training. I mean, we’ve we’ve worked with some consultants, and we ourselves have sought out a lot of good, valuable training material on google analytics so that we could understand what’s going on and that’s just my department web communications. So then we went out and took all of our account managers in our division and trained them about the reports. What does the report mean when your client comes to you and says off, tell me how many people are coming to our website and how many are visiting, you know, our department, they know howto look at the data and not get lost in the multitudes of pages that aaron, google and alex just look, create the report they needed sabelo then sit down and discuss the conversions that are going on, what steps might be taken to adapt and change the material to make it more useful to caesar. Now, first again, for a small and midsize shop. Do you think the tools that are on google analytics alone are sufficient for a charity? Tio navigate this, this melon of data was collected. Do they have to have a consultant and training well, outside what google oppcoll google has a lot of it’s own training it’s and it’s. Very good. You know, we found it necessary to speak to a consultant because we really wanted to draw out of it a lot of different things, but i think that most companies can get in and at the level that it at any level and use google’s materials to get a lot of training and know how you got to spend the time with any software and that’s really what it is. This software is a service you’ve got spend the time on training, honor it’s a waste of money. Well, in this case, it’s no money. So it doesn’t cost you anything to do google analytics except your time. Tto learn a little bit about how you can use it. And i think that that’s the key there is that the the end user, whether it’s, a mom and pop shop running a little sight, or whether it’s, a big no uber university up there, everybody’s, cost conscious. And this way you’re getting something for free. That is got a wealth, wealth of data. It’s, really, how you look down through and decide, have i created goals of it, created objectives and my following those and whether you want to know if someone from you, becca, stan, came to your site or not, you could do that, too. But you can’t be wasting your time if that’s, not your target customer. They didn’t even think that shooting getting, thinking, you’re listening to the talking alternate network e-giving. Nothing. No. What about the standard social media facebook twitter again? Let’s, let’s focus on you know, i knew you were going well eventually, yeah, let’s focus still on the younger like this is interesting. I don’t get many guests were talking about engaging teenagers sixteen eighteen what what’s your advice for the small non-profit around? Well, you know, again the magic bullet is facebook’s overwhelming success in the last two to three years really made it imperative that you have some presence there, but you need to manage that presence and understand that everybody knocking on your door and saying, you know, all we need to facebook page for this, we need facebook page for that for each individual campaign or something that’s, not a good use of resource is when you’re a small ship does become unmanageable, and then you end up with a bunch of stale pages. It’s a sight that people have two contribute content is king okay with all of this and look and repeated repeated continual contact right now. But what we’ve seen there is, you know, you’ve seen some good reaction to causes on this social media. When people do cause related things, they do. Well, mom, i think i think this younger audience reacts to that us is a company and larger companies that are selling products, you know, i’m not so big on the i light, yeah, nameless brand of soda here that i or something so we don’t get in trouble, but the the point being, i’m not so sure that that, but i think today’s younger set doesn’t think the way we think about, you know, in terms of brand association so it’s a little different in that with juggling act you have to do, and i think non-profits obviously, mom, the kids are into causes, they are muchmore involved group i think we may have grown up thinking we were very involved, but i i didn’t do most of my charitable work until i was out of college, but i see a group of kids now from my school on up that are very usually, you know, there’s a good percentage and they’re involved in things so that’s appealing to their nature in social media about the cause rather than the give, i think, and not being the fund-raising professional in our organization, i won’t speak two, whether that’s scientific enough, but i’m seeing the trend be that they are attracted to sites that are about the causes and then from that i’m sure you get your able to glean and pull through the conversations you create some some charitable giving and giving of time. Sometimes what you’re looking for out of that group is volunteerism. Oh yeah, cause they’re so passionate, motivated, they will give generously of their time, but they’re on it all the time. And my test lab is the fourteen and sixteen year old i have at home, okay, who spend all their time on their phone and they’re computer on facebook sometimes to my chagrin, because it’s just kind of, you know, but but if that’s what they’re doing, you know, you need to focus your communications to them and not have it be the man talking to you and that’s. Why we’ve worked on this key peer-to-peer conversations looking at ways to engage students that work for us to to to speak to them, whether it be for a cause or whether it before something like advancement or admissions over athletics. We use students all of those levels in fact, our libraries facebook site is operated by a student, yes, the powers that be in the library there and sometimes push things out to them to put out there. But the conversations that are going on that’s the important thing about facebook and twitter is making it a conversation it’s not just boom boom boom press release and say we suffer from that sometimes to put them all out there, but we also want to get in there sometimes. And for instance, we introduced this year it’s it’s off the fund-raising topic, but if at our athletics games tweeting during the games and facebook during the games because there is a core of alumni out there that follow us out there, they might be in california, they’re not listening to the internet, cass, to the game or didn’t pay for the video of the game and they’ll jump in and have a conversation with us about it, and we look at that it’s sort of being colored guys, i said, imagine yourself sitting there and we’re having a conversation about the game because that’s what we’re not doing play by play, nobody wants twitter play by play, but we have a conversation about what’s. Happening, and i think we’re going to introduce that this year two different types of events, not just athletic and i think there’s value there for the audience, so your constituents who can’t be with you can follow and they’ve chosen that medium that’s, what they’re doing to follow you so it’s almost disrespectful in some ways to not give them some content besides just pushing at um, you know, like i said, press releases and other information, my social i don’t interrupt because my social media manager is here regina walton and she is live tweeting, right? Regina, we’re live tweeting to arouse who are not this second, but we are during the day giving them the contest. Not this second. Are you finding more penetration among teenagers? At twitter? There was a time when it was forty year fifteen over i also teaching in and that marketing class not now and then on the side and last year we asked him and said, hey, how many in the room are aware twitter? And this is their kids in marketing that we’re going to go into business and three hands went up, but now you won’t have four people. In your class is no, you’re not a very popular teacher now twenty five, twenty five but, you know, doing that part time, i was able to see that they were aware of it as a medium, but to them it didn’t hold much lustre. But now i’d say, just even six months later, that was just last, you know, two semesters ago, there seems to be a great interest in our student affairs department and other areas of using twitter because the immediacy of it and the ability to do it in one hundred forty characters or less appeals to both the presenter and the receiver, and i think that once they’ve caught on to that one hundred forty by the one hundred forty, okay, well, i want to stretch it out a little bit. Are you whether you want to be shorter, you know? You want it, you know, i wish i could do it in ninety nine, where most people meet me want me to do it? Ninety nine words or less.
